Please read through the information and complete the required forms and return to the address indicated on the documents. All resolutions must be submitted as indicated so they are available for review by the State Officers prior to sending to councils for review before the State Convention. Included in this package: 1. This year the convention package is being sent out using email to all Financial Secretaries, Grand Knights and District Deputies. Paper copies will be made available upon request. A reminder to those councils wanting to nominate a Family of The Year, as well as make submissions for the State Service/Single Project Awards - that the deadline for submission is March 15, 2018. Submissions should be forwarded to the State General Program Director Eugene Achtemichuk who will forward them to the appropriate Program Directors. SASKATCHEWAN STATE COUNCIL KNIGHTS OF COLUMBUS 96 th ANNUAL STATE CONVENTION YORKTON APRIL 20-22, 2018 My Brother Knights and Ladies: It has been almost 30 years since Yorkton has hosted the State Convention. On their behalf and on behalf of our State Team it gives us great pleasure to invite all Saskatchewan Knights of Columbus Councils to join us in the 5 th largest city in the province with a proud heritage, where we will come together as family and experience Domestic Church Inspiring Missionary Disciples. Most of the changes we introduced last year will be repeated ensuring that we efficiently and effectively tend to the business at hand, while providing delegates, ladies and family with quality time for fraternity and opportunity to reunite with or meet new brothers and sisters from across our great province. We have heard and we have listened to Councils regarding the cost for delegates to attend. We have been able to reduce the registration cost. The Council s actual expense is quite minimal once you take into account the $125.00 Convention Grant and mileage reimbursement paid by State Council to each Council that attends. To truly be a Family of Councils sharing our Love, Joy and Hope, we are excited about the possibility of having every Council represented and participating in this year s Convention. There is much work to be done in the name of Christ. Together we can make a difference and accompany one another along the journey to accomplish that work. Domestic Church Inspiring Missionary Disciples Dear Brother Knights and Ladies: THE SASKATCHEWAN STATE KNIGHTS OF COLUMBUS 96 th ANNUAL STATE CONVENTION YORKTON, SASKATCHEWAN April 20, 21 & 22, 2018 The Brother Knights and their Ladies of Districts 10,11,21 extend a warm welcome to you to attend the 96 th Annual State Convention at Yorkton. The Knights and Ladies have been working hard to make your stay in Yorkton a pleasant one. We have planned an entertaining and fraternal weekend for you. The host Hotel will be at the Holiday Inn Express. Hotel registration information, including addresses, is contained in the Hotel Registration Information sheet included in this package. Friday Opening Liturgy will be held at St. Mary's Church, Friday Social and the Saturday Banquet will be held at St. Mary's Cultural Centre, 240 Wellington Ave North. Saturday morning Mass, Knights activities, Sunday Memorial Mass and Sunday Farewell Lunch will be held at St. Gerards Parish 125 3rd Ave North. Ladies Saturday Program will be held at the Godfrey Dean Centre..The Children s program promises to keep children of all ages busy and entertained with various activities planned for attractions throughout the city. While we would have liked to have been able to host the entire convention and all activities, including accommodation under one roof, in one facility, the costs would have been prohibitive. Transportation to and from the Hotels and to both Parishes is being arranged. To help us with the planning, when you register for programs and meals, please complete the Transportation & Food Allergies/Special Meal Facility Questionnaire included in this package. We would like you to indicate whether you will need or use transportation services arranged by the Convention Committee. Also, please indicate if you or any of your family members attending the Convention have any food allergies requiring special meal/facility arrangements. The convention this year will commence with a Liturgy followed by the Official Convention opening address by State Deputy Brian Schatz. This will be followed with a Social and Luncheon. We are planning an interesting and exciting convention with features to keep you involved. Our Ladies and children's programs are well prepared and should provide for a busy and entertaining weekend. PLEASE NOTE: THERE WILL BE NO CANCELLATIONS ACCEPTED AFTER April 06, 2018 We will have a penalty charge for late registration after April 06, 2018. SASKATCHEWAN STATE COUNCIL VOTING & CREDENTIAL INFORMATION State Board; Supreme Convention; Charitable Foundation Board Each year at the Saskatchewan Annual State Convention, elections are held for the positions on the State Board, for the required number of delegates to attend the Supreme Convention, and two members to the Sask. K of C Charitable Foundation Board. Credentials As a subordinate council of the State Council, your council has the right to send two delegates to the State Convention, providing that your council