Pre-Matriculation Checklist Magnus Health Records - Within a week of enrollment, you will receive an automated email from Magnus with instructions on how to create an account and upload the required information. If you do not receive a Magnus email within a week of enrollment, please contact the admissions department. MyBackPack Business Office Forms - You will need to log into MyBackPack to complete the enrollment contract as well as fill out the student fund forms. You will receive an email with information on accessing your MyBackPack account shortly after enrolling. If you do not receive an email regarding MyBackPack, please contact the admissions department. DocuSign Matriculation Forms - You will receive an email from admissions with instructions on completing the online matriculation forms. You will receive the email from Admissions in mid-to-late July. If you have not received the forms by August 1st, please contact the admissions office. You will need to complete the form as the parent or guardian first, then you will need to have your Cadet complete sections as well. You are required to complete all three sections 5 days prior to matriculation. Failure to do so will result in lengthy delays on matriculation day.

GENERAL INSTRUCTIONS AND INFORMATION for Boarding Cadets Hargrave Military Academy welcomes you and your Cadet into the Hargrave family! We encourage and appreciate your support and comments throughout the school year. The information enclosed in this packet is important. As a reminder, every Cadet must have proof of a current physical and immunization upon Matriculation. Please determine your Matriculation date as listed below. Matriculation dates: 12 August 2018: Varsity Football, Soccer, and OCS/NCO School 15 August 2018: New International Cadets 19 August 2018: New Cadets; all Post-Graduate Cadets (both academic and basketball) 21 August 2018: Returning Cadets 19 January 2019: Second-semester Cadets Matriculation Day schedule: 0900 (9:00 a.m.) Matriculation begins (in Cheatham Chapel) 1115 (11:15 a.m.) Lunch served in Mess Hall. Meal tickets for family members may be purchased at the door. 1300 (1:00 p.m.) Parents/guardians meet with Col. Michael Brown, USMC (Ret), Hargrave s President, in Cheatham Chapel General Information DocuSign: Within the next few weeks, you will be receiving an invitation to sign all waivers, permission slips, and release forms via DocuSign. This is a requirement. You will be receiving two links: one for you and one for your son; both must be submitted for the DocuSign packet to be considered complete. Enrollment Fee includes tuition; room and board; uniforms; books; laundry; dry cleaning; haircuts; lab fees, insurance; activity fees; and technology fees. Non-U.S.-student payment: All checks and/or monies paid to Hargrave must be drawn on a bank in the United States or paid in United States currency. Hargrave accepts all major credit cards. Non-U.S. students must have 50% of tuition paid prior to Matriculating. Financial obligations: Upon completion of the Matriculation process, the parent/guardian s financial obligation to the Academy for the school year begins. The Matriculation process is complete after all forms have been completed, the Maticulation form signed by a parent/guardian, and is turned in to the Military Department. Withdrawal or dismissal: If a Cadet withdraws or is dismissed from the Academy at any time, the parent and/or guardian remains financially obligated for tuition for the balance of the school year. Health records: Each Cadet is required to have a physical check-up and proof of immunization record prior to Matriculation, and to provide proof of such at Matriculation. Each Cadet must retain a current physical on file with Magnus Electronic Medical Records; this must be done prior to the Cadet s arrival on campus. A fee will be assessed if the Infirmary must administer an immunization. 2 Admissions

