Purpose: To create a record capturing key data about a submitted proposal for reference and reporting purposes.

IDX Bed Board 1. Open the IDX application and enter Username and Password. 2. Set your default Visual Bed Board view to always open to your unit. Click the Actions tab at the bottom of the page.

3. Select Change Settings from the drop down menu. 4. The following screen displays. Click on the magnifying glass beside Hospital and the hospital choices will display. (You must click in the box and clear the box by backspacing or deleting the contents first.) Select the appropriate hospital. Select View for the nursing unit choices. Choose the appropriate Nursing Unit from the dropdown menu. Select Save at the bottom of the page. You can also change the Automatic Refresh interval from this page. It is recommended to keep this set for every five minutes.

5. To view another unit you can change the Hospital and View from your main Visual Bed Board screen by selecting Hospital and View and selecting the area you want to view from dropdown menu. Click Refresh to update the Visual Bed Board. Nurses and Unit Clerks should only view the unit to which they are assigned. Nurse Managers, Nursing Supervisors and PAS staff will view units as needed. 6. Visual Bed Board opens so you can visualize the entire nursing unit to see open beds, occupied beds (male or female), housekeeping beds, blocked beds, and out of service beds. If you hover over the room number, bed information will display; if you hover over a patient name, patient demographic information will display.

Highlight the appropriate patient. 2. Open Action Code, select TM-Manage Transfers, or TA-Attending Physician/Service Transfer.

3. The manage transfer screen will display. Select Transfer at the bottom of the page. 4. Available options are Attending Physician/Service, Nurse Station/Location, and Cancel Last Transfer.

5. Select Attending Physician/ Service. The Transfer Attending Physician and Service screen will display. 6. Select the magnifying glass beside Reason for Transfer to see the options. Select the most appropriate reason.

7. To select New Attending Physician enter the first two or three letters of the new physicians name, and click on the magnifying glass to display choices. Select the appropriate physician. NOTE: The service associated with the physician may default to an inappropriate service. If the New Service window does not display the correct service, clear the field, click the magnifying glass, and choose the correct service from the drop-down list. Transfer Service 1. To transfer service follow steps 1-5 in Transfer Attending section above. Click New Service, delete auto filled view box, click the magnifying glass to reveal the dropdown list of services. Select the appropriate service and then select OK at the bottom of the page.

Transfer Patient Location 1. To transfer the patient location, follow steps 1-3 in Transfer Attending section above. Select Nurse Station/Location. 2. The Transfer Location/Accommodation Screen will display, details can be completed as appropriate. Select OK to save the information.

Place Bed In/Out of Isolation 1. Highlight the appropriate patient, open Actions dropdown list. 2. Select Place Bed In/Out of Isolation.

3. The Place Bed In/Out of Isolation Window will display. Left click on the magnifying glass to reveal the list of isolation precautions. 4. Choose appropriate isolation precaution(s).

5. Left click add and OK to add the isolation precaution. To add more than one isolation precaution, return to the Reason field, clear field, select another reason, and select add. Repeat this until all appropriate isolation precautions are selected and then select OK.

6. When isolation precautions are selected a red capitol letter I will appear in the bottom right corner of the bed. Hover over the top half of the bed to reveal Isolation Precautions. 7. To remove an isolation precaution return to Action, select Place Bed In/Out Isolation. The Isolation screen will display. Highlight the isolation precaution, click Remove and OK. If all Isolation precautions are discontinued, click Remove All and OK. When you return to the Visual Bed Board the red I will no longer display. Entering a Pending Discharge

1. Highlight the appropriate patient. 2. Open the Visit dropdown list in the bottom right corner. 3. Select Pending Discharge.

4. The Pending Discharge screen will display. Complete the fields appropriate. Date and Time should be entered. T for Date and N for Time will autofill current date and time when you tab to next field. Disposition and Facility can be entered using the dropdown menu by clicking the magnifying glass. 5. To enter discharge contingencies clear the Contingency display area, click the magnifying glass to display the drop down list of contingencies. Choose the appropriate discharge contingency, click add. The contingency will display. To choose more than one contingency, repeat the process, clearing the field each time. Select OK when all contingencies have been selected. 6. The bed will now have a green dot in the bottom left corner indicating pending discharge.

7. To update the contingency status, select Visit, then Pending Discharge and click on the contingency you wish to update. Select yes in the Confirmed field, click Update and OK to return to Visual Bed Board. Discharging A Patient

1. Highlight a patient, click Action Code to reveal menu items. 2. Select DP-Discharge Patient from the menu.

3. Click on the magnifying glass beside Disposition and choose appropriate option form drop down list. 4. Repeat the process with Institution Type if applicable. When appropriate information is completed, click OK and patient will be discharged from IDX.

Flag a Bed for Housekeeping. 1. Upon discharge or transfer the bed will automatically be flagged for housekeeping. To flag a bed for housekeeping while the bed is occupied, left click on the Actions key at the bottom of the page. A menu will display. 2. Select Place Bed In/Out of Housekeeping and a red dot will appear in the third position at the bottom of the bed on your Visual Bed Board. To remove a bed from housekeeping, select Actions and Place Bed In/Out of Housekeeping again and the red dot will be cleared indicating that the bed is ready for use.
