WELCOME We are pleased to invite you to participate in the Auxiliary Organizations Association Annual Conference, January 9-11, 2011. For the first time this year we will be joined by members of the CSU Financial Officers Association (FOA). We hope you will become a business partner and join us in beautiful Newport Beach. Providing support to the mission of each of the CSU campuses, auxiliary enterprises include foundations that handle contracts and grants and/or gifts to the university, enterprise corporations that run bookstores and food services, associated student organizations, student unions, and sometimes athletic or housing corporations. Through your partnership with AOA, you can impact the programs and services offered to nearly 433,000 students, faculty and staff throughout the CSU! As issues of increased efficiency and revenue generation continue to impact our campuses, AOA continues to seek partnerships that will help build a better future for higher education. The Annual Conference held every January is an opportunity for the leaders of these organizations to learn and collaborate on topics and issues that are crucial to both auxiliary operations and the CSU system. We know that your organization is committed to serving higher education, and we are convinced that your participation and collaboration with the AOA is crucial to the continuing success of our auxiliaries. Business Partners have the opportunity to develop contacts with the key auxiliary and campus administrators who make and influence decisions on their respective campuses. The 300+ conference attendees include Campus Presidents, Vice Presidents, Financial Officers and Auxiliary management. Dr. Charles Reed, the Chancellor of the CSU system, provides a keynote address at the Sunday evening banquet. In this packet you will find information on the available partnership opportunities designed to enhance your presence at the conference and increase awareness of your company among AOA members. 2011 AOA BUSINESS PARTNER GENERAL INFORMATION YES! I want to be an AOA Business Partner the steps to take 1. 4. 2. 3. Confirm Your Company s Participation To confirm your participation as a Business Partner at the 2011 AOA Annual Conference, please email Fred Neely at fneely@csulb.edu Register Your Company On-line Your next step is to register your company online as a business partner at www.csuaoa.org. We will notify you by email when Business Partner registration is open. Select the Business Partner link on left side of the page and follow the prompts. Note: Some partner benefits are date sensitive please see page 2 of this packet for important dates. Register Your Attendees Once your company is registered, you may register your complimentary attendees at any time but no later than December 1st. Follow the online instructions and use your company s contact email to re-enter the site. You are able to send additional attendees above your complimentary registrations, each additional registration will be billed at the $375.00 early bird registration rate. Additional attendees should also be registered through the Business Partner online registration. Please be prepared with the following information to register: - Name, Title, Mailing Address, Email and Days they plan to attend the conference (Sun, Mon, Tues) 5. Provide Your Company s Logo One of the benefits of being an AOA Business Partner is that your logo will be displayed prominently on the AOA website Business Partner page and in printed materials. Please submit your logo file no later than October 1st, to ensure your logo is included in the conference materials. Additional Business Partner Information: Table Assignments Tables for Premier, Diamond, Platinum, Gold and Silver Partners will be placed in the Business Partner exhibit area. Table placement is based on partnership level and table requirements. Premier and Diamond Partners will be contacted for preferred table selection. Bronze Partners will not be provided table space. Each display area will include: - One 6 table, two chairs - Electrical access - Wireless Internet Service will be provided in the Business Partner area. If you require a dedicated internet connection, you must make those arrangements through the hotel directly. Raffle Gifts Business Partners that participate in level Silver and above receive a gift purchased on their behalf that is raffled off at the Business Partner Luncheon on Tuesday. All partners (including Bronze) are also welcome to provide additional gifts from their companies to be included in the raffle. 4
A. B. C. D. HOTEL SHIPPING INFORMATION The Hyatt Regency Newport Beach has a limited receiving and packaging department. Therefore it is necessary that all exhibit material and displays arrive no earlier than January 6, 2011. The hotel will not accept any freight prior to January 6, 2011. It should be sent drayage or Freight Company when applicable. The hotel does not employ a forklift. If one is needed, the exhibitor must make special arrangements to manage logistics with drayage or Freight Company. Exhibits must be moved in and out by exhibitor - this is not the responsibility of the hotel. If pallets are sent, freight trucks must have a lift. Pallets must be dismantled by exhibitor. There will be a charge assessed if the hotel breaks down pallets at a minimum of $150.00. F. G. H. I. Tear Down If boxes need to be shipped out after tear-down, please have all boxes sealed, labeled and ready to ship. There will be a maximum of 5 boxes per booth. After that, a charge of $3.00 per box will be assessed (in addition to shipping charges). Shipping charges are the responsibility of the exhibitor. Boxes must be handled by hotel receiving and shipping. All freight arrangements must be made by exhibitor. Convention Services 949.729.6063 must be notified in advance of your arrangements. The hotel is not responsible for loss or damage of materials/ equipment/displays or exhibits left unattended at meeting rooms. Standard electrical needs will be provided per booth by AOA. Any power over and above must be cleared through the Hyatt Regency s Chief Engineer in advance. Charges will be assessed based on amount of power required and labor. Posters, banners and signs may be displayed at your booth on an easel or by hanging in front of your table. The hotel does not allow any of these items to be hung from the ballroom walls.