Dental matters: We recommend each Cadet s routine dental care be current upon Matriculation. Cadets will not be given a pass to leave campus for routine dental appointments. If your Cadet is under the ongoing care of an orthodontist, Hargrave s nursing staff can make arrangements for local treatments. Electronics: Cooking equipment, large stereo equipment, refrigerators, monitors, printers, and televisions are not permitted in the barracks. ipods are authorized (see What to Bring List in this packet for authorized items), but are discouraged. Laptop: Please refer to page 8 of the Military Department section. Barracks: Barracks rooms are inspected daily for cleanliness and order. Cadets are required to keep their rooms neat and ready for inspection at all times. Civilian clothing: Cadets are not permitted to wear or possess civilian clothing on campus. (International Cadets are an exception; they are permitted to have civilian clothing on barracks for overseas traveling purposes.) Cadets will be in the uniform of the day at all times as instructed by the Commandant. Any civilian clothing found on campus will be returned to the Cadet s home at his parent s and/or guardian s expense, and Hargrave is not responsible for any loss of civilian clothing. Tobacco: Any possession and/or use of tobacco products of any type on campus or while in the jurisdiction of the Academy is strictly prohibited. Motorized vehicles: Boarding Cadets are not permitted to keep motorized vehicles or bicycles on campus or in the Chatham area. Boarding Cadets may not drive or ride such vehicles unless accompanied by authorized adults. Skateboards/Rollerblades: These items are not permitted. Tennis shoes with wheels are also prohibited. Firearms/knives: No firearms, knives or weapons of any kind are permitted at Hargrave Military Academy. Arrival and transportation: Upon landing or arriving at his destination, your Cadet should report immediately to the Academy. Cadets may not register at motels in Chatham or nearby towns unless accompanied by a parent and/or guardian. Upon request, Hargrave will pick your Cadet up at the bus station in Danville. If your Cadet arrives by plane, please notify our transportation department of (1) arrival time, (2) airport, and (3) airline and flight number. A small fee will be assessed to provide transportation to and from airports. (See the Cadet Transportation section for details). Class scheduling: Hargrave may administer placement tests prior to final scheduling to assist in course selection. Cadets are placed in classes based on performance on standardized tests and prior academic records. Reading improvement: New Cadets are evaluated during Orientation. During this time, the Guidance Department may determine a need for an additional reading course, and the Cadet s schedule will be planned accordingly. Visitation: In order for your Cadet to best adjust to the demands of his new schedule, no overnight passes or weekend passes will be permitted during the first three weeks of the semester. 2 Admissions

Leave policy: The Commandant s Office will provide our pass-and-leave policy to you on Matriculation Day. If you do not accompany your Cadet that day, please contact the Military Department, and the information will be sent to you. Please refer to your school calendar for school breaks and weekend leave times. On open weekends and holidays, leave begins at 1235 (12:35 p.m.). All Cadets must return to campus by 1700 (5:00 p.m.) on the designated return date. Emergency leave: Such leave may only be granted by the President, the Academic Dean, or the Commandant. A request must be made in writing by the parent and/or guardian. In instances of an emergency, requests may be made by telephone or fax. Rev. 6/18 2 Admissions

NOTES FOR CADETS ARRIVING ON CAMPUS ALONE If you d like transportation to campus from a nearby airport or bus station, please contact Ms. Barbara Loney ( loneyb@hargrave.edu ) to arrange for pickup. We offer transportation service for a nominal fee to Greensboro International Airport, Raleigh-Durham Airport, and Lynchburg Amtrak station. For more information, please refer to the Cadet Transportation page in the Military Packet of this document. In advance of your Cadet s arrival, please contact Bill Riddle in the business office ( riddleb@hargrave.edu ) to ensure your Cadet s account is current. Submit your completed DocuSigned Enrollment Packet 5 days in advance. Please mail your Cadet s medication to the Hargrave Infirmary in advance of his arrival on campus. If necessary, you may supply your Cadet with no more than two days worth of medication. As soon as he arrives on campus, he must deliver all medications to the Infirmary. (Failure to do so may be considered a violation of Hargrave s Drug and Alcohol Policy.) How to Complete the Student Fund Form: You should have already received a My BackPack Login. If you have not received one or need a password reset, please email Maria Lewis at lewism@hargrave.edu. 1. My BackPack portal: Go to www.hargrave.edu and click on Parents 2. Once logged in, click on 2018-19 Enrollment/Re-Enrollment. 3. At the bottom of the screen, View Contract to sign and submit contract. 4. On the bottom right corner, click Additional Forms 5. Fill out and submit your Cadet s Student Fund Form!

