We anticipate the completion of this certification to take place in the first quarter of 2018. Certifying for this program will allow our providers to continue to participate in all EHR Incentive Programs and avoid any possible penalizations. We will inform all clients once the certification is complete. *Please Note The 2015 certified version of the Medgen EHR software will only be available to clients who are currently subscribed to a premium service. If you are unsure of your current status or would like to upgrade your subscription please contact a Medgen support team member. Thank you for your attention on this matter. Find below recent updates that were made to your Medgen EHR system: Home Screen: Patient balances will display from the main patient home screen. Check In/Check Out: The patient inquiry dashboard has been made available from the patient Check In screen. Patient forms can now be signed from the patient check in screen with the an electronic signature pad Inquiry: The Inquiry menu option from a patient s chart will now appear in red if the patient has a balance in the system. If using the Medgen Billing system a user will now be able to print a patient statement from the inquiry section of Medgen EMR If using the Medgen Billing system a user will now be able to securely email patient statement from the inquiry section of Medgen EMR Demographics Panel: Up to three emergency contacts can be added to a patient now along with their contact information, name and relation to the patient. A new field has been added to the demographics panel to capture a second ethnicity for a patient 1

A new field has been added to the demographics panel to capture a patient s gender identity A new field has been added to the demographics panel to capture a patient s sexual orientation A new field has been added to the demographics panel to capture a patient s special needs A new field has been added to the demographics panel to capture if the patient was part of a multiple birth A new field has been added to the demographics panel to capture the birth order of a patient if they were a part of a multiple birth Under Setup a new dictionary exists where a user can customize which fields are mandatory prior to saving a patient s demographic information. This setting is practice specific. From the middle initial field a user will now have the ability to capture a patient s full middle name Under the patient relatives section a user can specify multiple Next of Kin Patient Chart: A new chart section has been added to the patient chart labeled Implantable Devices. From this new panel a user will be able to capture and view all implantable devices associated with the patient. Upon entering a description of the device and the device s unique device identifier (UDI) the Medgen system will be able to pull all relevant information about that device to display to the user. Print Chart: When printing the patient chart visit notes and documents have been combined into a single PDF file instead of two separate documents. Scheduling: Patient middle initial field has been added to the quick registration screen. When scheduling a new appointment a patient search can now be performed based on the patient s DOB Patient Referral/Preauthorization: When entering a new referral or preauthorization number the system now has a check mark to designate whether it is a preauthorization or referral. When entering a new preauthorization a field has been added to associate a CPT code with that specific preauthorization number. Superbill: Superbill entry screen header has been expanded to display more information regarding the patient chart A new dictionary has been added to the procedure setup that will allow a user to specify whether a preauthorization number is required when that procedure code is billed for a specific insurance. During superbill entry a user has the ability to attach a preauthorization number to an individual CPT code line. If a preauthorization was previously entered into the patient chart with the same CPT code then the system will automatically link this to the superbill. If the above mentioned dictionary designates that a preauthorization is required for the CPT / insurance and one is not entered the system will notify the user that a preauthorization is required. 2

Vitals: During vital signs entry the user has the ability to specify No Pain on the pain scale. A new field has been added to the vitals entry window to capture PEFR Consults: A new field has been added to patient consult entry to designate priority Chart Documents: From the chart documents section of the patient chart a user will now have the ability to attach a patient chart document directly to an order that had been previously entered. During this process the user will also be able to mark the order as Complete Immunizations: From the patient chart Immunizations panel a user will now have the ability to generate an HL7 immunization file or send to a state immunization registry for a single selected immunization From the patient chart Immunizations panel a user will now have the ability to define the components of an immunization. Using this feature a user will be able to break a combination immunization down into its individual components for viewing / printing. Published Date field has been added to the immunization inventory dictionary. Immunization Funding Source can now be captured in patient immunization entry An action code can be associated with a new patient immunization entry. The action can be toggled between Add, Update, and Delete. This action can be set for specific actions to be performed when communicating with an immunization registry Medications: A pharmacy button has been added to the patient medication panel for quick access to the patient pharmacy list Visit Notes: A new tag field has been added to the visit note editor to display the patient category on note templates A timestamp has been added to the provider signature tag field for a visit note OBGYN Module: Patient cell phone number has been added to the antepartum form and print out Pregnancy Statistics: A new column has been added to display the patient primary insurance. The column will display and can be used to capture whether preauthorization is required and the status. Pregnancy Statistics: A new column has been added to display D(Rh) type. From this column a user will have the ability to capture information related to the patient in regards to this result. Pregnancy Statistics: A new column has been added to allow the user to enter internal comments related to the selected pregnancy case. 3

