Introduction to Induction May I offer a warm welcome to the OOHs environment of Suffolk Care UK. This document is a convenient collation of several documents designed to simplify your journey into our organisation. This introduction highlights the different activities you are expected to undertake and is simplified overleaf by a flow diagram. 1. You will have received your Care UK login which you will use to access windows at work and Care UK online resources (Connect/MyCareUK). Please explore these websites and familiarise yourself to the clinical policies and protocolos prior to induction (please see appendix 1 for guidance on how to access Care UK websites) 2. If you are not already registered with e-learning for health website please start the registration process by going to http://www.e-lfh.org.uk/home (please see appendix 2 for details). GPStRs are expected to complete the statutory online training modules within 3 month of the induction and Clinical modules within the 6 months. On successful completion of the online modules you can generate a report from the e-learning for health website and email to Tina to claim for a further 3 hours induction certificate (you receive a 3 hours induction certificate for attending the face to face induction. 3. You will be invited to an Induction session. Attendance is compulsory. We will only accommodate individuals with an alternative session if a non-attendance has the support of your educational supervisor. 4. When you attend for the induction please bring the following documents and copies of them which we can retain. GMC Number Medical Indemnity Membership Evidence of inclusion on Medical Performers List (this can be checked online, however, if you are in process of registration please provide evidence in terms of an email / letter) DBS from crurrent employer Basic Life Support certificate (dated within 1 year) Safeguarding level 3 Certificate (dated within 3 years) Heptitus B (evidence of immunisation if available) Passport (for proof of identity and eligibility to work within the UK if you have a visa or work permit please also bring this) A passport size colour photograph (if available) Registrar Contract (will be provided at induction) Confidentiality Agreement (will be provided at induction) Smartcard (if available) 5. I CQC Statutory and Regulatory Training In order to ensure complaint with CQC requirements GP registrars must complete the following modules / courses within first 3 months of working for Care UK OOH service. This is a regulatory and statutory training requirement when working within an NHS service: 1. Equality and Diversity (E&D) 2. Fire Safety (FSF) 3. Health & Safety (HSF) 4. Health Informatics (Inform-ed) 5. Infection Control (IFC) 6. Information Security (INS) 7. Manual Handling (MHD) 8. Mental Capacity and Consent (MCC) 9. Safeguarding Adults (SGA) 10. Safeguarding children level 3 (SGC level 3)* II Clinical Training modules In order to safely practice in OOH environment, it is important that all registrars complete the following modules within 6 months of their training in OOH. The modules must be completed prior to the green level. 1. Meningitis in Children 2. Viral Exanthem in Children 3. Acute Abdominal Pain in Children 4. Urinary Tract Infection in Children 5. End of Life Care 6. Basic Life Support in the Primary Care environment ** 7. Management of Transient Ischaemic Attacks (EM module) 8. CVA (EM module) 9. Chest Pain Syndromes (EM module) 10. Anaphylaxis (EM module) There are two ways that you can ensure that you are compliant with statutory and clinical training modules. 1. Recognition of prior learning If you have completed any of the above training externally to Care UK, we will be able to recognise learning compliance if the following criteria are met: 1.1 The course was presented by an accredited / recognised training provider. 1.2 The course is equivalent in level and content to that of the Care UK module / course. 1.3 You have a valid certificate / statement of result which is dated within the required refresher / validity period of the specific course or module. 3
1.4 You have submitted proof of course completion to the relevant Primary or Secondary Care Clinical Education, Training and Development Administrator, who will upload your results onto the Care UK Academy of Excellence LMS. 2. Completion of the modules via NHS elearning for Health (e-lfh) This will require you to register for the modules using your NHS.net email address. These modules are provided free of charge to all clinical / medical professionals working within NHS services. Please click to link below to start process of registration with e-lfh: http://portal.e-lfh.org.uk/register Complete the registration form- remember to use your NHS.net email address. As part of the registration process, you will be asked to select the desired learning modules, please select the following modules by ticking the boxes. General Practice 2012 Curriculum (e-gp) Emergency Medicine (EMD) Equality and Diversity (E&D) Fire Safety (FSF) Health & Safety (HSF) Health Informatics (Inform-ed) Infection Control (IFC) Information Security (INS) Manual Handling (MHD) Mental Capacity and Consent (MCC) Safeguarding Adults (SGA) Once you submit your application, the registration will take 24 to 48 hours. You will receive login