ASSOCIATION OF THE UNITED STATES ARMY S INSTITUTE OF LAND WARFARE ARMY AVIATION SYMPOSIUM AND EXPOSITION A Professional Development Forum Army Aviation: Trained and Ready Professionals, Today and for Tomorrow 11-13 January 2012 Gaylord National Hotel and Convention Center National Harbor, MD The Association of the United States Army s Institute of Land Warfare (AUSA ILW) will produce an unclassified Army Aviation symposium for members of industry and the military community at the Gaylord National Hotel and Convention Center at National Harbor, MD, 11-13 January 2012. The theme for this year s event is Army Aviation: Trained and Ready Professionals, Today and for Tomorrow. The three-day event will include participation from the U.S. Army Aviation Center of Excellence and Ft. Rucker, the U.S. Army Program Executive Office Aviation, and the U.S. Army Aviation and Missile Command. SCOPE & OBJECTIVE The Army of the 21st Century will be versatile, expeditionary, agile, lethal, sustainable, and interoperable. In an era of persistent conflict, these are the defining qualities of a balanced Army. Army Aviation, as a key enabler, is critical to the overall success of the Army s mission. The purpose of the AUSA ILW Army Aviation Symposium is to stimulate dialogue among senior Government officials, military leaders, and industry executives concerning the status of the Army Aviation Enterprise approach to sustaining, equipping, transforming, training, and technology integration of the current and the future force in the context of Army Force Generation (ARFORGEN). Ultimately, the symposium will involve discussions on how to best sustain and acquire the required materiel to directly support the Aviation warfighter and combatant commander during combat operations. The AUSA ILW Army Aviation Symposium will provide a unique opportunity for senior leaders from industry and the military to interact and share their thoughts on the future of aviation requirements, organizations, operations, training, logistics, and acquisition. Industry participants will include senior-level executives from the leading developers and manufacturers of aviation systems used by the U.S. Army. Military attendees will include key leaders involved in the procurement, development, sustainment, and training process for U.S. Army Aviation systems. EXHIBITOR INFORMATION Exhibit Hall E at the Gaylord National Hotel and Convention Center can accommodate 36,804 net square feet of display space. There are (152) 10 X10 booths available on a first-come, first-served basis for the three-day symposium. Raw booth spaces can be combined to create larger display space. General Information Eligibility: AUSA s ILW Army Aviation Symposium and Exposition welcomes all AUSA members, employees or consultants of AUSA Sustaining Member companies, military and civilian government personnel, invited guests, and nonmembers that have an identifiable relationship with AUSA or the United States Army. Registration: Registration fee per individual is $400.00 for government personnel, $700.00 for Sustaining Members, $900.00 for AUSA Individual and Corporate Members and $1000.00 for non-sustaining Members. The fee will increase to $450.00, $750.00, $950.00 and $1050.00 respectively, after close of business 5 January 2012. We accept checks, American Express, VISA or MasterCard. We do not accept government form 1556 as payment. Please do not send the registration application without payment as we will be unable to reserve space until payment is received. Once your registration and payment are processed, a receipt will be available to print at the registration desk on-site. Refunds will be made for those registrants who cancel in writing prior to close of business 5 January 2012. No refunds for cancellations after that date will be provided. Refunds will not be processed until after the symposium concludes. Registrations received after 5 January 2012 are not guaranteed for pre-registration. Late registrants may need to register on-site. Lodging: Accommodations for this symposium have been arranged at the Gaylord National Harbor Hotel, 201 Waterfront Street, National Harbor, MD 20745. Reservations can be made by contacting the hotel directly at 301.965.4000. Based upon availability, the room rates for this symposium are: Single Double Triple $199.00 $199.00 $239.00 Room rates subject to applicable tax. Reservations must be made by Saturday, 17 December 2011 to guarantee this rate. After 17 December, reservations will be made on a space and rate available basis only. In order to receive this special conference rate, when making reservations, you must mention the code AUSA and that you will be attending AUSA s ILW Army Aviation Symposium. All individual reservations must be accompanied by a one night deposit plus