is in good standing both at the Supreme and State level. Your Council is also permitted to send to the Annual Meeting of the Sask. K of C Charitable Foundation which will be held in conjunction with the Annual State meeting. The delegates that you elect and send must be in good standing with current dues paid; Delegates are to be the Grand Knight (no election required) and a Past Grand Knight; If council has more than one Past Grand Knight, than an election must be held for the second delegate. Alternates should also be elected for both positions in the event that either of the current Grand Knight or the Past Grand Knight is unable to attend. With respect to the delegates to the Charitable Foundation, the council s appointed delegates shall represent their Council at the annual meeting. The Financial Secretary of your council shall complete the enclosed credential form and forward it one copy to the State Executive Secretary at the State Office in Moose Jaw at least four weeks before the convention and shall give a copy to each delegate and to each alternate delegate. The delegates should be advised to bring their copy with them to the convention to be presented to the registration committee to obtain their convention pass. If you have any problems, please contact State Secretary, CHRIS BENCHARSKI. Nominations and Election Procedures Each year at the Saskatchewan State Convention, elections are held for the following: The positions on the State Board, and The required number of Insurance and Associate delegates as well as alternates to attend the Supreme Convention. This year the Supreme Convention will be held in Baltimore, August 07 to 09, 2018. Also during the Sask. K of C Charitable Foundation Annual Meeting, elections are held for two positions on the Charitable Foundation Board. NOTE: Any member allowing his name to stand for elections to State Board, or for the Sask. K of C Charitable Foundation, or as a Delegate to Supreme Convention cannot and must not lobby for votes or engage in the running of a campaign. He cannot solicit votes or support in any manner. Any Brother who plans to run for a position on the State Board, or as a delegate to the Supreme Convention can obtain details of the expectations for the positions from State Secretary Chris Bencharski email contact is cpbencharski@hotmail.com When a Brother Knight (whose personal and fraternal record may or may not be well known) intends to let his name stand for any of the above positions, he may forward a brief history to the State Office, provided it is endorsed by two Grand Knights and signed by them. The resume must be filed with the State Executive Secretary no later than sixty days prior to the annual meeting (February 20, 2018). Copies will be sent to all subordinate councils no later than 40 days prior to the annual meeting. This personal resume is not a nomination, it is only intended for advance information to the attending and voting delegates. All those intending to participate in elections must arrange to have their names presented either by the Nominations Committee or be nominated from the convention floor by a registered delegate. A member nominated by the nominating committee or nominated from the floor, may have a delegate speak on his behalf and be guided by the Chairman of the Nominating Committee who will allocate time and order for the presentation. The State Nominations Committee shall be composed of the two immediate Past State Deputies present at the annual meeting, and appointed by the State Deputy, and three Past Grand Knights present at the meeting to be elected by the delegates. The same committee shall act for elections at the Charitable Foundation Annual Meeting.../2

Resolutions Procedures Each year prior to the Saskatchewan State Convention, Councils are instructed and advised on the procedures for submitting resolutions. Councils presenting resolutions should take the necessary time to construct and properly word their resolution. Many times it appears resolutions are prepared at the last minute with little thought and are poorly worded. Such presentations are often defeated. PLEASE NOTE THAT RESOLUTIONS THAT ARE NOT SUBMITTED PROPERLY MAY BE REJECTED. Remember, if the contents of your resolution are important to you and your Council, it is worth being constructed and submitted properly. Please follow the enclosed instructions carefully. Refer to the under noted and other samples of resolutions that may be obtained from previous convention books. A PROPER RESOLUTION Should deal with only one item or topic; Should be clear, concise, objective and simply worded; Whereas clauses are not necessary. If deemed necessary, please limit to one or two; Must be approved at a council meeting, dated, certified and signed; Must be signed by the Grand Knight and Recorder; Must be submitted to the State Advocate, Larry Packet c/o State Office, on or before March 16, 2018 to be considered by the Board and allow sufficient time to be included in the convention book; Late submissions must be submitted to the State Advocate no later than 10 days prior to the State Convention; Should be typed (preferably on council letterhead) or printed for clarity (copy ready); and Resolutions dealing with programming should be handled through the General Program Director.
