Please read the guidelines prior to completing an application form. Funding Priorities Natural Disasters The RACQ Foundation s priorities are to assist: 1. Queensland community organisations that have been significantly affected by natural disasters to help them regain their position prior to the disaster; 2. Deserving charities or other organisations with a charitable purpose that help Queenslanders who have been impacted by a natural disaster; and 3. Projects that will benefit Queenslanders and be completed within 12 months of funding or projects that, when completed, will have an immediate community benefit. Eligibility Criteria To be eligible for funding: 1. Your organisation must be either: a. a small to medium community organisation; or b. a charity or other organisation with a charitable purpose. 2. The project must benefit Queenslanders who have been significantly affected by flood, other weather event or natural disaster. 3. The project must be completed within 12 months of funding or must, when completed, have an immediate community benefit. 4. The funding must be used to: a. pay for material items or something tangible; or b. fund the provision of social and community support services; or c. cover the costs incurred by the organisation in relation to the cleaning and restoration of property. 5. Applications to the RACQ Foundation by organisations are to be for amounts of no more than $200,000. 6. Applicants may only apply for funding once in each calendar year. 7. Funds will not be allocated for projects that duplicate government funding or services provided by government. However, funds may be granted to supplement government funds as part of total project costs. 8. The RACQ Foundation Trustee Board may, in its absolute discretion, resolve to provide funding to organisations that do not strictly meet the above criteria and may provide funding in addition to the cap. Privacy The RACQ Foundation collects information to assist in the assessment and management of funding. The Royal Automobile Club of Queensland Limited and its associated entities (RACQ Group) provide administrative services to the RACQ Foundation and as a result the information collected will be made available to the RACQ Group. Information will be made available only to areas of the RACQ Group necessary for the purposes of administration, assessment, notification, marketing and promotional activities. Your information will not be disclosed to any other parties unless authorised or required by law. The RACQ Foundation or its representatives may contact applicants and/or identified referees for more information. Details of successful applications may be used in the Foundation s promotional material including media releases, annual reports, brochures and on the RACQ Group website. Application Process If you are unsure whether your submission is eligible, we strongly recommend you contact the RACQ Foundation to discuss your project. Contact can be made via racqfoundation@racq.com.au. Complete the Application Form and provide supporting information no later than 5pm on the application due date. Note: Please submit 2 x copies of your completed application. We encourage double-sided page printing of information presented as part of your application. Photographs and/or drawings of the proposed project/activity seeking funding are welcomed especially if they are integral to the explanation of the project. After receipt of your application, the RACQ Foundation may request additional information to enable assessment of your application. Page 1
All applications received by the due date and time will be reviewed and further information may be requested. The RACQ Foundation will consider all proposals that meet the guidelines and, dependent on resource availability and quality of proposals, allocate available funds to successful applicants. All successful and unsuccessful applicants will be advised in writing as soon as practicable. Funding Application Requirements 1. BACKGROUND AND PURPOSE - provide a description of your organisation s background and purpose. 2. CURRENT ACTIVITIES - summarise the current key programs and achievements of your organisation and detail the characteristics of your target beneficiaries (for example age, geographic location, socio-economic status, etc.). 3. STAFF NUMBERS - provide numbers of paid staff and/or volunteers within the organisation. 4. DESCRIPTION OF THE PROJECT OR ACTIVITY FOR WHICH YOU ARE SEEKING FUNDING a. the project including details of any equipment or materials to be purchased and/or works to be conducted; b. the main purpose of the project; c. background on how the flood, weather event or natural disaster resulted in the need arising; d. whether the property or equipment was insured and details of any claims made in relation to the damage; e. the people who will benefit including the number; the location of the beneficiaries; f. the outcomes and anticipated benefits you aim to achieve; g. what other organisations are doing similar work and what makes this project different (if applicable); h. how the project will be sustained once the funds have been expended (if applicable); and i. the impact on the viability of the organisation if funding is not received. If appropriate to your application, please attach any relevant photographs or drawings. 7. BUDGET - provide an itemised budget (income and expenditure) for the project or activity and where the RACQ Foundation s funds will be applied. Identify under Income the source of all funds, for example, organisation contribution, government, other Foundations/Trusts, sponsors, supporters etc and indicate if any of these funds are unconfirmed at the date of applying. For all items of unconfirmed funding, please include a note outlining the implications for the project or activity if applications for such funding are not successful. 8. PROJECT DIRECTOR - name and brief description of their qualifications and/or experience to manage the proposed activity/ project. 9. PARTNER ORGANISATIONS - list any partner organisations associated with the proposed project or activity and briefly outline their role/contribution and contact details. 10. REFEREES - provide the names and contact details (including telephone numbers), of two individuals or organisations who would be willing to speak or write in support of your application if requested to do so by the RACQ Foundation. 5. PROJECT TIMELINE - anticipated commencement and completion dates. 6. EVALUATION MEASURES - explain how and by whom the effectiveness and benefits of your project will be measured, monitored and reported. Page 3
Attachments 1. ANNUAL REPORT - Please provide a copy of your most recent annual report (preferably audited). 2. DGR STATUS - If your Organisation has Deductable Gift Recipient Status, attach either a copy of the letter of endorsement from the Australian Taxation Office or a copy of your status. 3. PROOF OF TENURE - If your application relates to the reconstruction, replacement or repair of real estate, please provide proof of tenure (eg. Copy of Certificate of Title, Lease, Licence Agreement). If you do not own the land, please provide copies/details of the Land Owner s consent to the works. 4. INSURANCE - Please provide evidence of your organisation s insurance status in relation to any equipment and/or property to be replaced or repaired. Please provide copies of any correspondence in relation to claims. 5. QUOTES - Where appropriate, successful applicants will need to provide multiple quotes to demonstrate that the project or works represents value for money. 6. APPROVALs - Please provide copies of all Local Authority and other approvals required to conduct any works. 7. GRANTS & GOVERNMENT ASSISTANCE PROGRAMS - Please provide details of any successful grant applications or government assistance received. Page 4
