IEEE Islamabad Section Executive Committee Meeting was held on 10 th April, 2012 (Tuesday) in Conference Room, M. A. Jinnah University, Islamabad. 2. Dr. Azzam ul Asar, Chair Power Engineering/Power Electronics Joint Chapter and Mr. Amir Jelani, Chair Student Activities could not attend the meeting due to their pre scheduled program. 3. Dr. Muhammad Mansoor Ahmed, Chairman IEEE Islamabad Section welcomed all members and guests. The meeting thereafter proceeded in accordance with the agenda. Agenda Item No. 1: Review of Previous Ex Com Meeting Minutes 4. The minutes of the meeting dated December 23, 2011, already communicated were reviewed and confirmed. Agenda Item No. 2: IEEE Pakistan Fund Discussion Action By 5. Air University Project: AVM Saleem Tairq briefed that US$7000 were initially transferred from IEEE Foundation to Air University which made the following achievements possible: IEEE Pakistan Fund Coordinator Air University, Isl Surveys have been completed to gather exact information. Arranged 50 Pentium VI, Intel dual Core Computers. 120 teachers have been selected for Training. 2000 students have been short listed for scholarships and stipends. Science Labs have been equipped He further informed that the remaining amount of US$8000/ will be utilized for the following tasks to complete the project in time: Procurement of remaining 25 computers Transfer and installation of computers to the designated areas. 10 schools will be selected for one year fee scholarships to top 10 students of each school Provision of technical assistance to the staff to establish computer labs. A certificates distribution ceremony will be arranged at the end of the project. AVM Saleem Tariq informed that a two day training and counseling workshops had been conducted twice for 100 male and female teachers by experienced trainers with the help of certified teaching manuals. a committee comprising of local volunteers had been constituted for a proper check and feedback mechanism to increase the durability of the project. UET Peshawar Project: With reference to an email received from IEEE, Dr. M. Mansoor Ahmed, Chair IEEE Islamabad Section, informed on behalf of Dr. Azzam ul Asar, IEEE Pakistan Fund Project Coordinator UET Peshawar that UET Peshawar had requested to IEEE for 05 months extension in performance period for completion of the project on the following grounds: IEEE Pakistan Fund Coordinator UET Peshawar Funds were received in December, 2011. Delays in conducting trainings due to preoccupation of trainers and students. Delays in procurement of required equipments due to codal and procedural formalities. 4 th part of the project, which carries great significance and is based on patent work between UET Peshawar and Cambridge University, UK is still incomplete. Dr. Mansoor further informed that the subject project entitled Project for flood affected areas of Nowshera District Pakistan having four components was awarded to UET Peshawar with a grant of US$45000/ to be completed in April 01, 2012 had been considered by IEEE and hopefully a 05 months extension would be granted. The expected completion date of the project will be August, 2012. AIOU, Islamabad Project: Engr. Shahjahan Khattak briefed about the AIOU IEEE Pakistan Fund and informed that a foreign currency account had been opened and AIOU, Islamabad authorities are the signatories of the account. First installment of Rs. 15,70,553/ had been received from IEEE and (due to procedural delays) he is now in position to give an ad to purchase the following items in the leading newspapers: IEEE Pakistan Fund Coordinator AIOU, Isl a) 30 Computer @Rs65200/ per unit Rs.19,56,000.00 b) UPS (05 KVA) Rs. 2,50,800.00 c) Multimedia Projector Rs. 90,500.00 along with screen Total: Rs. 22,97,300.00 Engr. Shahjahan Khattak further informed that as per approved project, total of 2000 students of Matric and IEEE Islamabad Section ExCom Meeting Minutes Page 3
Intermediate levels will be given one month computer based training in AIOU Regional Centre D.G. Khan. At the end of the session, students will be awarded a course completion certificate along with Rs500/ per student as stipend. Considering the presentation it was decided that, if necessary, an endorsement for extension from IEEE Islamabad Section will also be sent to IEEE. Agenda Item No. 4: Project Management Professional (PMP) Certification from IEEE Platform 6. Mr. Amir Jelani could not attend the meeting due to prescheduled commitments. Agenda Item No. 5: IEEE Islamabad Section Events 7. Pakistan Student Congress Dr. M Mansoor Ahmed referred the email received from IEEE GIKI Chapter and informed that IEEE GIKI Chapter has requested to hold Pakistan Student Congress in September, 2012 instead of June, 2012 due to their eventful academic schedule. The proposed extension was discussed in length and it was revealed that months after September, 2012 are pre occupied due to some IEEE sponsored conferences, however, it was decided that the IEEE Pakistan Student Congress 2012 should be positively held in the first week of September, 2012. Thus an extension upto first week of September, 2012 had been approved. Best Student Branch Award Best Student Volunteer Award Dr. Muhammad Mansoor Ahmed with reference to the discussion with Mr. Amir Jelani about the subject events informed that nominations have been received and being evaluated. The subject awards will be announced shortly. Mr. Amir Jelani Agenda Item No. 9: Concluding Report of IEEE Previous Conferences 8. International Conference on Engineering Management (ICEM 2012) Mr. Junaid Arshad, Conference Secretary presented concluding report of the International Conference on Advanced Modeling & Simulation (ICEM 2012) held on March 20 21, 2012. He informed that total 34 papers were accepted and were presented in 7 continuous sessions. The report was accepted and approved by the ExCom members for the retention in IEEE Islamabad Section Secretariat for three years. IEEE Islamabad Section Secretariat 9. 