tax or guaranteed by a major credit card (and hotel will charge an attendee s credit card for one nights stay prior to arrival). Deposits are only refundable for cancellations occurring three days prior to arrival. Check-in time is 1500 and check-out time is 1100. Transportation: Gaylord National Hotel and Convention Center, is located at 201 Waterfront Street, National Harbor, MD 20745. From Reagan National Airport: Follow signs to George Washington Parkway South (to Alexandria). Take George Washington Parkway South toward Alexandria. Veer right at the sign to Slaters Lane. Take a right at the traffic light onto Slaters Lane. Follow signs to US Route 1 South and merge onto US Route 1 South (N. Henry Street). Proceed on Henry Street through Old Town Alexandria. Follows signs to I-95 North (Maryland). Veer right at signs toward I-95. Veer left toward I-95 (Baltimore/Maryland signs) and merge onto I-95 North /I-495 East (Capital Beltway - Outer Loop). Cross Woodrow Wilson Bridge toward Maryland. Take Exit 2A toward National Harbor. Once on National Harbor property, turn right on St. George Street. Follow signs to Gaylord National Hotel and Convention Center. From Richmond & I-95 North: Take I-95 North toward Washington for about 94 miles. Take left exit onto I-495 East / I-95 North into Maryland for about ten miles. Stay to right, following signs for local traffic to National Harbor. Cross the Woodrow Wilson Bridge toward Maryland. Take Exit 2A toward National Harbor. Once on National Harbor property, turn right on St. George Street. Follow signs to Gaylord National Hotel and Convention Center. From Baltimore & I-95 South: Follow Airport exit signs toward Washington DC. Take exit 2B for MD 295 South / Baltimore Washington Parkway toward Washington. Merge onto 295 South toward Washington. Stay on 295 South for about 35 miles. Take exit 1B (the very last exit on 295 South, past exit 1) toward National Harbor. Once on National Harbor property, turn right on St. George Street. Follow signs to Gaylord National Hotel and Convention Center. DATES AND HOURS OF EXHIBITS Wednesday, 11 January... 1800 2000 Thursday, 12 January... 0900 1930 Friday, 13 January... 0900 1330 ADMISSION Admission to the exhibit hall will be limited to AUSA invited guests, including foreign dignitaries, and others who have an identifiable relationship with the United States Army. The exhibit hall will be open for the general public during normal daytime exhibit hours. All visitors will be registered and badged. BOOTH EQUIPMENT The price in this agreement includes a booth space with pipe and drape 8 in height, divider rails 3 in height and a standard display sign 44 long bearing the Exhibitor s firm name. ADDITIONAL SERVICES AND SHIPPING AT EXHIBITOR S EXPENSE Information regarding shipping instructions; cost of special booth furniture; labor and carpenters; receiving, handling and storage of crates; special electrical connections, lighting fixtures, etc., will be sent to you with our Exhibitors Services Manual approximately 30 days prior to move-in. INSTALLATION AND DISMANTLING Installation of exhibits will begin at 0800 hours on Tuesday, 10 January. All displays must be ready for operation by 1600 hours on Wednesday, 11 January. Dismantling of indoor exhibits will begin Friday at 1330 hours. All display material must be removed from Exhibit Halls by 2130 hours on Friday, 13 January 2012. BOOTH SPACE COST The Sustaining Member rate is $44.00 per square foot. Non-Sustaining Member rate is $55.00 per square foot. You will be charged for the total square footage within the area assigned to you based upon 100 square foot increments. ASSIGNMENT & PAYMENT FOR SPACE Exhibit space will be allocated by AUSA. Any fees or charges not paid when due shall bear interest at the rate of 18% per annum, computed daily, and the Exhibitor shall bear the full cost of any collection effort required including legal fees, court costs and related charges. It is understood and agreed that refunds for cancelled space are contingent upon the resale of the space. UNDER NO CIRCUMSTANCES WILL EXHIBITOR BE PERMITTED TO OCCUPY ITS EXHIBIT SPACE IF FULL PAYMENT HAS NOT BEEN RECEIVED. RESALE/SUBLEASING OF EXHIBIT SPACE Exhibitors may not assign, sublease or otherwise share all or a portion of their exhibit space with any party except a wholly-owned subsidiary, a sister corporation or a company represented by an exhibitor and registered as such with AUSA, without the express written consent of AUSA. This prohibition will be strictly enforced. LIABILITY The Association of the United States Army and the Gaylord National Hotel and Convention Center, their management, and all organizations and individuals who are employed by them in connection with this Exhibition will not be responsible to Exhibitor and shall