North Texas Giving Day General Information and Eligibility What is North Texas Giving Day? Communities Foundation of Texas North Texas Giving Day is an annual 18-hour online giving event designed to empower every person to give back to their community by supporting local nonprofits and causes they care about using one easy-to-use platform! North Texas Giving Day is the largest community-wide giving event in the nation and builds awareness and support for nonprofits like nothing else! In 2017, $39 million was raised through more than 137,000 gifts benefiting 2,723 local nonprofits, bringing the nine-year total to $195 million for our community. Now in its 10th year, this online event has transformed from an easy way for people to give wisely, to a movement that has ignited a broad culture of community-wide giving. During North Texas Giving Day, everyone has the opportunity to be a part of building a stronger and more vibrant North Texas. When is North Texas Giving Day? Thursday, September 20, from 6 AM Central Midnight at www.northtexasgivingday.org. Going out of town? You can schedule your gift early between September 10 at 8am and September 19 at midnight. Who created North Texas Giving Day? In 2009, Communities Foundation of Texas (CFT) created North Texas Giving Day as one of the first community-wide giving events in the world! Powering North Texas Giving Day is one of the many ways CFT serves as a hub for philanthropy. With a goal of creating a thriving community for all, CFT professionally manages more than 1,000 charitable funds for families, companies, foundations and nonprofits and has awarded more than $1.8 billion in grants since its founding in 1953. ELIGIBILITY: To participate in North Texas Giving Day, a nonprofit must: 1. Have a physical location/mailing address in one of these North Texas counties: Collin Ellis Hood Montague Rockwall Cooke Erath Hunt Navarro Somervell Dallas Fannin Johnson Palo Pinto Tarrant Denton Grayson Kaufman Parker Wise 2. Dedicate 100% of proceeds raised through North Texas Giving Day to the organization s North Texas programs, services or beneficiaries in the counties listed above; 3. Have a completed North Texas Giving Day registration by August 15, 2018; and 4. Be a 501(c)(3), 509(a)2, or 509(a)3 type I, II, and III functioning integrated in good standing with the state and the IRS and not be in violation of any applicable state or federal law, ordinance or regulation. NOTE: 509(a)(2) organizations must provide additional documentation before their profile will be approved. Not eligible: Private foundations, 509(a)(3) type III non-functionally integrated, foreign organizations, individuals and disqualified supporting organizations are not eligible to participate. Please note: Each nonprofit s page will include a link to their GuideStar profile to provide donors with more detailed information on the organization s mission and use of its charitable dollars. Approval of an organization s participation in North Texas Giving Day does not constitute an expressed or implied endorsement of a nonprofit or its mission by CFT or any other Giving Day partner. 3

New and Different 10 Days of Scheduled Giving In honor of our 10th anniversary, this year scheduled giving will be open September 10 to September 19. Peer-to-Peer FUNdraising A new feature this year is that donors can create peer-to-peer FUNdraising pages! These pages will allow donors to activate their networks and fundraise for their favorite nonprofit. Volunteer Opportunities In an effort to help donors give their time as well as their dollars, your organization will have the ability to add volunteer needs to your nonprofit page. Donors will be able to see volunteer opportunities and let you know if they want to help. Plus, there will be volunteer events throughout scheduled giving! New Nonprofit Portal The new nonprofit portal makes maximizing your profile easy. Through the portal you can add customized donation levels, photos and videos, volunteer opportunities and approve FUNdraisers. Approved nonprofits can access additional training on the Resources tab. Through the portal you can access your donor report during scheduled giving and on North Texas Giving Day. You can also resend donor receipts through the portal. Donor Accounts Donors will have the ability to create donor accounts to keep track of their donations year after year! Through their donor account, they can also create FUNdraising pages for their favorite nonprofits and download their North Texas Giving Day receipt. NOTE: Donors don t have to create a donor account to donate through NorthTexasGivingDay. org on September 20, but will have to create a login to schedule a gift between September 10 and September 19. Shopping Cart This year making multiple donations is easier than ever! With the shopping cart feature donors can shop for all their favorite nonprofits and check out through one easy process! Offline Gifts Nonprofits will be able to enter checks, cash and other offline gifts to be counted toward their Giving Day total. These gifts are not eligible for Bonus Funds, but do count toward prizes. Electronic Check Distribution To help nonprofits receive their donations faster, this year we are launching electronic check distributions. During the registration process, you must have your CEO/ED s email address verified. This is the email address that the electronic distribution for your organization. Registration Fee A part of signing up for giving day this year, nonprofits will be charged a registration fee. The fee is based on budget size. Organizations with budgets up to $249,999 will have a $50 registration fee, while organizations with budgets $250,000 and over will have a $100 registration fee. Fee is payable by credit or debit card. 4