Dear Parents/Guardians: Thank you for choosing to enroll your child at Hargrave Military Academy. The goal of the Infirmary is to provide your son access to excellent medical care. To ensure that this is a smooth transition for you and your son, you will find important information below, regarding policies and procedures in the Infirmary. Please take the time to review these items. If you have any questions, please feel free to contact any of the nursing staff. A current physical exam must be complete prior to attending Hargrave. All exams are good for one year from the original exam date. Your child will NOT be permitted to participate in any sports or physical activities until this is complete. The students MAY NOT HAVE ANY MEDICATION in their rooms at any time for any reason. This includes any over-the-counter vitamins, cough drops, or cold medicines. They must come to the Infirmary for medication to be administered. If any of these are found in a cadet s room, this is considered a punishable offense. If you drop off a cadet with medications, you must accompany them to the Infirmary to have them checked in as they, again, are not allowed to have ANY MEDICATION in their rooms. If you need to mail medication, make sure that it is mailed directly to the Infirmary, not to the cadet. One of the goals of Hargrave is to instill responsibility into all our cadets. For this reason, it is your son s responsibility to remember to come and take his medication. We understand that our cadets lead busy lives, so we will remind them if they have forgotten; however, if we have to continually page them to the Infirmary, they will be counseled and then disciplined. If your child is on a prescription for a controlled substance, you can either get the physician to postdate the prescription for 3 months at a time, or you will have to get a new prescription every 30 days. It is the parent's responsibility to ensure that an adequate supply of prescription medications remain available for administration to the cadet. If a refill is not available for certain medications (ADHD/Depression/Anxiety/Diabetic/Prescription Sleep Aids), the cadet will be sent home until a new prescription is filled. PLEASE always email infirmary@hargrave.edu to reach the nursing staff. This applies even if a nurse emails you. If you email specific nurses, they may not answer until their next shift. Any medications that are left in the Infirmary at the end of the school year must be picked up by parent/guardian on the last day. Please note that any medications not picked up will be discarded. No medications will be mailed home. There will be a $50 fee to cover the cost of disposing these medications. Any questions please feel free to contact us. Our information is listed below. Magnus Health Electronic Student Medical Records for the Infirmary Welcome to the 2018-19 School Year at Hargrave Military Academy! The Infirmary is pleased to serve your student's medical needs. Hargrave utilizes the Magnus Health Student Medical Record (SMR) system to collect and maintain all student health information. Magnus Health SMR is an easy-to-use, secure website for submitting health information online. Please complete this information as soon as possible; your student's health record must be completed before arriving at Hargrave. To establish or access your student's medical record, please follow these steps: 1. You will receive an email from Magnus Health; this email contains your login and password information for your student's Magnus Health SMR account. If you do not receive this email, please notify your admissions counselor. 2. If you wish, take the "parent tutorial" at http:/ /magnushealth.com/parents/. 3. Access your account, and type in all of the requested information. As you finish each section, click "save." (International students: Because you do not have a U. S. social security number (SSN), please type "999-99-9999" into this field.) 4. Print and sign the required forms. (Some forms will require your doctor s signature.) 5. Please scan, fax, or mail the documents that require signatures back to Magnus Health. (Do not provide these documents to Hargrave, your personal medical records are not maintained on campus.) When this is completed, the Infirmary staff will review your data and email you if there are further questions. Please be sure to bring ALL medication to the Infirmary upon your arrival on campus! Magnus Frequently-Asked Questions Q: To where should I mail my student s medical documents? You should NOT send any medical records to Hargrave Military Academy. All medical records are maintained through Magnus (see relevant page in this packet). Please access your Magnus account and follow the instructions. Hargrave does not maintain physical copies of medical documents on campus. Q: I have a returning student. Do I have to use Magnus? Hargrave should already have all of this information from last year! Yes. Every family has to use Magnus. Some medical documents expire yearly; physicals are only good for one calendar year. Please log in to Magnus and complete what it says you are missing. We cannot turn the automated reminders off; when the account is up-to-date, they will stop. Q. How do I reach Magnus with questions? Their phone number is 877-461-6831; the Help Desk is open Monday through Friday, 9 am-4 pm. You can email the Help Desk from www.magnushealth.com. Click the orange Magnus Help button; select parent. This link will assist you with most of your questions. You can also email Magnus directly from your Magnus account. Q. Why don t I have a Magnus account yet? It takes a day or two for Magnus to establish your account once your student is enrolled. If more than 10 days have passed since you enrolled your student and you have not received an email from Magnus, please call their Help Desk (877-461-6831). You can also email us at infirmary@hargrave.edu. Q. How do I get a new user ID/password? Your user ID (always your email address) and password were sent to you via email directly from Magnus, using the email(s) you provided to Hargrave s admissions office. I sent my signed documents to Magnus. Why are they not in my account? If you sent your documents via mail or fax, there is usually a one or two day delay, not including weekends. When sending your documents, be sure the cover sheet for each document is included. The cover sheet includes numbers unique to your account and must accompany each document in order for your records to post properly. Q. Do I have to meet the deadlines the email reminders give me? Yes! This is important! Several forms must be signed, and you may need to schedule appointments and such to complete your packet. On this end, a Hargrave nurse must review each document before your record is complete. This process takes time, and documents not prepared well in advance of matriculation may not be accessible on your matriculation date, if they were entered less than four business days earlier. Q. Can I just bring what I have and finish this during matriculation or when I arrive on campus? No. The records must be completed before you arrive on campus; we will need to review the completed forms before you can matriculate. In addition, please do not mail your Magnus documents to Hargrave; bring them with you to matriculation. Q. What happens if I do not complete the record before school starts? Your students will not be able to complete the matriculation process, and he will not be permitted to participate in athletics and some classes. Remember, your student is a minor; it is imperative that we have a complete medical record and a consent-to-treat.

