TO: RE: Key Leaders and Independent families Annual County Record Submission and Judging Summer is not only the season for County Fair, but it is also the time for Project Records. Here is the process that all clubs and independent families should follow in regard to turning in records for county records judging. Step 1: Collect the records from your club members at your August Club Meeting. Step 2: Clubs need to conduct a review of all of the records that are submitted (except State Fair records). You should make comments on the record evaluation sheet of things that the 4-H er can improve on or something that you really thought they did a good job on. The most important thing to remember is in order for the record to move on from the club level to the county level the record must be complete. Step 3: Select those records that are complete to move onto county records judging. Next, fill out the Project Evaluation County Form (there are three; one for each age group) Fill out tickets for those members that have completed one or more records. o The 4-H er is allowed to have a drawing ticket for every record they complete which has moved onto county level judging. (Make as many copies of the drawing ticket sheet as needed!) Step 4: Submit to the county Extension Office by the September Federation Meeting date. Records may be turned in at the Federation meeting that evening as well. Step 5: Judging Signed Record Judging Club Submission Form All three Project Evaluation County Forms s (one for EACH record submitted) Completed records At least one adult and one youth (6 th grade +) from each club will participate in judging records. Record judging will take place in multiple locations and dates throughout Stearns County. Selecting youth and adult volunteers from your club to help with the county records judging night is very important as it helps the judging process move along.
