Joint selection of the first EMJMD candidates WHEN: For first intake already done Encode in the EACEA Mobility Tool (EMT) the selected scholarship candidates (for each intake) Main and reserve lists of selected applicants EMJMD Scholarship holders Non-scholarship holders (Consortium funded and self-funded) Scholars/Guest Lecturers Non selected lists 4
Annual Student selection cycle EMJMD Autumn PROMOTE Spring Intake Autumn Publish the EMJMD course for the next academic year Selection of EMJMD candidates Encode selected candidates in the EMT BY 31/07 (latest) for 2 nd and 3 rd intake 5
Preparation of the EMJMD intakes WHEN: For first intake already done Inform and prepare to host the selected candidates Assist in visa procedures and residence permit Travel arrangements & accommodation Preparation of a welcome guide with practical information (maps, sport facilities, etc.) Start of Academic year 2015-2016: Organise welcome event & induction training Offer language courses Courses start in the first hosting HEI(s) 6
Reporting milestones 1st: First Progress report (31. January 2017) + Second pre-financing 30% 2nd: Second Progress Report (31. October 2017) + Third Pre-Financing 30% 3rd: Final Report (max. 60 days after end date of the action) 7
1 st Reporting milestone By 31/01/2017 1 st Progress Report + 2 nd Pre-Financing Not later than 31. January 2017 Submission of the first Progress report and Request of Second Prefinancing (30%) Report on the EMJMD activities carried out from start date until report date Send a duly signed original copy of the EMJMD Consortium Agreement Send a copy of the Student Agreement model EMT printouts of 1 st and 2 nd intake (Mobility tracks of the students enrolled in the EMJMD) 8
2 nd Reporting milestone By 31/10/2017 2 nd Progress Report + 3 rd Pre-financing Not later than 31 October 2017 Submission of the first Progress report and Request of Third Prefinancing (30%): Report on the EMJMD activities carried out from 1 st progress report until report date: EMT printouts of 1 st, 2 nd intake and 3 rd intake (Mobility tracks of the students enrolled in the EMJMD) 9
33 rd rd Reporting milestone By 31.01.2017 1 st Report Final Report By 31.10.2017 2nd Report 60 days after end date project Not later than 60 days after the end date of the action (approx. Nov/Dec. 2019 for most projects): Submission of the EMJMD final report containing: Report on the EMJMD activities carried out from start date of the project until end date (full contractual period): Mobility tracks of the students enrolled in the EMJMD (EMT printouts of 1st, 2nd and 3rd intakes) Academic accomplishments of the students of all three (3) EMJMD editions EMJMD management lump sum / Scholarship amounts spent Involvement of scholars/guest lecturers Declaration on the final amount of the EMJMD grant spent 10
