MEDCOMMS NETWORKING BRUNCH CLUB 14 JUNE 2017 GROWING ORCIDS, TIPS FOR AGENCIES JACKIE MARCHINGTON DIRECTOR OF GLOBAL OPERATIONS, CAUDEX

FIRST OF ALL 2

NON-FLORAL VERSION Open Researcher and Contributor IDs (ORCID) were primarily designed to disambiguate author and contributor names in scholarly publishing Individuals with an ORCID are associated with a persistent digital identifier that distinguishes them from other researchers who may have the same name and allows researchers who change their names to link publication records Integration with key research and publication processes, such as peer-reviewed journal and grant submission sites, supports automated links between the individual and their professional activities Ultimately, ORCID will help to ensure that work is attributed to the correct individual and contributions are recognized 3

4

WHY SHOULD AGENCIES CARE? ORCID also has the potential to streamline manuscript submission/publication processes By providing a global, central registry of researchers across disciplines, institutions, sectors, ORCID aims to remove the need for publishers to maintain the individual author databases that are currently required, for example, to check authorship and manage reviewers 5

ISMPP EU MEETING 2017 How widely required, how compulsory and how simple? 6

WHAT DID WE DO? We logged all manuscript submissions for the first half of 2016 Characteristics of target journals Publisher OA Society affiliation (if stated) ORCID requirement (mandatory, voluntary or none) Where required, did our authors already have an ORCID 7

WHAT DID WE FIND? 51 submissions to 45 journals with 21 publishers Only 2 journals required ORCIDs as part of the submission process 14 journals made no mention of ORCID 14 At submission 2 31 Required Optional No 8

SOCIETY STATUS 1 journal changed requirements mid-submission Non-society 18 0 7 1 journal changed requirements mid-year Society 13 2 7 0 5 10 15 20 25 30 Optional Required No

OPEN ACCESS STATUS Subscription only 2 0 Open post embargo 3 0 2 Full (mandatory) OA 4 0 6 Hybrid (optional) OA 20 2 8 0 5 10 15 20 25 30 35 Optional Required No

PUBLISHERS The two mandatory ORCID journals were both published by Springer Optional ORCID publishers were: BioMed Central (2) BMJ (3) Elsevier (4) Nature Publishing Group (2) OUP (1) Sage (2) T&F (4) Wiley (6 optional, 2 no) 11

AUTHORS Of 10 authors who needed an ORCID for submission, only 3 had them already The remaining 7 authors were happy to create an ORCID when asked From an agency perspective, just knowing the ORCID number is not enough, as submission systems require the user to authenticate the account to connect 12

SO WHAT? At the time of our study, ORCID use was optional for most submissions and did not present an obstacle to agency assistance with the process There was no association between society journals and ORCID requirements, or between OA journals and ORCID requirements, or between publisher and ORCID requirements BUT In November 2016, Wiley announced the mandatory use of ORCIDs across their portfolio of journals, and other publishers have followed suit 13

PROPAGATION Agencies are well placed to encourage ORCID propagation Handle a high proportion of manuscript submissions File prep and upload Full submission where permitted Various proxy options Streamlines submission process once added to the author s profile Imagine not having to enter all those affiliation details for each author 14

PEST CONTROL Just knowing someone s ORCID won t let you authenticate an account Trusted individual status is also not sufficient for authentication Don t want authors handing over ORCID login details 15

UNAUTHORIZED BREEDING Not possible to have more than one ORCID associated with a single email address, is possible to have multiple accounts with different email addresses Search for existing records 16

EVOLUTION Proxy submission services could build ORCID in to the workflow for submitting agents using tools like ScholarOne or Editorial Manager So we don t need author login or ORCID account details What about for meeting abstract submissions There are other interconnected systems that would be advantageous to authors and agencies 17

LITTLE ACORNS Go and get an ORCID if you don t already have one Community driven development Potential for transparency add medical writing support as a professional activity Be part of the solution 20
