OLEY VALLEY SCHOOL DISTRICT BOARD OF SCHOOL DIRECTORS COMBINED COMMITTEE MEETING MINUTES SEPTEMBER 9, 2015 The Combined Committee Meeting of the Board of Directors of the Oley Valley School District was held Wednesday, September 9, 2015 at 7:00 p.m. in the Board Room of the Oley Valley Administration Building. Board President Stephen Burns presided and called the meeting to order. Board Secretary Maria Jones recorded minutes. PLEDGE OF ALLEGIANCE TO FLAG The Pledge to the Flag was led by President Burns. ANNOUNCE EXECUTIVE SESSION President Burns announced that there was an Executive Session for Personnel prior to the meeting. He announced that there were no plans for an Executive Session following the meeting. SCHOOL PROGRAM Perfect Attendance Recognition The following Support Staff employees obtained perfect attendance from August 20, 2014 through June 4, 2015. These employees did not use any sick leave during this time period. Dr. Tracy Shank, Superintendent, and the Administrators and Supervisors recognized the Support Staff employees in attendance this evening for their dedication to the students and the district. Mr. Michael Stauffer and Mr. Gary McManus, High School, recognized and thanked Mrs. Kim Mummert Full-time Library Aide High School. On behalf of Mr. Marks, Middle, School, Mrs. Dawn Cambria recognized and thanked Mrs. Karen Shearer Full-time Clerical Middle School. Mr. Matthew Broskey and Mr. David Schmaldienst, Elementary School, recognized and thanked Sandra Achey Part-time Food Service Elementary School, and Diane Petry Head Cook Elementary School. Mr. James Stock, Buildings and Grounds, recognized and thanked Timothy Reber Full-time Maintenance Elementary School, Morris Minner Full-time Custodian - Middle School, and Jarod Ott Full-time Custodian High School. ADMINISTRATIVE REPORT Dr. Tracy Shank, Superintendent, reported that the District is having a strong start to the school year, with continued focus on our students. COMMITTEE REPORTS SEPTEMBER 9, 2015 I. Budget and Finance Committee R. Richard, Chairperson S. Burns C. Kubitz, Jr. J. Ewing 1. MOTION was made by Mr. Richard, seconded by Mr. Hannum, to ratify the Business Administration Consultant Agreement between School Operations Service Group, Inc., and the Oley Valley School District effective August 31, 2015 through December 31, 2015 as presented. 2. MOTION was made by Mr. Richard, seconded by Mr. Heckman, to ratify/approve the following: o o To ratify the renewal of the Agreement between Berks County Intermediate Unit and the Oley Valley School District for Special Education and Kindergarten Eligible Early Intervention Programs and Services, effective July 1, 2015 through June 30, 2016. To approve the BCIU Special Education Services 2015-2016 Contracted Services Schedule A as presented. 3

To ratify the continuance of the Uncompensated Leave of Absence for Tina Geiger, Full-time LPN assigned to the Middle School Life Skills Support classroom, beginning with the start of the 2015-2016 school year, Wednesday, August 26, 2015 through Friday, October 30, 2015 or earlier upon release from physician. To ratify the Uncompensated Leave of Absence for Debra A. Neidert, Part-time Food Service employee assigned to the Middle School Cafeteria, beginning Thursday, September 3, 2015, not to exceed one year in duration. To approve Marissa Weidner as a Substitute Teacher for the 2015-2016 school year. Certified Regular Education Grades Pre-K to 4, and Special Education Grade Pre-K to 8. To approve Ryan Rosenberry as a Substitute Teacher for the 2015-2016 school year. Certified in English Grades 7 to 12. 2. MOTION was made by Mr. Hannum, seconded by Mr. Pollock, to approve the resignation of Shelley L. Chapman as Director of Business and Support Services, effective September 11, 2015. 4

MOTION was made by Dr. Cappa, seconded by Mr. Pollock, to accept the following donations: To accept the donation of $500.00 from the Oley Fire Company to the Oley Valley School District FFA in appreciation of the students volunteering at the Fire Company Peach Festival. To accept the donation to the District of a Yamaha Clarinet, value approximately $300.00 from Katie (Weiser) Oxenreider. To accept the following donations from the Oley Valley Athletic Booster Club: o $541.66 for two Polar Pod Immersion Systems to be used by Athletic Training Staff at the High School and Middle School in case of a heat illness emergency o $1,000.00 from Boys Basketball toward new uniforms o $1,000.00 from Girls Basketball toward new uniforms o $1,800.00 from Field Hockey toward new uniforms o $1,950 from Girls Volleyball toward new uniforms Donation Total = $6,291.66 6

MOTION was made by Dr. Cappa, seconded by Mr. Heckman, to approve Kristen Barone, ES Music Teacher, parent chaperones (ratio of 5/1) and approximately 35 to 40 Fifth Grade Vocal Ensemble students to travel to the Fulton Theatre in Lancaster, PA, on Friday, May 6, 2016 to attend a Matinee Performance of Sleeping Beauty. Student Admission = $7.00 x 40 = $280.00 PTO Donated Chaperone Admission = $15.00 x 10 = $150.00 Paid by Chaperones Transportation Mileage = $1.50 mile x 100 miles = $150.00 ES Budget Transportation Hourly Use = $15.73/hour x 4.5 hours = $70.79 ES Budget Substitute Coverage = one substitute, one day = $125.18 ES Budget Total Cost = $775.97 1. It was reported that the Joint School Board/Township Meeting will be held Thursday, October 8, 2015 at 7:00 p.m. in the Board Room of the Administration Building. 2. The following Berks County Planning Commission Monthly Reports were presented: May 20, 2015 to June 16, 2015 June 17, 2015 to July 22, 2015 XIV. Other S. Burns, President 1. MOTION was made by Mr. Burns, seconded by Mrs. Ewing, to approve the following as the 2015-2016 Student Representatives to the School Board: Senior Alexis Meals Junior Janelle Rohrbach Voice vote followed motion, all in favor. 1. It was reported that the Oley Valley Community Fair will be held Thursday, September 17 th through Saturday, September 19 th at the Oley Fairgrounds. The District will have a stand at the Fair. 2. It was reported that the Alumni Awards Presentation will be held on Friday, October 16, 2015 at 9:00 a.m. in the High School Auditorium. The 2015 Distinguished Alumni are Mark Hoch, Class of 1969, Lynn Frankhouser Keller, Class of 1974, Thomas Miller, Class of 1976, and Michael Schaeffer, Class of 1983. UNFINISHED BUSINESS NEW BUSINESS ADJOURNMENT MOTION was made by Mr. Burns, seconded by Mr. Heckman, to adjourn the meeting. Voice vote followed motion, all in favor. Meeting adjourned at 7:37 p.m. 9
