What is Grants.gov Grants.gov is the new unified clearinghouse for finding and submitting all federal grant opportunities for all federal agencies that manage grant funds PureEdge version is stop-gap measure until System to System version works at University of Michigan: E-Research II 4
Grants.gov Benefits Using color graphics in your application will be easier No loss of quality due to scanning/copying. The reviewers will see color images and high resolution graphics. Reviewers get standardized applications from all applicants The review process will be shorter possibly by months 5
Grants.gov frustrations Can not use duplicated forms Double the amount for fields/forms to be completed Difficult to review and print application at pre-submission stage Additional time added onto deadlines 6
Transition Not all Federal sponsors have yet transitioned to Grants.gov, the Program Announcement or sponsor guidelines should indicate If you are not sure if the sponsor you are planning to submit to requires electronic submission (Grants.gov) please contact psych.grants@umich.edu IMMEDIATELY. Different sponsor use different or additional forms-for this reason it may take us longer to process some applications. 7
Deadlines Notify psych.grants@umich.edu 6 weeks prior to deadline of plans to submit Send completed worksheet to psych.grants 20 business days prior to deadline Draft of proposal due 10-12 business days prior to deadline (budget final) Final proposal due to Psych Business Office 5 days prior to deadline 8
DRDA New Deadline Policy- Why? DRDA expects to handle an estimated 100 New R01 Proposal submissions for the February 5, 2007 deadline Time for them to review/complete/submit goes from 4 minutes (paper) to 15 minutes (electronic) per submission Longer if errors found in validation process and the proposal has to be corrected and sent again Corrected submission must be accepted by deadline (NIH) 9

ALL Psychology Grants.gov applications to be housed on LSA- WHY? Grants Server Enable MACs access to application without having to upload CITRIX Only 1 version of the application Security: only PI is allowed to view documents in his folder-business Office can allow additional user 11
You do not need the PURE EDGE VIEWER PROGRAM to FIND grant programs, but you will need it to open the application form once you do find the one you want The LSA-Grants Server allows you to open application without Pure Edge Viewer being installed 12
Things to remember Business Office will upload application and maintain contents (for now) DON T USE FORMS-USE WORD DOCUMENTS unless specified (see examples) USE REQUIRED FONT Avoid 2 column format (reviewers receive electronic PDF version) Grants.gov/sponsors use weekdays vs. business days (they include holidays) Documents uploaded need to be PDF 13

Things to remember for NIH submissions PI s MUST be registered in the era COMMONS (can take 3 weeks to register) DATA IN era COMMONS should match application (ie. Name, degrees, institution) Read Grants.Gov Inst for faculty instructions changes to Research Plan section (ie. Publications for renewals, appendix publications) Checklist of required documents located in Grants_Gov Inst for faculty (appendix A contains instructions for all sections of application) Write Research Plan in one document-will be separated at time of upload DO NOT USE HEADERS/FOOTERS 16

Psychology Business Office PI notifies Psychology Business Office of submission and send complete worksheet Business Office downloads application onto LSA-Grants server and prepares budget, completes Grants.gov application, and PAF Once completed, PI reviews application and advises approval to Business Office Business Office places completed application into the DRDA dropbox for submission 18
WHAT DRDA DOES Psychology Business Office uploads a file into DRDA server dropbox DRDA staff gets a message that it is on their server DRDA staff opens the file Business Office receives a message that DRDA staff has opened it DRDA staff then 1. Checks the file against the Paper Shell 2. Clicks on the SUBMIT button on front of application 3. Logs in with identification and password 4. Clicks submit for real 5. Gets a confirmation from Grants.gov 6. Receives 4 messages from G.g telling of progress (validates-ie DUNS, no virus s) 7. May get a message from sponsor 8. If there are errors, will contact APOC (DRDA) and PI 9. Will later send a follow-up message to all who have signed the PAF (Psychology Business Office) CORRECTED VERSION MUST ARRIVE BY DEADLINE 19
Grant Review and Acceptance (NIH) era Commons Confirmation After grants.gov sends the application to era Commons NIH, the PI will receive an email notification (application is converted to PDF is not errors found) era Commons Electronic Validation Process (business rules) An error check will be conducted by the era Commons before the application is accepted by NIH. If errors or inconsistencies (warnings) are found, the PI will receive an email describing errors or warnings. Most warnings are insufficient. The PI must correct errors and send to Psych Business Office to upload the corrected file to DRDA No errors or warnings If the validation does not find errors or warnings, the PI will receive an acceptance email from era Commons. Two Days for Review After notification of acceptance from era Commons, the PI has two week days (including holidays) to approve the completed application in era Commons. RECOMMEND PI REVIEW APPLICATION EVEN IF NO ERRORS OR WARNING ARE FOUND. If within the two day window, you are unhappy with the results of the FINAL file, you must contact your DRDA representative to reject the file. Automatic acceptance occurs after the two day period. Rejected files DRDA will send us their copy of your PureEdge file with their info added. Correct the problem area(s) of your application. Modify the PureEdge file you get from DRDA (Psych Business Office). Upload to DRDA for resubmission-must include Cover letter (Psych Business Office). 20