Dear Parent and/or Guardian: Information Technology Department Zachary Jones, Information Technology Specialist 434-432-3180; jonesz@hargrave.edu This letter is to outline for you the basic principles and standards which underlie Hargrave Military Academy s Information Technology Policy, as well as relevant terms and conditions. Because access to the Hargrave s network by Cadets is a privilege, any actions that might harm the computer equipment or software, impair their effective use, or show disregard for the proper procedure setup for network access will not be tolerated. If a Cadet s behavior is found to be inappropriate, he may lose some or all of these privileges. Privately owned machines, while attached to the network and on campus, are subject to the same policies as school-owned computer systems. For security and network maintenance purposes, authorized individuals with Hargrave Military Academy may monitor equipment, systems and network traffic at any time. All equipment, systems, and network traffic are subject to administrative review. There should be no expectation of privacy using the school s network or infrastructure system. Hargrave Military Academy reserves the right to audit networks and systems on a periodic basis to ensure compliance with this policy. Parents/guardians are to provide their Cadet with a computer that meets the specifications outlined on the school website. This device is an academic requirement and includes all grade levels (7 th grade through the postgraduate programs). Parents/guardians are to provide all software and documentation, including invoice (name and address of purchaser), warranty information, software and drivers that came with the computer system. Also, please bring with you to campus all information pertaining to software that is installed on the computer, including antivirus software. We may need this to be able to resolve some issues. We suggest that you keep all such information in one place for easy access, such as a Ziploc bag locked in the foot locker or safe you bring to Hargrave. It is imperative that the parent/guardian read the documentation on the school website, regarding technology at Hargrave Military Academy. The documents posted there are considered part of the enclosed Technology Agreement. Loss of or irreparable damage to a Cadet s computer device is the responsibility of the parent/guardian, not Hargrave Military Academy. We urge the purchase of accidental damage protection plans for your Cadet s computer. During repairs, your Cadet may receive a school-owned computer on loan from Hargrave at the discretion of the IT department. The use of the loaner is not to exceed three weeks. Should there be loss of or irreparable damage to the school-owned computer device it is the responsibility of the parents/guardians, not Hargrave Military Academy, and is subject to a property damage fee of $200 that must be paid before your Cadet is issued another loaner to use for his academic work. Each responsible person (as defined in the Hargrave Military Academy Enrollment Contract) acknowledges that this Technology Agreement is an Addendum to the Hargrave Military Academy Enrollment Contract then in force. CADET TRANSPORTATION The following information is provided to assist parents in making transportation plans for the 2018-19 academic year. The Transportation Coordinator (Ms. Barbara Loney, 434-432-2691) will assist with arrangements for your Cadet to travel to and from airports and bus terminals. Please furnish copies of your Cadet s travel itineraries to: Hargrave Military Academy, 200 Military Drive, Chatham, VA 24531, ATTN: Transportation Coordinator or via email to loneyb@hargrave.edu. Note: When planning your Cadet s travel itinerary, please ensure that your Cadet will not miss any academic instruction time, due to travel. HMA will not schedule transportation that will interfere with your Cadet s academic schedule. All travel itineraries must be submitted with a minimum of two-weeks advance notice. If you will make your Cadet s travel arrangements for the three major-leave periods (Thanksgiving, Christmas, and Spring Break), please use the following as a guide: A. Uniform-travel policy: Hargrave Cadets are expected to wear the proper Cadet military uniform at all times when traveling to and from Hargrave s campus. The Commandant will designate the travel uniform. Parents/guardians are expected to support this policy. B. Dates and departure/return times: The times and dates of the breaks are listed below. Leave begins at 1230 (12:30 p.m.) on departure day; Cadets must return by 1700 (5:00 p.m.) on the return date in the proper Hargrave uniform. Departure Date Return Date Thanksgiving November 16, 2018 November 26, 2018 Christmas December 19, 2018 January 2, 2019 Spring Break March 22, 2019 March 31, 2019 C. Airport transportation: During the three major-leave