EMPLOYEE NEWSLETTER OF THE BONE & JOINT INSTITUTE OF SOUTH GEORGIA APRIL 2017 A MESSAGE FROM RICHARD CLARK Dear Associate: It s hard to believe that we are about to finish the first quarter of 2017 in just a few more days! We are growing at an extraordinary rate with the addition of new providers, expanded responsibilities in Waycross, and more clinic days in Baxley. I would like to express my appreciation to everyone for their extra efforts these past three months. We continue to actively recruit for one more physician provider in 2017, and two more physician providers in 2018. With so much activity, I thought it would be helpful to provide more information on the long-range plans Dr. Kenerly and Dr. Valosen have established for us over the next few years. As such, I will be dedicating our next series of Brown Bag Meetings to this topic. New Team Members Welcome AMY BEECHER Amy was born and raised in Ware County but moved to Wayne County 12 years ago. She has two children and two grandchildren (with one more on the way). She like to relax by spending time with her family and traveling to the mountains. One of Amy s favorite activities is enjoying movies with her teenage daughter and she is absolutely in love with being a grandma! Amy is joining the BJISG team as a Patient Care Coordinator. She comes to us from Wayne Memorial Hospital where she worked as a lead registrar since 2005. Her favorite aspect of working in patient care is the personal contact with patients. Amy is excited to bring her personal touch to the Bone & Joint Institute of South Georgia. TENA ALLEN Tena Allen, RT-R, OT-C, was born and raised in Pierce County. She comes to us after 25 years working in orthopaedics with the Mayo Clinic Health System - Waycross. Tena has a son that plays collegiate baseball at the University of North Georgia. Her daughter, a fourth grade teacher at Blackshear Elementary, is expecting her first child. This will also be Tena s first grandchild! To say that she s excited to meet this little boy would be an understatement! While most of her free time is spent at the ball park watching her son s baseball games, she also enjoys being outside and working in her yard. AUGUST WILLIAM ARAGON August William, while not a New Team Member in the conventional sense... He is still a new member to the BJISG family all the same! Born on 03-21-17 weighing in at a healthy 8 lbs 7 oz., August enjoys hanging out with Mommy and Daddy while tightly swaddled in his favorite blankie! Patient Discharge Policy PURPOSE: The purpose of this policy is to ensure that once the decision to discharge a patient from the practice has been made, the patient is notified in a timely manner and the actions are documented appropriately. POLICY: It is the policy of BJISG to notify patients in a timely manner about the decision to discharge them from the practice and to document it appropriately in the electronic health record and the practice management system. PROCEDURE OR GUIDELINES: 1. Once the provider (physician or PA) has approved a patient discharge, the provider or providers nurse will notify the clinic nurse manager. They will provide the patients chart number along with any other detail to be included with the discharge letter. 2. The clinic nurse manager will create a progress note in the patients electronic health record (EHR) indicating that the patient is not to be scheduled for future appointments. 3. The clinic nurse manager will notify the billing office and provide the patients chart number. They will indicate in the practice management system that the patient is not to be scheduled for future appointments. 4. The clinic nurse manager will write the discharge letter and give it to the provider to be signed. 5. Once signed, a copy of the letter will be scanned into the patients chart. The original will be given to the administrative coordinator. They will mail the letter certified to the patient. A copy of the mailing label receipt will be scanned into the patients chart. 6. Once notification is received that the letter was sent successfully, this will be scanned into the patients chart. 7. Patients who have been discharged from the practice should not be scheduled for future appointments within the practice. 8. During the first 30 days after the date of the letter, patients will only be treated for emergencies and must be approved by the provider before scheduling. REMINDER! DANGEROUS EMAIL VIRUS DETECTED! Ordering An MRI? When ordering an MRI for a patient, make sure there are key questions asked. We have noticed a slight increase in the number of patients that are having an MRI ordered when they have a significant medical condition that would prevent them from being able to have this test completed. If they get through the process without this condition being recognized, it can substantially increase the amount of time it takes for the patient to receive the care that they are needing. Please help to decrease the amount of patients this is happening to by asking these key questions when an MRI is ordered. If the answer to any of the questions to the left is YES the patient may need to have a CT scan completed instead. Please coordinate with the ordering provider to change the order. If ever in doubt about a response that you get from a patient, contact Mitchell Sapp or Katie Streat for guidance. If a patient is over the age of 60 and needs to have an MRI with contrast, they will need a recent BUN and Creatinine level. St. Patrick s Day! UPDATE: Memorial Satilla Health HCA South Atlantic is close to completing an agreement to purchase Mayo Clinic Health System In Waycross. Providing high quality patient care is at the core of their mission and currently represent 12 hospitals and 9 surgery centers in 3 states and 5 distinct regions. This transaction will create a new hospital entity, which will be named Memorial Satilla Health.
