erecruit User Guide Workflow Approver Advertised Job
Brief Document Description Overview This User Guide explains how to approve a job opening in erecruit for positions to be advertised. Positions include Continuing, Fixed Term, Casual and Sessional. About this Business Process To advertise a position, the Hiring Manager (or delegate) will need to create the job opening in erecruit and submit for approval. All jobs to be advertised require workflow approval via erecruit. The nominated workflow approvers are based on the relevant staffing delegations policy: Staffing Delegations Academic Groups Staffing Delegations Administrative Divisions As a workflow approver, you will receive an email when job opening has been created which requires your attention. Once the job opening is fully approved, Human Resources (HR) will post the advertisement to the requested job postings. Step 2 Review the Job Details, Job Postings and Hiring Team Click on the link in the email to access the job in erecruit. The Job Opening displays. From the Details tab, review the Job Details. For Finance Approver, check Advertising Costing Information. Enter SpeedType Key, Class Field and Percent to Allocate if blank. Use the plus button to add additional rows note: total must equal 100. To review the advertisement text and nominated posting destinations, click the posting title. 4 P age
Click OK to return to the Job Details page. To check the panel composition, click the Hiring Team tab. The Hiring Team should include: Recruiters: HR Adviser, Appointment Services Primary HR Officer, Appointment Services Hiring Managers: Head of Element Primary Chair (if different) Interviewers: Members of the panel Interested Parties: Administration contact i.e. School Secretary 5 P age
Step 3 Add Comments (if required) and Approve, Pushback or Deny Click the Approvals tab. To add comments, enter information into the Comments Text box. Click Approve, Pushback (to previous approver) or Deny. If you need to Deny, please contact your HR Adviser, Appointment Services on (07) 373 54011 to discuss. Steps How to approve via My Staff Page Step 1 Step 2 Step 3 Step 4 Step 5 Log in to the Staff Portal>My Staff Page Click the flag symbol to view pending approvals Select the Job Opening from the list Review the Job Details, Job Postings and Hiring Team Add Comments (if required) and Approve, Pushback or Deny Step 1 - Login in to the Staff Portal > My Staff Page Open the Griffith Home Page and click on Staff Portal in the top right hand corner of the screen. Log into the Staff Portal using your Griffith ID and Password The Staff Portal Page displays. Click on My Staff Page. 7 P age