periods, Hargrave will furnish ground transportation to and from the Raleigh/Durham and Greensboro Airports only. On leave weekends, Hargrave can have your Cadet at the airport by 1700 (5:00 p.m.). Note: Be aware that our transportation department is likely picking up multiple Cadets. Therefore, it is imperative that you notify us with any flight changes. D. Amtrak terminals: Hargrave will furnish ground transportation to and from the Amtrak terminal in Lynchburg, Virginia only during holiday, open, and incentive weekends. On leave weekends, Hargrave can have your Cadet at the Amtrak station by 1450 (2:50 p.m.). Please do not return Cadets to Hargrave prior to 0900 (9:00 a.m.) on the return date. Do not return Cadets later than 1700 (5:00 p.m.) on the return date. If you will require transportation to or from an airport or bus terminal, your Cadet s round-trip flight itinerary must be furnished to the Transportation Coordinator at least seven (7) days in advance of the departure date. This must be a confirmed reservation for each trip; we will not accept standbys. An administrative fee of $100 will be added to the ground transportation costs if itineraries are not received at least seven (7) days prior to the travel date. E. Open weekends and Meritorious Performers weekends: On these weekends, HMA ground transportation will service the Greensboro, North Carolina airport and the Lynchburg, Virginia Amtrak station. F. Closed weekends: Hargrave will not provide ground transportation to air or bus terminals on closed weekends, except for validated emergencies. 1 Military

G. CIS Program: 7 th 9 th graders are required to be on campus for all Saturday classes, as well as Parents Weekends, Alumni Weekend, and Mother s Day weekend. All other weekends are considered open. During Meritorious Performers weekends and closed weekends, CIS students must attend sports before departing for the weekend. H. Unexcused absences: Hargrave will not furnish ground transportation to air or bus terminals for early departure excused or unexcused absences. I. Driving: If you will be driving your Cadet with a personal vehicle, you may check him out from the Academy after 1300 (1:00 p.m.) on departure days. If someone else will be driving your Cadet, please ensure you have provided the school written permission for your Cadet to travel with that person. Cadets are not permitted to be signed out by, or be driven by, any person under 21 years of age. Your permission may be faxed to the Military Office at 434-432-4303. J. College passes: HMA will provide ground transportation to the Greensboro airport and the Lynchburg Amtrak station for college passes on open or incentive weekends only. K. Group transportation waiting period: During return dates for holiday travel, Hargrave ground transportation will wait at the airport until there is a full load of Cadets. This waiting period can be as long as five hours, although in most cases the wait will be much less. L. Commercial transportation services: For periods not covered by Hargrave ground transportation services, you may arrange transportation for your Cadet directly with a transportation source of your choice. Ground Transportation Charges : Hargrave can provide transportation to and from the Lynchburg Amtrak station and the Greensboro Airport for Cadets departing after the scheduled departure time and returning prior to the scheduled return time. Cost of transportation will be billed to the Cadet s account at the following rates: Airport/Bus Station One-way Transportation Fee (1 Cadet) (2 or more Cadets) Lynchburg (Amtrak) $ 50 $30 Greensboro, NC (airport) $ 90 $45 Raleigh-Durham, NC (airport) $120 $60 (Transportation fees are subject to change.) Please note: An additional charge of $100 will be assessed to pick up a Cadet after 2100 (9:00 p.m.) or before 0700 (7:00 a.m.). If transportation is requested after the last plane has arrived for the date, an additional $200 will be added to the transportation cost. If the driver s wait at the airport or bus station causes him/her to be out longer than the allotted time, you will be billed at a rate of $8/hour for the increased time. If Hargrave has scheduled a pickup of more than one Cadet and the driver has to wait for the additional flights to arrive, there is no additional charge. If your Cadet s arrival time changes and you do not notify us, you will be billed for that trip. Private Aircraft : Parents who arrange for private aircraft to transport Cadets are requested to coordinate flight arrivals with the HMA transportation coordinator if ground transportation will be used. HMA will provide ground transportation to the Danville or Greensboro Airports during holiday leave, period travel days and open weekends only. There will be a $200 additive fee for ground transportation furnished outside of normal travel days and hours. Rev. 6/18 1 Military