details in your NHS.net account. If you already have an account with e-lfh and wish to gain access to any of the Workforce Development modules, please do not register again. Log in to the e-lfh Portal using your existing username and password, select the My Account menu option and then My Programmes from the e-lfh Learning Portal menu and make sure all the above programmes are selected. See the help page for more information. Once you completed all the required learning modules, you should generate a report by clicking on My Activities and selecting the Report option. Please email the report to Tina (Tina.stannard@careuk.com) and she will provide you with 3 hours distance learning certificate which you can use towards your OOH requirement. * The SGC level 3 is compulsory - evidence must be provided before you are able to fully register, an online level 3 certificate is valid for a year and a face to face SGC certificate is valid for 3 years. ** A BLS certificate is compulsory - evidence must be provided before you are able to fully register, an online certificate (including the e-learning for health BLS module) only valid for 3 and months and face to face certificate is valid for a year. 4
Appendix 3 11. Location of the Suffolk and NEE Care UK OOH 12. Upon completion of the induction, you will then be sent the following: A Rotamaster password (within 5 days) which will enable you to log into the shift rotas and book your sessions An Adastra password (within 5 days) which will enable you to log into the on-line clinical system. A certificate of attendance Care UK COGPED 13. You will also receive a link for Survey monkey for feedback on the induction session. Please make sure that you complete the feedback form. 14. You will need to refer to the Suffolk Care UK COGPED document for the finer details concerning the details of your training and what needs to be learnt and achieved. 5
GP Registrars Journey at a glance The VTS Course administrators send Care UK details of the GPStRs using the spreadsheet provided 1) GPStRs to explore the websites and familiarise themselves with the CareUK clinical policies and protocols. 2) GPStRs to register on e-learning for health website http://www.e-lfh.org.uk/home and start doing the statutory modules* Once all GPStRs list received, Zoe Pursglove sends an email to the GPStRs inviting them to induction (full induction for new GPStRs and refresher induction for returning GPStRs ). Once GPStRs have confirmed attendance Tina Stannard will apply for Care UK Windows Logins (which also gives trainee access to the CareUK websites Connect & My CareUK) and email the details direct to the GPStRs GPStRs attend (with all required documents), completes the face to face induction, sign the confidentiality agreement and honorary contracts. GPStRs can book and commence supervised OOH shifts. Upon completion of induction and provided all documentation has been received by Care UK, Tina Stannard will request the Rotamaster and Adastra logins by submitting a new user request form to the IT team. Details will then be emailed to the trainee along with the 3 hours induction certificate. Please allow up to 5 working days for this process. 1) All GPStRs are considered Red, unless they have already progressed to Amber during their ST1/ST2. 2) After 2 3 sessions as Red, GPStRs should have an assessment with their trainer to determine their progress to the Amber level (see COGPED workbook). Once Amber status achieved, the trainer sign the trainee status amendment form (see COGPED workbook) and email it to Tina. She will update the database accordingly. The same process will apply to the green status too. GPStRs are expected to complete the statutory online training modules within 3 month of the induction and Clinical modules within the 6 months. On successful completion of the online modules you can generate a report from the e-learning for health website http://www.elfh.org.uk/home and email to Tina to claim for a further 3 hours induction certificate 6
Appendix I: A guide for accessing Connect and My CareUK website for GP Registrars This guide is to assist GP Registrars with accessing the Care UK online resources, for the purpose of GPStRs is to help them access the local and central clinical policies. Getting started: 1. You will need to make sure you have a Microsoft Windows username and password. The user name normally takes the form of first name.surname (for instance shirjeel.tahir). This is normally emailed to you by the Rota Team prior to the induction. Call ITS on 03333320785 if you are having any difficulties logging in. 2. Once you have obtained your username and password, go to the Care UK connect website: https://connect.harmoni.co.uk (from home / external venue) or http://harmoni-connect (from a Care UK office). NB I suggest that you copy and paste it into your internet browser. In order to access the site you need to enter your Microsoft username and password. Once you have connected the screen should look like this: 7
Accessing local protocols 3. Click on OOHs and then scroll down to Suffolk or NEE then click on Local operating procedure on the left hand side: Accessing central policies 4. To access the Care UK central clinical policies you need to log on to the Care My Care UK website for which you will receive a separate guidance. 8
