We have a limited number of booths for vendors or exhibitors who want to sell or promote products, services or programs of interest to families with preschool, elementary or middle school-aged children. Rental booths always sell out for this popular event. Please complete and return the attached form ASAP to reserve your space. To assist us in the selection process and provide us with the relevant information to promote your booth, please make sure you read the attached guidelines prior to submitting your form. Selection for the AMAZEatorium 2017 Registrations for vendor/exhibitor booths must be received by February 10 th, 2017 at the latest. The event steering committee will meet to select and allocate booths on February 12 th. All applicants will be notified of the outcome by Friday, February 18 th. Unfortunately, due to the demand for space at this popular event, we cannot guarantee that all applicants will be selected. Applications will be considered in the order that they have been submitted. Guidelines Booth Types Premium Booth: $425 (Limited availability) Large exhibit space positioned in prime traffic/visibility location Listing on website and printed event floor plan guide 2 draped 6ft tables; 4 chairs 4 Event Exhibitor passes 3 complimentary admission tickets Standard Booth: $225 Listing on website and event floor plan guide 1 draped 6ft table; 2 chairs 2 Event Exhibitor Passes 2 complimentary admission tickets Peddler Booth: $150 A peddler booth allows you to interact with our visitors anywhere on the floor. Supply your own small cart or wagon to transport your wares around the venue We will provide a secure storage area where you may keep inventory for restocking purposes. Listing on event website 1 Event Exhibitor Pass 1 complimentary admission ticket Describing and Selling Your Booth The way you describe your booth and the images you provide to us are important! Your application needs to sell your booth to us, the AMAZEatorium Steering Committee so that we will select you! The information you provide will help us determine if your product, service or program is a good fit for the event. We will use your information to describe your booth in our printed promotional materials, and on our website, our social media posts, and the event program. We strongly suggest that you submit at least one photograph or image connected to your product or program. You must have permission to use all images and by submitting them to us in the application, you grant permission to us to use them in the marketing and promotion of your booth. Image submission: should be circa 1MB in size and cannot exceed 2MB. Please submit as a jpg or png. Event Program Advertisement The program is a full colour, professionally designed booklet that many families will keep as a memento of the event. ¼ page ads are available for $100 each. We have a limited amount of ad space available and will allocate ads on a first come, first served basis (Applications are considered by the committee in the order that the completed paperwork is submitted.) If you would like to reserve a program ad, please submit your payment with the attached form. If your application is selected, we will contact you on or before February 18 th to confirm the processing of your payment and arrange for the submission of artwork for your ad.
IMPORTANT NOTES Program Timing: Booths should be open for visitors from 10am -12:30pm and from 1pm 5pm. A detailed schedule including load-in times will be emailed to you closer to the time. We will provide refreshments and a light lunch for all booth staff/volunteers. From 12:30 1pm and from 5 5:30pm, all booth activity will halt while visitors are seated for a highlight performance by the group Playing By Air. Volunteers may use this time to visit the hospitality areas and washrooms. Please plan staffing accordingly. Space: Exhibit space is limited to tabletop or pop-up, free-standing and banner displays only. Large booth features requiring hard wall construction are not permitted. Power: Power is not included in your Exhibitor package. If your exhibit requires power, please contact Global Convention Services at (506) 658-0506 to make arrangements at your own expense. Internet: Free WiFi service is available throughout the venue. The AMAZEatorium team cannot guarantee the reliability of the service. If internet access if critical to your exhibit, Harbour Station recommends arranging a dedicated connection through Bell Aliant. CONTRACT TERMS AND CONDITIONS FOR AMAZEATORIUM VENDOR/EXHIBITOR BOOTHS 1. The Booth Provider agrees to confirm all requirements on or before February 10 th. 2017. 2. The Booth Provider shall insure his own merchandise against fire, theft and all perils. Booth Providers are required to maintain their own public liability insurance and hold Touchstone Academy, event organizers, event partners and sponsors blameless in the event of any accidents, incidents or injuries. 3. Touchstone Academy, event organizers, event partners and sponsors are not responsible for any material or financial losses incurred by any Booth Provider. 4. Booth space will be made available for use beginning at 6am on Saturday May 1 st. 5. All Booths to be ready for official inspection by 8:45am on April 1 st 6. Preparation of the booth will be at the Booth Provider s expense. 7. Booths must remain intact until 5:30pm on Saturday, April 1 st. No removal or dismantling of the booth will be permitted before this time. 8. All booth decorations must be kept within the confines of the allotted space. 9. Painting or fastening to the walls, floors, ceiling or any part of the building is not permitted. Attaching signs or display material to the show contractor s equipment will be by approved methods only. Any damage to the building or show dressings will be the responsibility of the Activity Booth Provider. 10. Final allotment of booth space is at the discretion of the event organizers. 11. Space is to be used for agreed product sales only and cannot be sublet or used by any other persons than the Booth Provider, without the written consent of event organizers. 12. Cancellation Policy: The Booth Provider is expected to provide notification of any cancellation before March 1 st, 2017. Cancellations must be received in writing. 13. Concessions/Food Service Food and beverage service and sales by Booth Providers are NOT permitted as concessions are the exclusive domain of Harbour Station and its concession partners. 14. The sale of raffle tickets, lotteries and or any other gambling is not permitted.
