Ⅰ.General Information about The International Residence Hall. Purpose The International Residence Hall (hereafter referred to as the center) was established for the purpose of caring for foreigners who study or research at University of Yamanashi and also for educational purposes that promote international exchange. 2. Administration The Director (Dean of the Student Affairs) is in charge of administration. related to this Center are handled by the office of International Affairs. (Tel:055-220-8047). Management Office The management office is on the st floor, it handles office tasks for the center. It is open from 0:00 to 7:00 except Saturday, Sunday, National holidays, summer holidays (middle of August), and New year s holidays (Dec.29-Jan.3) 5. Facilities This hall is a ferroconcrete, 3 story building, with an area of, 53m2. It includes the following facilities and equipment. Smoking is prohibited in the building. Ⅱ. Qualifications and Procedures for Moving In And Out. Qualifications Person who can be qualified to reside is as follows.. Foreign students registered at University of Yamanashi (including spouse and children). 2. Foreign scholars studying or doing research at University of Yamanashi (including spouse and children). 3. Persons permitted by the Director of the center. 2. Application Applicants need to fill out the Resident Application Form (Document-) one month prior to the expected move-in date. Foreign students and researchers need to submit these to the office of International Affairs. 3. Approval An approval is made by the Director of the center. An Approval of Stay document (Document-2) will be issued upon approval. 4. Period of Stay The maximum period of residence is year. Extension of stay will not be accepted except in special cases. This is to offer as many opportunities for other foreign students as possible. The approved period of residence is written on the Approval of Stay document. 5. Move-In Procedures Students who are approved for move-in need to submit a Notice of Move-In document (Document-3), and a Written Agreement (Document-4) to the center office at the time of move-in. 6. Requirements Students shall move into an assigned room within 0 days of the approval. Please present your letter of Approval of Stay document to the office and follow their instructions. Request for room change is not acceptable. 7. Other Necessary Procedures All residents shall be required to notify their address changes according to the Residency 2
Management System. Notification shall be handled at the Kofu City Office (Address: -8-, Marunouchi, Kofu TEL: 055-237-6). Persons who have joined the National Health Insurance program are also required to do the same address change notification. 8. Move-Out Procedures All residents need to submit a Notice of Move-Out document (Document-8) to the office one month prior to the expected move-out date and all necessary documents to each public office. You also need to have the room checked, complete all necessary payments, and return the room key following the direction of the center office. 9. Moving Hours Moving must be done during the center office hours. Ⅲ. Expense. Room and Board Fees () Foreign students are required to pay their room and board fees. Foreign researchers are required to pay their usage fees. (2) Monthly fees must be paid by the 5th of each month (if the 5th is a holiday, on the day before) to the Accounting Division. a) Room and Board Fee Room Amount (Monthly) Single 3,000 7,000 2,000 Students are required to pay the whole monthly amount even when they move in or out in the middle of month. Payment must be made within 0 days after moving in (if it is after the 20th, the due date will be the end of month). When residents move out before the 5th, the fee for that month must be paid one day prior to move-out. If residents are to be absent for more than one month, the fee(s) must be paid in advance. b) Usage Fee Room Monthly Single 7,000 3,000 43,000 When you move in and out in the middle of the month, the fee will be your daily amount multiplied by amount of days resided (both days for moving in and out are included). Payment must be made within 0 days after moving in (if it is after the 20th, the due date will be the end of month). When residents move out before the 5th, the fee for that month must be paid by the day before move-out. (3) No refunds. (4) Room and board fee and usage fee are subject to change. 3
2. Other Expenses () The following expenses are the residents responsibility.. Electricity, gas, and water bills for your room. 2. Daily expenses (for newspapers, magazines and other expendables) 3. Maintenance fee (for annual cleaning of the center) 4. Security deposit 5. Part of electricity and water bills for the kitchen and laundry room. (Applies only to single room residents.) Electricity and water bills for each individual will be sent monthly. Please make your payment to the center office. 2. Daily expenses and maintenance fee will be added to the above amount. 3. Security deposit must be made on your move-in date. 4. Security deposit will be returned on your move-out date, after all necessary payments are made. 5. For monthly gas bills from Tokyo Gas, please make your payment to the company by choosing a method convenient to you. Ⅳ. General Information for Residents. Keys Keys are available when you move in. Please sign your name on the Rental Record Sheet for Keys and Furniture. Making duplicate keys and giving keys to third parties are not allowed. If you lose the keys, please inform the center office immediately. A fee for reissuing of new keys will be charged. (Entrance card key: 3,000yen, room key: 600yen.) 4
