Who is eligible? Virtual students who are taking or have taken the specified CRNs for Spring 2018 and have purchased the required access code or access code book bundle. What are the important dates for this pilot initiative? Jan. 16: Students begin submitting documents for reimbursement. May 16: Deadline for reimbursements. May 31: All reimbursements (Gift Cards) will be processed and sent to student s HAWKMail email account from the Bookstore. What do I submit to get my reimbursement? 1. Completed reimbursement request form. These forms are available on D2L and on the final page of this document. 2. Class schedule for term you are applying for. Save your schedule as a.pdf directly from myhacc. 3. Receipt from the HACC bookstore or manufacturer. The bookstore is happy to provide a copy of your receipt to you if you paid with credit card, financial aid, or check. If you paid cash, they cannot provide proof of purchase. Remember, if you purchased them through the virtual bookstore, you can likely access your receipts through the My Order History area, and save it as a.pdf. Where do I submit my stuff? Scan the required documents and email them to vlreimburse@hacc.edu by midnight on May 16. Requests received after this date will not be processed and will not be eligible for reimbursement. Requests missing either of the support documents will not be processed and will be considered ineligible for reimbursement. How much will I be reimbursed? You will be reimbursed the amount that has been designated for the specific access code for the specific CRN. Please see the chart below, or the amount on your receipt, whichever is less. How will I be reimbursed? Reimbursements will be processed through the Bookstore. All reimbursements will be in the form of an electronic gift card to the Bookstore. Why isn t my access code on the list? Reimbursements are only for access codes which are required for virtual classes, but not for on campus classes. In these cases, students taking virtual classes are paying more to get the same education, so we are helping to offset the cost with these reimbursements. Classes that require access codes for both virtual and on campus classes are not eligible for reimbursement because both types of students are paying the same amount. For example: in the Communication 101 Class, 1
although both sets of students pay for the access code, the virtual code is more expensive, so therefore the code is eligible for reimbursement. Why is only this semester being reimbursed? This is an ongoing program as funding is available. Reimbursements are conducted each semester and are based on the budget cycle.