New and Different Regional Events: Events will occur throughout scheduled giving and on North Texas Giving Day to rally the community to come together and get up and give! Key Messages Please use the following messages when promoting North Texas Giving Day: 1. Communities Foundation of Texas 10th annual North Texas Giving Day is back on September 20, 2018! Help us set another national record by donating to one or more of 2,700+ nonprofits at NorthTexasGivingDay.org! 2. Go to NorthTexasGivingDay.org and give to one or more of the 20+ causes to help build a stronger and more vibrant community! 3. To mark our 10th anniversary, donors have 10 days to schedule their North Texas Giving Day gifts starting September 10. Simply go to NorthTexasGivingDay.org between September 10 and September 19, and you will be able to schedule gifts to all your favorite nonprofits! 4. Now donors can donate more than just their dollars! Volunteer to share your time and talent through North Texas Giving Day s marquee volunteer events between September 10 and 19. Watch your email and the website for details and to sign up. 5. Donors can stretch their dollars further with 1:1 matching funds secured by nonprofits. Last year 373 nonprofits raised over $3.4 million in their own dedicated matching funds. 6. Join the fun in person at events that take place throughout scheduled giving and on September 20! Visit the events page to learn about donation stations throughout the North Texas region. 7. Be an ambassador for your favorite local nonprofit by signing up for your own FUNdraising page and activating your network! Our impact is greater when we give together! 8. North Texas Giving Day is powered by Communities Foundation of Texas, a 65-year-old community foundation that has presented North Texas Giving Day since 2009. The foundation professionally manages more than 1,000 charitable funds for families, companies, foundations and nonprofits and has awarded more than $1.8 billion in grants since its founding in 1953. 9. Communities Foundation of Texas provides a variety of training opportunities to participating nonprofits. CFT equips nonprofit staff to engage their audiences and raise funds, and provides free and customizable marketing materials to use for promotion across various channels. 10. The North Texas Giving Day leaderboards are fun to watch all day. Follow the progress of your favorite nonprofits! 7

Fundraising Efficiency North Texas Giving Day is an efficient way for charitable organizations to raise funding for critical services to support North Texans. It s much easier than hosting a gala! 4. Powerful One-Stop Shop NorthTexasGivingDay.org provides an easy way for everyone to give back with a one-stop shop website featuring more than 2,700 nonprofits. Support all your favorite local causes in one place. 5. To Make Tomorrow Better North Texas Giving Day creates a sense of urgency and excitement to support the needs in our own backyard. 6. Be a Part of Something Bigger! When we all give together on one day, it shows how much we believe that our nonprofit sector makes North Texas a great place to live. North Texas Giving day is an effective way to stimulate giving in our region. 7. Prizes! By giving through North Texas Giving Day, you re helping your selected nonprofit qualify for one or more of approximately 100 prizes. 8. We is Greater Than Me. Giving together is more powerful (and fun) than giving alone. 9. KEY MESSAGES Incentives to Give Matching Funds Matching funds are additional dollars contributed directly to your nonprofit from a donor, company or community partner (or some combination) to help encourage donations to your nonprofit. Matching funds should be 1:1 matches, which allows you to say your dollar will be doubled! Your matching fund will appear on your nonprofit page and will count down as they are satisfied. Prizes Each year, Communities Foundation of Texas partners with foundations, companies and individuals in order to award prizes throughout North Texas Giving Day, creating excitement for both nonprofit partners and donors. Prizes are designed to be won by new participants to Giving Day, returning organizations and agencies of all sizes. Prizes range from random hourly Golden Ticket drawings to geographic and cause-related prizes to rewards for the most donors and more. Continue to check the Prize section of NorthTexasGivingDay.org for a complete list of 2018 prizes. Bonus Funds Communities Foundation of Texas raises approximately $1MM in bonus funds in partnership with local foundations, companies and individuals. The bonus funds boost gifts from the community made on NorthTexasGivingDay.org. The bonus funds are distributed proportionately to partially match gifts up to $10,000 given during scheduled giving or on September 20. For example, if a nonprofit raises $5,000 on North Texas Giving Day, and the bonus percentage is 2.5%, then that nonprofit will earn $5,125 (before processing fees.) Watch a video. Bonus Calculation: Example: Total Bonus Funds Total Amount Raised on North Texas Giving Day Bonus Fund % $1,000,000 = = 2.5% $40,000,000 The bonus percentage for 2018 will be determined on September 21 (the day after the event.) Peer-To-Peer A new feature this year is that donors can create peer-to-peer giving pages or FUNdraising pages! These pages will allow donors to activate their network and fundraise on their favorite nonprofit s behalf. Did you know Giving Day donors have the option of covering the technology and processing fees when they check out? Last year 64% of donors helped cover these fees for their nonprofit. Help your donors gifts go further by encouraging them to cover the fees, ensuring that nonprofits get the most out of donations! 9