9 th International Bhurban Conference on applied Sciences and Technology (9 th IBCAST) It was informed that about 1000 participants attended the conference including 40 invited speakers from China, Turkey and South Africa etc. Dr. Naveed Ahsan informed that total 250 papers were received and after review process 35% had been finally accepted. He also informed that total number of accepted papers was 81 and total tracks included in the technical program were 6 in numbers. The report was accepted and approved by the ExCom members for the retention in IEEE Islamabad Section Secretariat for three years. Agenda Item No. 11: Review of IEEE Future Conferences 10. International Conference on Robotics and Artificial Intelligence (ICRAI 2012) Dr. Shafqat Hameed briefed about the current status of the conference and informed that the conference had been approved by the Rector NUST. He also informed that the MoU has been uploaded to IEEE but had not yet received any confirmation or conference number from IEEE side. Chair IEEE Islamabad Section advised to send a reminder for inclusion in IEEE Conference Database. He also assured for an endorsement, if necessary. The over all presentation was considered satisfactory. IEEE Islamabad Section Secretariat 11. 10 th International Bhurban Conference on applied Sciences and Technology 2013 Dr. Naveed Durrani briefed about the 10 th International Conference on Applied Sciences and Technology to be held on 15 19, January, 2013 in CESAT, Islamabad. He briefed about the seven tracks of the conference, important dates and reviewers committee in length. Review process was discussed in length and it was advised some of the members of IEEE Islamabad Section should be included in reviewer committees. The ExCom approved the acceptance of 10 th IBCAST for Technical Co Sponsor from IEEE Islamabad Section and advised that MoU be singed and sent to IEEE in time. Secy. IBCAST 12. International Multitopic Conference (INMIC 2012) Dr. Naveed Ikram from Riphah International University informed the ExCom that the subject conference was initially awarded to the two universities: Riphah International University and FAST Natinal University Islamabad. But later on, with the negotiation, Riphah university took over the subject conference independently. He informed that the conference will be held on December 13 15, 2012 in Margalla Hotel, Islamabad. He also informed that organizing committees, technical program committees, website, Secy. brochures and call for papers letter are ready. He briefed about the conference theme, important dates and Conference Chair and Keynote Speakers. On a query, he replied that Conference Chair is in adjunct faculty of Riphah International University Islamabad. He further informed that a budget of approximately 3.5 million will be required to hold the conference. The ExCom members found that the progress of INMIC 2012 was satisfactory. 13. 2012 International Conference on Emerging Technologies (ICET 2012) Dr. Aamer Iqbal Bhatti informed that MoU had been submitted to IEEE and after acceptance IEEE had allotted a conference number and had been uploaded in the IEEE Conference database. He also informed that not only call letters and brochures had sent by post but also emailed the related material to all the Universities in Pakistan and selected universities of Middle East and abroad. He also informed that the Conference Website had been launched and two or three papers had already been received till that time. Different options for the venue were discussed and it was decided that a suitable venue on economically viable rates should be selected. Secy. ICET 2012 14. International Conference on Frontiers of Information Technology (FIT 2012) Dr. Sajjad Ahmed Durrani from COMSATS Abbotabad presented brief history of International Conference on Frontiers of Information Technology (FIT 2012) to be held on December 17 19, 2012 in Serena Hotel, Islamabad and informed that this conference will be of 10 th in its series. He also briefed about call for papers, important dates, steering committees and program chairs. Secy. FIT 2012 The commencement dates were discussed at length and it was revealed that there would be multiple events from September 2012 to January 2013, including FIT 2012 conferences and it was suggested that the dates might be slightly modified. Dr. Sajjad accentuated that these dates had been following since long and had been notified on IEEE Islamabad Section ExCom Meeting Minutes Page 7
respective Web and through brochures. As such the change in schedule would not be feasible. After discussion, the ExCom approved the convention of conference for Technical Co Sponsorship from IEEE Islamabad Section. Agenda Item No. 13: Innovation Committee 15. Innovation Committee IEEE Islamabad Section had formed an Innovation Committee to: i) offer advice and insights ii) make recommendations regarding strategies and approaches related to innovation capability across departments with a focus on research and iii) development engineering programs and technological initiatives. It was decided that a nomination notification from IEEE Islamabad Section will be sent to all members of the committee. It was also decided that Innovation Committee meeting would be held on last Friday of each month in the office of Mr. Mansoor Malik. At that occasion, Gp Cap Umar Farooq offered himself as a member of Innovation Committee. Chair Innovation Committee & IEEE Islamabad Secretariat Agenda Item No. 13: Brief by Respective Chapter Chairs / Coordinators 16. Consultancy Network Dr. Owais informed he had established EduCon an education consultant organization to establish technical institute to alternate energy including solar and hydro electric projects in collaboration with two American Universities (Wayne State & Vanderbilt). He also informed that alternate energy project presentation was also given to the PM and two programs had been recorded by GEO TV. The ExCom members appreciated his work and contribution in alternate energy solutions. IEEE Islamabad Section ExCom Meeting Minutes Page 8
17. Membership Development Dr. Muhammad Ahmed Chaudhary briefed about the activities taken for membership development. Chair IEEE Islamabad Section desired that a yearly calendar having studentt activities should be maintained. An idea to share the responsibility of Chair Studentt Activities was presented and a possible nomination as Co Chair Student Activities in Islamabad Section was discussed in length and different universities were considered from where a volunteer could be included. After discussion on different options, GIKI Topi was considered the best option. Chair Membership Development & ExCom Members Requests sent to IEEE for Senior Membership grad were also discussed and endorsers were requested to complete their referral. 18. The meeting adjourned at 21000 hours with the vote of thanks.
