Quick-Start Guide Managing Online Agreements FOR PLAN ADMINISTRATORS Last Updated: 4/6/15
This quick start guide is intended as a fingertip reference for managing online grant agreements. Please consult Online Help for more detailed instructions and information. The Online Grant Agreement module is an add-on feature in Shareworks and must be enabled for your company. If you would like information about adding this module, please contact your Account Representative. Grant agreements are displayed to participants in Shareworks using grant agreement template documents. These grant agreement templates allow you to indicate the important terms and conditions of your grants, without having to create a new agreement for each new employee grant allocation. This process can be completed in four simple steps. Step 1 Creating a Grant Agreement Template Begin by clicking the Tools tab, and select Templates. If your company already has grant agreement templates set-up, please skip ahead to Step 3 - View the Applicable Grant. contact your Account Representative. Click Add Template. Template Type: Select Grant Agreement Template if you are creating a new template for the terms and conditions of the grant agreement. Select Grant Agreement Document to add a plan document or other supplementary material which will be available to participants when they view their grant agreement. Template Name: Indicate a template name that will be referenced when setting up a grant agreement configuration or grant assignment. This will not be visible to plan participants. Template Data Type: Indicate the template data type. Depending on the type of template you selected, the information displayed in the drop-down may vary. For Grant Agreement Templates, choosing HTML (WYSIWYG) will allow interactive formatting. Description: Enter any information related to the template. This is an optional field. Click Verify Add and Confirm Add to save the template. Step 2 Adding Grant Agreement Template Data Click Add Template Data. Depending on whether the Template Type was set to a Grant Agreement Template or Grant Agreement Document, different information will be displayed on the Add Template Data screen. For both of these Template Types, the Template Type Group, Template Type, Template Name fields are automatically populated with the previous template information. You will need to indicate which languages the template data should apply to. Any language selected requires its own template data set-up. (The available languages will depend on the setup for your company.) Additionally, indicate a label for the template. The Binary Data field will appear if the Grant Agreement Document Template Type was selected and only a PDF may be uploaded. Solium Quick-Start Guide Managing Online Agreements 3
If the Template Type was set to a Grant Agreement Template, a HTML section appears where you can enter any template text and an Available template tags link appears. Click the Available template tags link to view the applicable tags. Once you are happy with the document text and formatting, or the document upload click Verify Add and Confirm Add to save the template data. Step 3 View the Applicable Grant Click the Plans tab on the top navigation menu, and select the name of the plan containing the grant you want to access. Click the name of the grant where you d like to assign an online agreement. Solium Quick-Start Guide Managing Online Agreements 4
For a grant to have online grant agreements assigned, the Use Grant Agreements option should be set to Yes. Once grant agreements are enabled, you can click Grant Agreement Management in the left-hand navigation column. Grant agreements may be set to Allow Electronic Acceptance. If this is set to No, participants are required to submit a signed paper agreement to their employer. Grant Agreement Configurations, if enabled for a company, may be used to display unique grant agreement templates to different groups of participants within the same grant. Step 4 Assign a Grant Agreement and Additional Grant Documentation A) You can see if there is already a grant agreement template assigned to the selected grant. B) If there is not, and you wish to assign one, click Edit Grant Agreements. Note: If you do not see the Edit Grant Agreements link, please contact your Account Representative. Choose the applicable grant agreement template from the drop-down and click the name of any additional grant document(s) you wish to include. Grant documents are optional and are typically used to provide participants with a plan document. Click Verify and Confirm to save your changes. The selected grant agreement and grant documents will be displayed to participants the next time they login to Shareworks.