1:1 Matching Funds What are Matching Funds? Matching funds are additional dollars contributed directly to your nonprofit from a donor, company or community partner (or some combination) to help encourage donations to your nonprofit. Matching funds should be 1:1 matches, which allows you to say your dollar will be doubled! Your matching fund will appear on your nonprofit profile and will count down as they are satisfied. Nonprofits that participate in North Texas Giving Day take the lead on securing their matching funds. Nonprofits will be able to add matching funds to their profile until 5pm on September 19. Did you know... Who are potential matching fund donors? In 2017, Start with your inner circle: 373 nonprofits raised Board members their own matching Major donors to previous Giving Days funds, totalling Fall/year-end donors $3.4 A group of donors, or anyone who loves your nonprofit million!$ Reach out to businesses in your community: Approach businesses that you have previously partnered with Partner with businesses that are willing to promote your cause to their customer base Create unique partnership opportunities with local businesses to help broaden your giving base Engage the employees of local businesses to make a large impact with one collective gift Matching funds allow donors to: Multiply the impact of their gift for a nonprofit about which they care deeply. Does the matching fund money get bonused? No. Each nonprofit should receive the matching fund money directly from their donors. Matching fund donors can write a check or grant directly to your organization, outside of the Giving Day platform. Are matching funds a dollar-for-dollar match? Yes, matching funds must be dollar for dollar. Will my matching funds appear on my nonprofit profile? Yes, your match amount will be listed on your profile page. As you raise money on NorthTexasGivingDay.org, your match goal will count down until the match is satisfied. 10

Scheduled Giving From September 10 to September 19, donors will be able to schedule gifts to their favorite nonprofits! Things to know about scheduled giving: 1. Donations scheduled between September 10 at 8am and September 19 at midnight will be processed on North Texas Giving Day, September 20. 2. Donors have to create a donor profile to schedule a donation between September 10 and 19. 3. Donors can gather all their favorite nonprofits in the new shopping cart feature and can checkout all at once through one easy checkout process. 4. Scheduled donations are eligible for bonus funds once processed on September 20. They are also eligible for prizes that are specific to scheduled giving, and other prizes through North Texas Giving Day. 5. Donors who make an error while scheduling their donation can call 214-346-5500 to make a correction to their scheduled donation before the gift is processed on September 20. Once the donation is processed, they can contact the North Texas Giving Day team at the same number for adjustments. 6. Once a donor schedules their gift, they will receive an email confirming the donation has been scheduled and reminding them that it will be processed on September 20. Once the donation is processed on the 20th, the donor will receive their tax receipt as a confirmation that their donation went through. Should the transaction fail, they will get an email indicating that their donation did not go through and to try making their donation again. 7. Nonprofits can see their scheduled donations through the nonprofit portal under My Organization and Donation Information. Scheduled Giving Ideas: Scheduled giving is a great time to rally supporters! Work with a community partner to host an event. Host a site visit to give your prospective donors a backstage pass to your organization. Encourage your board members to host a coffee, lunch or dinner for their network to learn more about your organization. Activate your ambassador network to create FUNdraising pages for your organization. In 2017, 11% of donors who scheduled a donation came back and gave again on North Texas Giving Day. 11

