2012-2013 LETTER OF INTENT FOR SAINT ALOYSIUS ORPHANAGE SPONSORSHIP Thank you for your interest in partnering with St. Aloysius Orphanage for sponsorship of a currently operating Ohio community school. For our currently operating applicants, we have developed a Fast Track process for Contract approval. Our Fast Track process includes the following: Letter of Intent for Sponsorship Required historical information and performance data Timeline for process completion 2012-2013 Contract Template The Letter of Intent for Sponsorship is included in this packet together with a list of required documentation addressing the historical information and performance of the school necessary for St. Aloysius to complete its due diligence in evaluating its applicants. St. Aloysius Orphanage takes the role of being an Ohio Community School Sponsor seriously. We have built a comprehensive team of professionals to provide a level of technical support and assistance that is not duplicated in Ohio. St. Aloysius Orphanage uses the 3% sponsorship fee across all newly sponsored schools. The sponsorship fees are used to continuously add to the expertise and knowledge that will be directly beneficial to the schools. We believe it is this mentality and the development of strong partnerships between the sponsor, the board and the school leadership team that supports and enables the school s success. We want to be a key member in your team to help our Ohio community schools drive improved performance to lead to successful student academic outcomes across Ohio. St. Aloysius Orphanage and Charter School Specialists have been working with Ohio community schools since 2004. We know that currently operating schools have a great deal of responsibility in handling the day to day operations of the school, and therefore, we want to lessen the burden of applying for new sponsorship by providing a brief Letter of Intent option and conducting our own evaluation of the school s historical performance from the information that the operating applicant provides. Currently operating schools will not have to go through the rigorous process of a complete Application and Preliminary Agreement, but will move on to Contract Attachment development upon acceptance of the Letter of Intent. Please note that acceptance of the Letter of Intent will commit St. Aloysius Orphanage and your governing authority and operations team to work in good faith toward a community school contract. It does not guarantee such a contract nor does it create any additional obligation between the applicant and St. Aloysius Orphanage. 1
After your Letter of Intent and required documentation is accepted, a representative of the governing authority may be asked to participate in a face-to-face meeting with sponsor representatives. Currently operating Ohio community schools may notify St. Aloysius Orphanage of your intent to apply at any time throughout the year via email at yadkins@charterschoolspec.com. The notice must include the deadline for notification of termination or non-renewal as required in your current community school contract. A completed Letter of Intent (including required documentation) is to be submitted electronically to yadkins@charterschoolspec.com, during the timeframe indicated on the Currently Operating Applicant Timeline. St. Aloysius Orphanage Sponsorship 2012-2013 Contract Critical Dates Timeline for Currently Operating Applicants The Timeline for Letter of Intent and subsequent final Contract and Attachments for sponsorship by St. Aloysius Orphanage is as follows: 9.1.2011-1.16.2012 St. Aloysius Orphanage, accepting Letters of Intent for currently operating community school sponsorship during this timeframe. All applicants should notify CSS of their intent to apply via yadkins@charterschoolspec.com. 1.16.2012 Letters of Intent and required information can be submitted any time throughout the year, up until this deadline. Note that the earlier St. Aloysius Orphanage is notified, the better opportunity for the Applicant to finalize the required documentation in advance of 2012-2013 Contract Deadlines. Letters of Intent (and required documentation) are to be submitted electronically to yadkins@charterschoolspec.com. Within 1 month after receipt of Letter of Intent and required documentation no later than 2.1.2012 Within 30 days after receipt of Contract Template and Attachments or as otherwise negotiated no later than 3.1.2012 Within 30 days after Contract and all attachments are submitted by Applicant no later than 3.30.2012 Notice of St. Aloysius Orphanage accepting or denying the Letter of Intent will be sent. St. Aloysius Orphanage to provide Contract template and attachment requirements to all accepted Letters of Intent Applicants. Due date for all applicants to submit draft Contract template and attachments (in the specified format via electronic delivery in word format to yadkins@charterschoolspec.com + 2 hard copy originals sent to CSS office. Applicants must comply with direction on page formatting and footer identifiers as required. St. Aloysius Orphanage to review Contract and attachments and provide final comments to applicants via electronic delivery or telephone call with identified applicant lead individual 4.16.2012 All final modifications must be made, accepted and formally approved by this date. St. Aloysius Orphanage must receive the following from each applicant: (A) signed board resolution approving the contract, and (B) four (4) originally executed hard copies of the final Contract and all attachments incorporating any supplemental documentation and necessary revisions *note that all versions (electronic and hard copy) must include ODE required identifying footers (school name, attachment or section name and page number). 4.30.2012 St. Aloysius Orphanage final review and execution of original Contracts. HISTORICAL INFORMATION AND PERFORMANCE DATA DOCUMENTATION Please submit the following documentation as attachments to your Letter of Intent: A. Governing Authority 1. Provide a list of the names, addresses, telephone numbers, and email addresses of the members of the school governing authority. Include a bio or resume for each of the governing authority members. 2.. Include a complete copy of the current Community School Contract and all Attachments. Identify the deadline for when the school must notify the current sponsor of intent to non-renew. B. Compliance 1. Provide copies of Corrective Action Plans currently in place with the current sponsor, the Auditor of State, and/or the Ohio Department of Education. 2. Provide copies of sponsor compliance reports for the 2010-2011 SY. C. Academic Performance 1. Provide copies of previous Local Report Cards. 2. Include the school s OIP materials and additional achievement testing data. 3. Provide a narrative for the data and analysis showing growth/improvement addressing any educational program adjustments and modification implemented over the years, to position the school for improved academic results. Has the academic performance met the goals and standards set for the school? If not, what will be done to position the school to meet its academic goals and expectations. D. Operational and Financial Performance 1. Provide a copy of the school s most recent audit, any management letter, and responses from the Board, if applicable. 2. Provide current financial statements and a description of the school s financial history. 3. Include a copy of the school s annual report. E. Legal. Provide a summary of any past or current material legal issues related to the school. 8