Custom Patient List: A button has been added to the Custom Patient list that will allow you to easily export a generated patient list to a.csv file for download. Reporting - Statistics: A new Referral Statistics report option has been added to the statistical reports. Patient primary insurance has been added to the encounter statistics grid Encounter statistics can now be filtered by patient s primary insurance Encounter statistics has an option to mark a record to Ignore so that it is colored red Superbill Statistics has a new column where the user may enter an internal comment associated with that encounter A new button option Export to Excel had been added to statistical reports for easy extraction of data in.csv format The appointment statistics report can now be filtered by time The appointment statistics report will now display the average duration of time for all appointments fetched at the top of the screen. Procedure Statistics will calculate total RVU score when fetched Unit column has been added to the procedure statistics Reporting - Payments: When filtering payments for a particular date range the total payments will now display in the heading of the grid. The payment totals will also be broken down into totals for each payment method. Insurances: From the insurance dictionary you can now assign a default category to an insurance code which will autopopulate the insurance screen when a new patient insurance is entered. Message Center: When creating a new message in relation to a patient, the patient DOB will be displayed along with the patient name. Review Tasks: Under task review module, tasks can now be filtered based on user defined task types. Refill Request: Comments will no longer be allowed when approving a Refill Request message. Comments can only be entered for denials. DIRECT Email: Enhancements have been made to the DIRECT email feature that will allow users to securely send information to other providers including an electronic copy of the patient s chart, any PDF / image attachments, or plain text messages. An UPDOX DIRECT account must be setup to enable this feature. Please contact Medgen support if you wish to have this feature available. 4

PCMH: A new module has been added that will allow the user to generate, print, and export custom patient lists that are based on certain PCMH requirements DSRIP Report: A new module has been added that will allow the user to generate, print, and export custom patient lists that are based on certain DSRIP requirements Electronic Prescription RxChange Messaging: Your Medgen system has introduced a new message type for your electronic prescription work-flow. When enabled for your provider, the RxChange message will allow pharmacies to securely send medication change requests for: Generic Substitutions, Prior-Authorization, or Therapeutic / Formulary alternatives to your system. The messages will appear in your inbox and allow you to approve or deny the changes. Approved changes will automatically update the medication list in the patient s chart if the request was in response to a previously sent new prescription message. Please contact Medgen support if you wish to have this feature available. Electronic Prescription CancelRx Messaging: Your Medgen system has introduced a new message type for your electronic prescription work-flow. When enabled, the CancelRx message will allow the provider to cancel an electronic prescription that was previously sent out from the Medgen system. On receipt the pharmacy will review and send back a response to the cancel request notifying the provider that the prescription was successfully canceled and whether any fills had been performed to the patient prior to the cancellation being completed. The cancel responses from the pharmacy will appear in your user inbox for review. Please contact Medgen support if you wish to have this feature available. EVISIT: * This feature is available at an additional charge A new module has been introduced into your Medgen EMR system that will now allow you to perform visits with your patients via web conference. Using the built in mic / camera on your PC or mobile device you may conduct a patient encounter while documenting all necessary information. The evisit module interacts with your current scheduler to help keep track of all upcoming appointments. If you are interested in this feature please reach out to Medgen support for additional information. 5

MACRA/MIPS: This Medgen release contains the new module for MACRA/MIPS reporting which is mandated for 2017. This module can be found under the Reporting menu and consist of the following sections Advancing Care Information In this section you may review the advance care measures individually or in a summary view. Quality - This section contains all the quality measures that a provider can choose from for reporting for the MIPS Score it consists of 2 types of measures: o EHR Certified - These are the Quality measures that Medgen EHR is certified to report on. They can be viewed and calculated individually or as a summary. o Claim Based - These are the measures that the provider can report through claim submission. This section can be utilized to organize preferred measures that will be used during office visits. o Clinical Practice Improvement Activities - This section allows the provider to review all improvement activities that are available for MIPS reporting. From here a user can designate certain activities as favorites as well as mark certain activities as being complete. Please refer to the Medgen MACRA/MIPS companion guide for more information.