KEY MESSAGES Peer-to-Peer FUNdraising A new feature this year is that donors can create peer-to-peer giving pages or FUNdraising pages! These pages will allow donors to activate their networks and fundraise for their favorite nonprofit. Things to know about Peer-to-Peer FUNdraising: 1. FUNdraisers must have a donor account to create a FUNdraising page. 2. All FUNdraising pages must be submitted and approved by September 14 at midnight. 3. FUNdraising pages are a great way to activate your organization s army of ambassadors! 4. Nonprofits must approve all fundraising pages through the nonprofit portal. Peer-to-Peer Ideas: Encourage your board members to create FUNdraising pages. Reach out to your network of volunteers and super fans and suggest they create FUNdraising pages to rally their networks for their favorite cause. Recruit your employees to create FUNdraising pages to share with their networks. Post to your online network about creating FUNdraising pages. 12

Strategy Checklist North Texas Giving Day is a great way for local nonprofits to reach new donors and raise more money. Maximizing the opportunity can be difficult with all the normal responsibilities on your plate. You have two options: work harder or work smarter...did you know Last year, 31% of donors were first-time donors to their selected nonprofit. Here s a comprehensive checklist for you to ensure success on North Texas Giving Day by working smarter: STEP #1: What Are Your Goals? Analyze your data to define your goals. Analyze your current donor database to discover new opportunities and develop the best approach. Establish your overall fundraising goal based on insights from your data. Determine the number of new donors and total participants you want to reach. Set segmented participation goals (young donors, lapsed donors, new donors, etc.). STEP #2: What s Your Story? How are you going to engage your donors? Create a compelling case for support. Consider tying your campaign to a matching fund or specific program. Create an omni-channel experience. Be sure to coordinate your communication efforts across every channel (web, print, social media, direct mail), and don t forget mobile. Be intentional with your email strategy. Start early, but beware of donor fatigue. Segment donors and tailor messages to reach them. Target donors with relevant content and contextualized asks. Personalize your communications. People give to people. Create a personal experience that resonates with each individual donor. Optimize your website. Consider launching a homepage takeover. Redirect your donate button to your North Texas Giving Day page on September 20. Equip social ambassadors with social content and images for your campaign. Create templated emails for your key influencers and board members to share. Reward participants for recruiting donors. Think about an incentive that would inspire them to share. STEP #3: Build Your Team Who is going to help you make North Texas Giving Day a success? Analyze who in your internal organization could best help you achieve your North Texas Giving Day goals. Who are the board members that would best help spread your message? Think about current donors or volunteers who would be great ambassadors for your organization. Activate your ambassador army by encouraging them to create FUNdraising pages, spread the word to their networks, and donate on September 20. STEP #4: How Will You Follow-Up? Be intentional with your follow-up Create a simple thank you video in advance and assemble a team to write handwritten thank you notes. Thank immediately via email, phone call or text. (Your donor report provides live donation data!) Develop a specific follow-up campaign to steward donors and thank them. Attend Donor Stewardship training in Dallas on October 2 or in Arlington on November 7. Make North Texas Giving Day more than simply something else your organization participates in. Consider how you can maximize the opportunity to transform your fundraising efforts by working smarter not harder. 14

