JOB PACK Communications & Operations Assistant Lighthouse Full time contract: 17,062.50 per annum Hours: 37.5 hours per week Deadline for Applications: 12pm, Monday 5 March 2018 Summary We are looking for an organised and enthusiastic individual who will support our team, provide great customer care, and help run our building and communications smoothly. The successful candidate will enjoy working with the public and will take pride in helping our visitors enjoy their experience with Lighthouse. This is a great opportunity to gain experience of communications and operations in the arts, in a supportive and friendly working environment and a stimulating atmosphere to work and learn. About Us Lighthouse is an arts and culture organisation that connects new developments in art, technology, science and society. We produce commissions, exhibitions, events and education schemes that support new contemporary art, digital culture, music and film. Our mission is to enable digital culture to act as a catalyst to enliven established places and interpret how they are used. Our programmes reveal new ways of presenting artists and creative industries and how they can be adopted as a way of enhancing digital technology to cross boundaries and disciplines. Our current projects include Guiding Lights, the UK s leading mentoring scheme for filmmakers, Last Dance a programme that examines the creative and social impact of club culture and a range of international residency programmes aimed at creatives to develop their practice and build an audience. Lighthouse has a fantastic building in central Brighton, in the heart of the North Laine. As well as housing our own exhibitions and events, we have a range of spaces available to hire for events such as workshops, meetings, talks, screenings and receptions. We also host office suites for creative companies and currently have eight companies working in arts and creative industries, working alongside us in the building. 1

Job Overview Our new Communications & Operations Assistant will be at the heart of our organisation, supporting the both the Head of Operations and the Communications & Development Manager in the running of our lively building and providing essential support to our team. Lighthouse welcomes applications from all areas of the community and from individuals with experience gained across a wide range of sectors such as education, community youth projects, underground music promotion or production, or training in creative technology. We welcome applications from black and minority ethnic individuals, who are currently underrepresented in the arts sector. The skills and abilities required for this role may have been developed outside of a paid professional context, such as volunteering, work experience and personal projects. Lighthouse is a UK Living Wage employer. Responsible to: The Communications and Operations Assistant will be accountable to the Head of Operations and Communications & Development Manager Administration Work in the Lighthouse office to provide a friendly, informative and professional point of contact for incoming enquiries on the phone, by email and in person. Administrate venue hire bookings, corresponding with clients, arranging site visits, producing quotes, managing the bookings diary and catering requests, technical and staffing requirements. Administrate venue hire catering and our in-house mobile bar, ordering from external suppliers, cashing up bar takings, maintaining bar stock, carrying out stock takes and ordering new supplies as required. Provide general admin support for the Lighthouse team, researching and managing information for planning and projects, assisting with audience attendance monitoring, producing spreadsheets and handouts, as required. Manage incoming and outgoing post and assist with financial admin, coding and filing invoices and petty cash slips, as required. Recruit, coordinate and supervise volunteer Gallery Assistants, when required for exhibitions. Communications Working with the Communications & Development Manager, ensure the Lighthouse programme and brand is communicated effectively, and assist with delivering and developing the communications strategy. Develop strong interaction with, and understanding of, Lighthouse s programmes, attending events as required. 2

Assist the Communications & Development Manager with day-to-day marketing needs, obtaining images, text and logos, and updating event listings, managing social media, the website and online ticketing systems (training will be provided). Manage the Lighthouse website, producing engaging, accurate, and timely written content, images and media, and ensuring it is presented in the most appealing and appropriate format. Develop and manage the strategic delivery of social media activity, including Twitter, Instagram, Tumblr, Facebook and Flickr, producing copy, images and media. Assist with the presentation and distribution of our digital assets, such as digital art commissions and films, developing our digital content strategy. Produce the monthly e-newsletter and regular e-mailouts. Support the delivery of press campaigns, coordinating text and images and liaising with Lighthouse press consultants and the media as required. Oversee the production of printed marketing and interpretive signage. Oversee the documentation of programmes and events, through photography, filming and audio, and coordinate strategies for presenting documentation online. Operations Maintain a safe, clean and tidy environment in the Lighthouse offices and venue daily, keeping all areas to a high standard of presentation for our visitors and clients. Set up the venue for hires and events, such as meetings, workshops and seminars, including setting out refreshments and catering, as required. Assist with front of house duties at events such as talks, setting up and clearing away tables and chairs, managing guest lists and greeting visitors at the front desk (approximately once a month). Assist the Head of Operations and Technical Manager to ensure the safety and security of the building and its occupants, following correct procedures for fire safety, key-holding and security. General Work in accordance with Lighthouse s Health & Safety and Equality & Diversity Policies. Carry out any other duties as reasonably required by the Head of Operations and Communications & Development Manager Person Specification Essential Experience of office admin and/or customer service in the arts, retail or hospitality industry Strong interest in and aptitude for developing admin and operations skills in the arts sector Excellent verbal and written communication skills Excellent customer care skills and enthusiasm for working with the public Good understanding of the artistic work presented by Lighthouse 3

Hours of Work Standard office hours are 9.30am-6pm, but occasional evening and weekend work may also be required. The core is interdisciplinary practice, and collaboration between residents, partners and the wider Lighthouse community, most recently, ReFramed - a project development programme explored immersive and interactive storytelling. Lighthouse also runs a Masters degree - the MA in Digital Media Arts - in partnership with the University of Brighton. The MA is taught on-site at Lighthouse and at the University of Brighton's Grand Parade campus. We have six tenants within our office suites, all of whom work within the creative industries: Storythings, digital agency, Culture24, cultural digital publishers, who work across the arts, heritage, education and tourism sectors, Liquid Light, an award winning web design agency and South East Dance, a national dance development organisation. 7

Lighthouse History Lighthouse was founded in Brighton in 1986. For its first ten years it operated as a small community based film workshop, before diversifying into training and media technology in the mid-1990s. In 2005 it purchased it s premises in Kensington Street. Lighthouse now occupies an important strategic position at the intersection of the arts, media and creative industry sectors. Collaboration and partnership working with all of these sectors is central to the way it works. Governance Lighthouse is guided by a Board of Trustee Directors, a voluntary body that has legal responsibility for the overall governance and management of Lighthouse. The Board brings a wide range of skills and knowledge to the organisation. The Chair of the Board is Antony Mayfield who was appointed in February 2015. The other Trustees are: Ken Smith, Antony Gostyn, Antonia Blocker, Helen Kennedy, Rifa Thorpe-Tracey and Tony Pilgrim. The Directors of Lighthouse report to the Trustees at Board Meetings, once every two months.