2. Rental Furniture Room furniture will be rented out to the resident, please check them according to the Rental Record Sheet for Keys and Furniture. Taking furniture out of the room is not allowed. Please use the furniture properly without damaging it, and clean it up, and get it inspected by the center office when you move out. 3. Resident Preparation It is the residents responsibility to provide their own material outside the rental furniture. Usage of kerosene or electric heaters is prohibited due to fire safety reasons. 4. Bedclothes Bedclothes are residents responsibility to provide. 5. Public Spaces () When residents use the public facilities, please care for other residents. (2) Please do not damage or break any equipment in the public facilities. (3) If residents need to use the multi-purpose room or Japanese-style room, please submit the application form (Document-9) to the center office 4 days in advance. After use, please clean up the room and turn off all switches. (4) There are gas stoves and sinks available for single room residents. Please leave them clean for the next resident. (5) There are laundry machines and dryers in the laundry room. Laundry hours are from 6:00 AM to :00 PM to avoid disturbing other residents. (6) The lights at the entrance and the lobby will be turned off at 9:00 PM. (7) The reference room will be closed at 9:00 PM. 6. Rental Equipment A vacuum cleaner is available at the center office. Please return it immediately after use. 7. Sanitation () Cleaning. Residents are responsible for cleaning their rooms. Public facilities will be cleaned up with cooperation of all residents. 2. Please use only the supplied toilet paper. 3. Please keep the kitchen and the laundry room clean. (2) Garbage Garbage should be sorted into the following categories and taken out to the specified disposal area on the specified day.. Combustibles (Papers, foods, etc.) 2. Incombustibles (Glass, vinyl, cans, light bulbs, etc.) 3. Recyclables (Papers, plastics, metals, bottles, cans, etc.) (3) Pets No pets are allowed on the center premises. 8. Medical Information The Information for medical services near the center is posted on the bulletin board of the 5
center. Please locate them in case you need assistance. If you need assistance at night or during holidays, Japanese tutors are available at the center. In case of emergency, dial 9 for an ambulance. 9. Telephone Pay phones (international calls possible) are available near the center office. Residents can install private phones if desired. Please inform the center office and apply directly to NTT. 0. Mail Mail will be delivered to the mail box on the st floor. Registered mail and packages will be kept at the center office, we will inform each resident about package arrival.. Announcement Any office announcement will be posted on the bulletin board. Please pay attention to it every day. 2. Entrance Please use the main entrance all the time. The gate door will be locked, so please use the key card supplied from the office. 3. Visitors Residents who stay in single rooms shall use the lounge (F) to meet their visitors. Visitors are not allowed to enter single rooms. No visitors are allowed after 9:00 PM. 4. Non-residents Visitors are not allowed to stay in rooms. Non-residents can stay only with the director s permission. 5. Notice to the Office Residents are required to notify the center office when staying outside, traveling, or visiting to their home-countries. 6. Lost and Found Residents shall lock their rooms when they go out. Please inform the office and follow its direction in the event of theft, lost items, or found items. The center is not responsible for stolen belongings. 7. Manners inside the Center Residents shall not disturb other residents especially in their rooms, the kitchen, and reference rooms. Walking around in pajamas or underwear is prohibited. 8. Fire Prevention () Take extreme caution against fires. (2) Read the information about fire extinguishers and fire alarm system. 6
(3) In case of fire, pull the fire alarm. Report immediately to the tutors and call the fire station (Dial 9) or the security office (Dial 220-8032) during after hours and holidays. 9. Room Entry The office personnel can enter rooms for inspection according to the law. Residents shall be present in those cases. However, in emergency situations, the personnel may enter rooms without the residents permission. 20. Damage Compensation Any damage, intentional or accidental, must be reported to the center office and restored to original condition. 2. Malfunction If residents find any malfunction of electricity, gas, water supply, drain, hot water, air conditioner, etc., please report immediately to the center office. If it is an emergency during after hours, report to the tutors and related company. 22. Termination of Stay The center may terminate the approval of stay if as follows:. Failure to complete monthly payments, including expenses after receiving notice. 2. Negligence of the director s advice. 3. Failure of damage compensation. 4. Possessing communicable diseases or other health conditions that may not be suitable for stay in the center. 5. Disturbing the management of the center, or if there is a potential danger. The Director will issue Termination of Approval of Stay (Document-7) personally. 23. Newspaper, TV, and Internet Reception Payment These applications and payment are residents responsibility. Notice of termination and final payment must be made by residents prior to moving out. 24. Automobile Automobiles are not allowed on the center premises. 25. Consultation () The center manager The center manager will provide consultation upon resident s request. Please inform the center office when needed. (2) The center tutors The center tutors, who are the graduate school students, are available for any assistance for residents. (3) The center personnel Also, the center personnel can answer questions and explain details about most information. 7