be held harmless by Exhibitor for damage or loss to Exhibitor property, or personal injury during the Exhibition Period resulting from the negligence of the Association of the United States Army and the Gaylord National Hotel and Convention Center, their management, and all organizations and individuals who are employed by them in connection with this exhibition. Furthermore, the Exhibitor agrees to defend and hold harmless the Association of the United States Army and the Gaylord National Hotel and Convention Center, their management and all organizations and individuals who are employed by them in connection with this exhibition from any liability for damages or loss of property or personal injury resulting from the activities of Exhibitor, regardless of negligence. AUSA REGULATIONS 1) AUSA will publish complete Show Rules and Regulations under separate cover. These Rules and Regulations will be included in the Exhibitor Services Kit. 2) Owing to the tight time constraints, logistical problems and local union rules, AUSA has placed the overall supervision of the erection and dismantling of exhibits under Global Experience Specialists (GES), who have been designated the Official Contractor. Individual Exhibitors may retain the services of GES at their own expense. Exhibitors desiring to use display contractors other than the designated Official Contractor must obtain advance approval from AUSA. A written request must be presented by the Exhibitor to AUSA at least 20 days in advance of the first day of move-in, and must include the name and address of the contractor, the name of the on-site supervisor, a certificate of insurance for the contractor, and a statement signed by the contractor that they will comply with AUSA s rules and regulations and cooperate with the official contractor, GES (301) 583-5000, ATTN: Jennifer Chagnon. Exhibit kits will be mailed by GES within 30 days of the event. 3) Display firms engaged by Exhibitors must comply fully with all rules and regulations listed by AUSA. Labor utilized by outside contractors must be drawn through GES and/or through the business agent of the appropriate union. It is the responsibility of the Exhibitor to ensure compliance. 4) AUSA reserves the right to relocate booths when advisable for the general good of the exhibit. UNION JURISDICTIONS To assist you in planning for your participation in the exhibition, we are certain you will appreciate knowing in advance that union labor may be required for installation and dismantling of your display. Stagehands Union Members of this union claim jurisdiction over all set-up and dismantling of exhibits including signs and carpet. As an Exhibitor, you will be pleased to know that when union labor is required, you may provide full-time company personnel to work along with them. Tipping GES requests that exhibitors not tip its employees. They are paid at an excellent wage scale denoting a professional status, and we feel that tipping is not necessary. This applies to all GES employees. NO SALE CLAUSE To ensure full compliance with IRS rulings, Exhibitor will not make sales, or solicit, or accept orders for any product or service including advertising space, in the exhibit halls or within other facilities of the exhibition. FIRE REGULATIONS Federal and local fire laws must be strictly observed. Wiring must comply with fire department and underwriters rules. Aisles and fire exits cannot be blocked by exhibits. No decoration of paper, pine boughs, leafy decorations or tree branches are allowed. All muslin, velvet, or any other cloth decoration must stand a flame proof test as prescribed by fire ordinance of National Harbor, MD. AUSA SECURITY MEASURES The Association of the United States Army will provide watchmen to patrol the Exhibit areas during show hours and the hours when the exhibits are closed. However, Exhibitors are responsible for the security of their own exhibits. Additional security may be arranged for with a security agency, if the Exhibitor deems it necessary. (Exhibitor will inform AUSA of any such additional security measures.) CANCELLATION OF SHOW The performance of this agreement is subject to any circumstance making it illegal or impossible to hold the exhibit, including Acts of God, war, government regulations, disaster, strikes, civil disorder, or curtailment of transportation facilities. The Agreement may be terminated only for any one of the above reasons by written notice of the Association of the United States Army to the Exhibitor. If AUSA must terminate this contract or exhibition (or any part thereof) due to the above mentioned circumstances, AUSA has the sole right to retain such part of the Exhibitor s rental fee as shall be required to recompense AUSA for expenses incurred up to the time such contingency occurred.
