CyberGrants User Guide CyberGrants (CG) is an interactive, web-based system, utilized by The SCAN Foundation (TSF) for grant application management and reporting. Being web-based, applicants can develop and manage their applications through this system, and grantees can submit reports on any web-linked computer. New Grant Applications The SCAN Foundation is dedicated to creating a society in which seniors receive medical treatment and human services that are integrated in the setting most appropriate to their needs. We support projects related to public engagement, policy solutions, and promising programs. All Grant Applications must be completed in CG, which can be accessed through the TSF website as follows: 1. The program support for Promising Programs is focused primarily in California. By supporting programs that show promise for replication, we contribute to improving the delivery and experience of care for seniors. If applying under the continuously open Promising Program category: Log onto the system at www.thescanfoundation.org Click the Grants & Grantees tab at the top of the screen Click CyberGrants Login located on the left sub-navigation bar You will be required to set up your account prior to starting the application Complete the Eligibility Quiz. If your organization is eligible for funding, you will be permitted to start a new grant application. Ensure you save your login information (username & password) for subsequent use in report submission. 2. Periodically, TSF also releases Request for Proposals (RFPs) to support specific initiatives. RFPs are released through TSF s weekly e-blasts and announced on our website. Please subscribe to receive both e-blasts and announcements at www.thescanfoundation.org. If responding to a specific RFP: Log onto the system at www.thescanfoundation.org Click the Grants & Grantees tab at the top of the screen Click on Open RFPs located on the left Click on the RFP for which you are applying Go all the way to the bottom of the RFP and click on Start Your Application Ensure you save your login information (username & password)for subsequent use in report submission. 1

3. Projects that seek to raise awareness through public engagement, or inform policy solutions, are selected through a Solicited Application. If applying through a Solicited Application: Log onto the system at www.thescanfoundation.org Click the Grants & Grantees tab at the top of the screen Click on Application Process located on the left Review the information on public engagement and policy solutions to determine which funding area the proposed project best supports. Contact the assigned TSF Program Officer to discuss the proposed project, who will provide a Invitation Code, which is required for submission. You will be required to set up your account prior to starting the application Grants submitted through the Solicited Application process must continue to utilize the Invitation Code each time they log into CG (including report submissions) Ensure you save your login information for subsequent use in report submission. Welcome Page Once logged into the system after submitting a grant application, you will land on the CG Welcome Page. From this page, you can complete numerous activities. Top of Welcome Page: 1. Grant Application Content TSF s grant applications are subdivided into different tabs, which can be accessed by clicking on the tab at the top of the page. Applicants will be required to complete information in the following five areas: 1. Contact Information contact information for the Project Director 2. Organization Information organizational information and IRS Determination Letter 3. Fiscal Sponsor Information if utilizing a Fiscal Sponsor for the proposed project, all required information must be completed. 4. Project Details specific goals/objectives of the project and file uploads; TSF templates must be utilized for the Scope of Work and Budget 5. Grant Submission To complete and submit a grant application: 1. Complete the grant application tab by tab until all required fields are filled 2. Prior to moving to the next tab, save your information by clicking Save and Proceed at the bottom of the page 3. At the end of the application, you will need to upload several required documents 4. Once the application is complete, review it prior to submission. 5. Check the box indicating that you declare all information in the application is correct. 6. Click Save and Proceed at the bottom of the page. 7. If at any time you need technical support from a CG Support Specialist, click the NEED SUPPORT button at the bottom of any application page/ 8. 8. Once your grant is submitted, you will receive an email message from CG confirming you re your application was successfully submitted. Grant Tips The following are some general tips for completing your CG grant application successfully. 1. Board Members potential applicants are required to input all Board Members into the grant application. Should your organization have an unusually large Board, list as many members as will fit in the allotted space. If all Members do not fit in the allotted space, upload the full list of Members at the end of the application as an additional document 2. If you need assistance while completing your grant application: Click the Need Support button (at the bottom of each page) View the Frequently Asked Questions Click on I still have a question to receive technical support from a CyberGrants Support Specialist. 3. When completing the narrative portion of the application, do not use special characters (for example: single quote, double quote, apostrophes, $, &.) 4. CG requires the grantee organization to provide a contact name for to be linked to the project for the completion of quarterly reports.
