KEY ROLE OF JOB Directly manage support services and administrative staff Provide management supervision and support to directly managed staff. To ensure that support services and administrative staff are appraised and have an individual personal development plan. To monitor and record staff absences, sickness, training and annual leave. To act as the lead for Data Custodian issues within the area Be responsible for monitoring and reporting any Health and Safety issues within the sphere of responsibility Page 1 of 5
To be responsible for hospital security and ensure the sufficient policies and procedures are in place and adhered to. To be responsible for the safe storage of patients personal effects within the building. Ensure that all staff within the sphere of responsibility adhere to unit and Trust policies and procedures as well as legislative and statutory policies. To participate in the selection and recruitment of staff and organise induction programmes. To ensure that essential training for all line managed staff is booked and attended. To be responsible for the staff rota for portering, reception and patient affairs staff. To participate in the investigation of complaints and ensure that a plan of improvement in the quality of service is actioned when delegated by the Lead Nurse Undertake specific projects as agreed with the Lead Nurse FINANCIAL RESPONSIBILITIES Be responsible in ensuring that any expenditure remains within the site services budget allocated and to alert the Lead Nurse of any issues that could cause the budget to be over-spent, and to agree remedial action To be responsible for ordering of equipment as required. To be responsible for the coding of invoices relating to expenditure incurred To adhere to the Trust financial procedures. Coding invoices and sourcing equipment when requested FACILITIES MANAGEMENT RESPONSIBILITIES To ensure effective liaison with the estates department as necessary and in particular relating to maintenance problems and requests. To oversee the triaging of maintenance requests, ensuring that they are dealt with in a timely and efficient manner. To oversee the maintenance of a register for all maintenance requisitions and completion dates. To ensure staff comply with hospital / Trust policies and procedures, and all relevant legislation relating to facilities management e.g. Infection Control, Health and Safety, Moving and Handling and Food Hygiene etc. Page 2 of 5
To be involved along with the Lead Nurse in ensuring that environmental assessments e.g. COSHH, Moving and Handling, PEAT etc. are carried out and remedial action is taken. SECURITY / HEALTH AND SAFETY To take all possible precautions to safeguard the welfare and safety of staff, patients, visitors and the public by implementing all policies and procedures relating to security. To responsible for monitoring and reporting to the Lead Nurse any Health and Safety issues and general security concerns within the hospital. To be responsible for ensuring an effective system relating to the issuing of keys and alarms to all required staff is in place and adhered to. Represent the Area at specific meetings such as Health & Safety, Access to Records and MDAs PERFORMANCE, APPRAISAL AND PERSONAL DEVELOPMENT The post holder will participate in the appraisal and personal development scheme in operation across the Trust.