Planning Timeline Month-by-Month Guidelines Here is a month-by-month guide to help you prepare for North Texas Giving Day on September 20, 2018. Now Attend a Kickoff Event and Develop Your Goals New Nonprofits: Read eligibility requirements to ensure you re eligible to participate in North Texas Giving Day After attending a kickoff event, create a login and begin Giving Day registration. Returning Nonprofits: Reclaim your organization s profile. Update your profile to complete registration (address, mission statement, agency needs, budget size, etc.) Be sure to upload your logo, add photos, check links to social media pages and website, and ensure written content is simple, concise and appeals to prospective donors. All Nonprofits: Mark September 20, 2018, North Texas Giving Day, on your organization s calendars. Attend a NTGD Kickoff Event (Dallas, Tarrant, Collin, Denton and Grayson Counties) Learn about the Early Bird Perks Club for submitting your profile or updating an existing profile early. Inform your board, staff, and volunteers of your participation in North Texas Giving Day. Share your results and key data from 2017 to inspire your supporters. Develop a fundraising goal, a strategy and a timeline. Sample goals: 1. Acquire 20 new donors, 2. Raise $5,000 in donations, 3. Re-engage 20 lapsed donors. Select a staff member or high-level volunteer as a point person who has strong leadership and organizational skills who can commit to the North Texas Giving Day timeline choose someone to own North Texas Giving Day for your organization. Nonprofit Registration for North Texas Giving Day Opens May 30 June Train and Prepare Make plans to participate in the summer training sessions. Build your social media outreach create a plan, an editorial calendar and your social media posts. Familiarize yourself with the helpful tools located on the Resources tab in the nonprofit portal. Watch, and share with key staff, the kickoff videos, review FAQs, read the press release and key messages. June 15: Early Bird Perks Club deadline #1...Learn about perks for submitting your profile in June. July Secure Matching Funds...Print Materials... Activate Social Media Incorporate North Texas Giving Day logo and other branding materials into your promotions. Announce your participation on social media. Read the Social Media Guidelines/Tips on the Nonprofit Resources page. July 13: Early Bird Perks Club deadline #2...Learn about perks for submitting your profile in July. Double check the information is correct and complete registration before the August 15 deadline. If you missed the kickoff events, schedule time to watch kickoff videos or watch webinar. Work on securing a Matching Fund from current donors, community partners or your board. 15

Fine-tune your strategy to reach your goals. Share with board members, staff and volunteers. Ensure they understand their roles. August Last Chance to Register...Increase Your Outreach Begin an email and social media campaign, starting slowly and building in frequency during September. August 15 at 5:00 pm: Deadline to pay your registration fee and submit registration. Begin increasing outreach efforts. Amplify promotion on your website, print materials and word of mouth. Mail #NTxGivingDay co-branded postcard or other direct mail piece (see Nonprofit Resources page). Share any events you have planned for NTxGivingDay by completing this events survey. North Texas Giving Day marketing team will review events to post on the Events page, and to find media, photo and video opportunities with nonprofits. September Promote at Maximum & All Hands on Deck! #NTxGivingDay Public Service Announcements begin running on WFAA. Communities Foundation of Texas continues extensive press outreach for NTxGivingDay. Increase social media posts. Review best practices video, social media webinar and Social Media Guidelines. September 7 is the last day that nonprofits can edit information, except for adding matching funds and approving FUNdraising pages, on your approved profiles. Scheduled giving opens September 10th! September 19 at 5pm is the last day you can add matching funds to your profile. Promote your organization s chance to win prizes with the help of your supporters. Send reminders about North Texas Giving Day. Share your goals. Let supporters know when you reach key milestones. North Texas Giving Day is Thursday, September 20 at 6am! It s go time, alert your audience, thank your donors, watch the leaderboards, consider attending an event in your community (events are being held all across the North Texas region.) North Texas Giving Day Nonprofit Registration Introduction to the Registration Process Nonprofit registration is an easy 4-Step process. New nonprofits and returning nonprofits start at different points of the process. The next few pages break down the registration process step by step, so that registration can be completed quickly. NOTE: Returning organizations are considered organizations who participated in 2017. You are able to save your progress throughout the registration process. All profiles must be submitted by August 15 (Step 4). 23

