Frequently Asked Questions 1. Eligibility and Application Process Q : Who is eligible to apply for Australia Awards Indonesia Alumni Grant Scheme? A : All Australia Awards Alumni in Indonesia from all type of scholarships selected from Government of Australia scholarship program alumni including as Australia Awards Scholarships, Australia Awards Short Course, Endeavour Awards and Scholarships, Australian Centre for International Agriculture Research Scholarships and Fellowships, Australian Development Scholarships (ADS), Australian Partnership Scholarships (APS), Australian Leadership Awards (ALA), and Colombo Plan alumni. Q : What if I am not sure if I am on the alumni database or not? A : Please update your alumni status on Australia Awards Indonesia website or click the link below: http://www.australiaawardsindo.or.id/index.php/id/other/contact-details-form OR send your new contact details to our Post Award Team at postaward@australiaawardsindonesia.org to update manually. Q : How to apply for Australia Awards Indonesia Alumni Grant Scheme? A : Applicants should go to Australia Awards Indonesia website and go to Alumni section then follow the link provided. Applicants should include the following items (which are included in the SmartyGrants Online application form): Application form Cost details Activity schedule Declaration form Q: How are the awarded projects/applications selected? A: An independent judging panel is formed to assess the merits of each application, and the merit of the application against all other applications in the Alumni Grants Scheme through online SmartyGrants assessment system. In addition, the review panel will assess the uniqueness of the project which plans on achieving maximum impact and measurable outcomes, provision of an achievable project plan and funding requests based on a realistic budget. 2
Q : Whom should I contact if I have a problem completing or submitting my application on SmartyGrants? A : Please contact the Post Awards Team on postaward@australiaawardsindonesia.org, for any concerns about your application completion or submission. Q : Can an organisation employing Australia Awards Alumni apply for Alumni grant? A : Employing organisations are not eligible for funding through Australia Awards Alumni Grant Scheme Q : Can I apply for more than one Alumni Grant Scheme? A : Applicants can apply for more than one project but only one will be selected per grant cycle. Otherwise, applicants can potentially submit one application individually and another application in a group providing opportunity for both applications to be considered. Q : Can I apply again for a following up project/activity in the next round? A : Yes, grant recipients from previous round are welcome to apply again for follow up projects. Q : If I have a problem submitting in the last minute of deadline, can I submit my application via email? A : Submissions via email will not be accepted. All submissions, reporting and financial process will go through the SmartyGrants management system. We strongly encourage applicants to submit the application in advance to avoid any technical problems. Q : What if I leave some of the requirement fields in the application form blank? A : All required field must be completed. The system will count the application as a noncompleted application form meaning that the application will be disqualified and not considered. 2. Budgeting Q : How much funds can I apply for to conduct the activity? A : Applicants are eligible to apply for a maximum of AUD 10,000 per activity per round. Application that proposes under-budget and too high expectation budget will not be prioritized. Therefore be clear and sensible when proposing budget. Q : When is the deadline to finish the activity? A : The deadline to finish the project activity must be within one year. 3
Q : Will I get a full amount of grant in one time when my application is approved? A : No, grantees will only get 70% of the total amount upon project signing, 30% upon submission of mid-summary report. Q : How much detail must I provide in the budget section of my application? A : Try to be as specific as possible. Wherever possible, obtain a quotation from a supplier and attach it to your application (for example, a printer s quote for a book). The more precise and well-documented application, the better chances of approval of funds. Remember, grantees cannot ask for more funds because poor project costing in the initial application. Q : What if we need to buy equipment for our activity? A : Purchase of capital equipment such as items which might be term assets is not permitted 3. Reporting and Monitoring Q : When will I know if my grant application was approved? A : Applicants will get timely confirmation of application submission after they submit via SmartyGrants online system. However, applicants can expect to hear from the Australia Awards Indonesia office about the successful applicants in approximately two months following the proposal submission deadlines. Particular Note: For successful civil servant (PNS) applicants, endorsement letter from the institution (Izin dari organisasi) is essential in order to obtain the grant. Q : When AAI expects reports from grantees? A : Grantees need to submit two activity reports; a mid-term report prior to subsequent disbursements and a final report at the end of the activity detailing how the grant has been used. Please submit the proof of expense in your acquittal report (either posted or scanned). The original receipt should be kept for seven years for audit purposes. Q : If my application gets rejected, can I revise and resubmit? A : No, grants will be accepted or rejected with no possibility of subsequent negotiation. Q : What if I don t submit the report? Will I get the remaining 30% of fund? A : No, all reports must be submitted via the SmartyGrants system otherwise the remaining funds for the project will not be provided. If reports are not submitted based on Australia Awards 4
Office deadlines, the missing reports will be considered a breach of contract, and all funds must be refunded to the Australian Awards Office. 5
