Location The conference will be held at the Sheffield Hallam University City Campus. All presentations will be held in the 9130 Lecture Theatre which is situated on the first floor of the Cantor Building. The exhibition, catering and posters will be located in the Cantor Building Foyer on the ground floor. The conference dinner will take place at Hallam View Restaurant in the Owen Building a short walk from the Cantor. On arrival, delegates should register at the Cantor Building. Registration Registration will be located in the Cantor Building Foyer and will be open during the following times: Date Times Location Monday 9 January 09:00 18:30 Cantor Building Foyer Tuesday 10 January 09:00 16:30 Cantor Building Foyer On arrival, each participant will receive a delegate pack containing a pen and pad, programme and a name badge. Please wear your badge at all times because this will help with security, catering and enable you to identify your fellow delegates. Replacement badges can be issued at the registration desk. Payment The organiser reserves the right to refuse admission to any participants who has failed to pay their registration fee in full prior to the start of the event. Notice board A notice board will be available in the Foyer area. Participants should check the board for the latest programme updates and conference information. A print copy of the programme will be included in your delegate pack which will be given to you upon arrival at the event. Sheffield Hallam University facilities Internet and ICT Delegates will be provided with a username and password to access the WiFi at registration. This can be used throughout the Campus. Instructions are issued with the usernames and passwords. Cloakroom The venue does not facilitate a manned cloakroom. Coat rails will be available on the ground floor of the Cantor Building. A luggage storage room will also be available throughout the conference, please visit the IOP registration desk should you wish to make use of this storage facility. All goods left in these areas are left at the owner's risk and neither the IOP nor Sheffield Hallam University accept any liability for any loss or damage to personal goods. Prayer and contemplation facilities A multi-faith centre is available in the Owen Building (Level 2). Banking facilities There are two cash machines on campus, one inside the main entrance to the University on Level 5, outside the Peak Theatre and one on Level 2 of the Owen Building in the Heartspace. There are also numerous banks in the city centre, just a short walk from the University. On-site catering outlets There is a café in the Cantor Building selling snacks and drinks. There are also several places to eat close by; on Arundel Street there are two cafés Fusion and Tamper, selling coffee, light meals, cakes and snacks. Photography There will be a photographer at the event who will take general pictures of the conference and exhibition for distribution to participants post-event. Information for presenters Oral presentations Presenters are asked to prepare their talks to match the allocated times which will be rigidly enforced. Presenters should allow time for both a formal presentation and questions within the time allocated in the programme: Invited: 40 minutes formal presentation plus up to 5 minutes for questions Oral: 15 minutes formal presentation plus up to 3 minutes for questions The lecture theatre is equipped with the following audio-visual equipment: Data projector and screen Networked computer (windows) Lectern and microphone If you require any additional equipment, please email claire.garland@iop.org Speakers are requested to bring their presentation on a USB memory stick in windows PowerPoint or.pdf format and preload it onto the PC/laptop located in the lecture theatre. To optimise compatibility, particularly for the inclusion of multimedia components, speakers should include the original files so that it can be re-embedded if necessary. Direct connection of personal laptops (with set up in the break prior to the corresponding session) is an acceptable, but not preferred alternative. Mac users should ensure that they bring the correct connection cable (VGA) with them. Poster presentations Posters will be on display throughout the conference in the Cantor Foyer area. If you are presenting a poster please ensure that you display your poster on the board number that matches your poster number in the programme. Posters can be mounted from 10:30 on Monday 9 January and must be removed by 17:00 on Tuesday 10 January. Fixing material will be supplied. Posters must be no larger than A0 in size (118.9 x 84.1cm / 46.8 x 33.1 inches), in a portrait format. If your poster does not fit within these dimensions, we cannot guarantee it will be displayed. Posters must be prepared in advance of the conference as it will not be possible to print posters on-site. Digital poster display There will be the opportunity for posters to be displayed on screens at the venue. Safety and security Personal property Sheffield Hallam University and the Institute of Physics do not accept responsibility for the loss of or damage to personal property. Visitors are advised to keep personal possessions with them. Fire alarm procedure In the unlikely event of a fire, a continuous siren alarm will sound. On hearing the alarm, please make your way to the nearest emergency exit. Follow instructions given by the security staff or fire marshals immediately. Please leave the building in an orderly manner. Do not re-enter the building until instructed to do so by security. An intermittent siren is an alert signal. Be prepared to evacuate at any time should the signal change to a continuous tone. DO NOT use the lifts. First aid If you fall ill or injure yourself during the conference, please report the incident to a staff member who will call a trained first-aider. In case of serious injury, paramedics will be called. Security In the event of an emergency you can contact the University security team by dialling 888 from any internal phone or +44 (0)114 225 2000 from a mobile. Please contact University security in case of emergency before contacting emergency services. Smoking In accordance with government legislation smoking is not permitted in any building, temporary enclosed structure or substantially enclosed space outside of buildings. Behaviour and conduct The Institute of Physics and Sheffield Hallam University reserve the right to charge in full for loss or damage to University property.