Once you are on the login page click New Organizations to NTxGivingDay click here to begin registration. To complete Step 1, you will need the following: 1. Primary Contact Information 2. Organization Name (as it will appear on the website) 3. Organization Address 4. County of Your Office 5. EIN (the 9-digit Employer Identification Number assigned to your organization by the IRS) 6. IRS Letter of Determination (required if your organization is not found in GuideStar) Step 2 Returning Nonprofits Start Here (2017 participants) New Nonprofits Continue Here Returning nonprofits will receive an email on May 30 with a link to reclaim their profile. New nonprofits, upon completing Step 1, will receive an email with a link to complete Step 2. North Texas Giving Day Nonprofit Registration Step 3 All Nonprofits Upon completing Step 2, all nonprofits will return to the My Organization section of the nonprofit portal. Verify your Executive Director or CEO s email address for electronic check distribution. Your ED/CEO will receive an email with instructions and a link to verify their email address. This email verification must be completed before you can progress to step 4. Pay your registration fee ($50 for organizations with budgets under $250,000 and $100 for organizations with budgets of $250,000 or more). The registration fee must be paid by credit/ debit card and online. The registration fee receipt will be sent to the user logged in to make the payment and to the billing email address entered with the payment. Step 4 All Nonprofits Return to the My Organization section of the nonprofit portal. Submit your profile for approval. If the Submit Profile for Approval button is grayed out, click Edit My Profile and at the very bottom unselect the Save Profile Progress checkbox. The Submit Profile for Approval button will not display until all required fields (marked with an *) from Step 2 and Step 3 are complete. All active users in the nonprofit portal will receive an email once your profile has been reviewed. Additional Information: Donation Levels Once your registration has been approved, you can add information on the other tabs including creating donation levels, adding photos and videos to your page and speaking to your organization s volunteer opportunities. New this year, nonprofits will have the ability to create customized donation levels on their nonprofit pages to help tell your story. To create customized donation levels you will login, go to the My Organization section and select the Donation Levels tab. An example of custom donation levels would be the following: $50 $100 $500 $1,125 $2,500 covers the cost of two hope bags for our clients the average cost for medical appointment pays for two clinical counseling sessions covers rent for one month three-month awareness tour Use these custom donation levels to tell donors how much impact their donation can have. If an organization decides not to create custom donation levels, standard North Texas Giving Day donation levels will appear on their page. Donation levels have a 40 character limit. Each organization is allowed to create up to six donation levels. Note: You are not required to customize your donation levels 26

Additional Information: Photos and Videos To simplify the nonprofit registration process, adding photos and videos is now a separate step from registration. To add photos and videos you will login, go to the My Organization section and select the Multimedia tab. Your photos and videos will appear on your nonprofit page leading up to and on North Texas Giving Day. You can upload up to 8 images and/or videos related to your nonprofit profile page. Images must be.png,. jpg,.jpeg, or.gif. Videos and images must not exceed 5MB in size. Images will appear on your organization s public page and are a great way to help explain how your organization impacts our community. Multimedia Tips: Make sure your videos have a call to action for donors to give. Choose videos and photos that help differentiate your organizations from others. Show whom donations will benefit by using photos of clientele from whom you have media releases. 27

Additional Information: Volunteer Opportunities In an effort to help donors give their time as well as their dollars, you will have the ability to add volunteer needs to your nonprofit page. To add volunteer opportunities, simply login, go to the My Organization section and select the Volunteer tab. Here you will have the opportunity to enter volunteer opportunities. These volunteer opportunities will be displayed on your nonprofit profile page. When they give to your organization, donors will have the opportunity to tell you they are interested in volunteering so you can follow-up with them. 28

Additional Information: Peer-to-Peer FUNdraising A new feature this year is that donors can create peer-to-peer FUNdraising pages! These pages will allow donors to activate their networks and to fundraise on your organization s behalf. Each of these FUNdraising pages require the nonprofit s approval before they go live on the website. To approve FUNdraising pages, simply login, go to the My Organization section and select the FUNdraisers tab. When an individual creates a page for your organization, they will appear in your portal under FUNdraisers tab, in FUNdraisers to be Reviewed section. From here you will click view and approve or decline the page. When you click view on a pending FUNdraising page, this screen will appear. From here you are able to review who the donor is, their mission statement, their stated goal, and other information they provide for their FUNdraising page. Once you have reviewed the information you will have the opportunity to approve, decline, deactivate or edit the page. If you decline or deactivate a page, there is no reversing this decision and the donor will have to create a new FUNdraising page. As you approve and decline FUNdraising pages, they will appear in the Active FUNdraisers and Deactivated & Declined FUNdraisers section on the FUNdraisers page. 29
