RSVP ADVISORY COUNCIL MINUTES APRIL 4, 2013 Members Present: April Meyers, Jim McMahon, Maija Schmelzer, Fran Murtley, Tom Stachowski, John Blackmore, Marge Lesnick, Clara Knettel, Melissa Anderson, Stacy Lund, Kathy Gilbride, Jan Dahl, Therese Haffner, Dana Furman, Alicia Mages Members Excused: Erin Hausauer Staff Members Present: Laura Hood, Lisa Braun, Charlotte Strei, Jennifer Wucherer, Angie Trulson, Jackelyn Bekius, Jeri Clement (intern) - Meeting was called to order by Chair, Tom Stachowski. - Approval of minutes, motion by Fran Murtley, seconded by April Meyers - Adjustments to the agenda - None -Ice Breaker Spring goal ITEMS OF INTEREST: Funding Update Lisa reported the following income since the last meeting. $1,000 St. Joseph Township same as last year $867 Stearns County Emergency Management CERT grant $5,000 City of Waite Park Half of 2013 payment $4,852 Sherburne County Human Services February 2013 payment Banquet donations: Boys and Girls Club - $100 CAER Center - $100 Tri-Cap Transportation Program - $200 Liberty Financial Services - $100 Big Brothers/Big Sisters - $20 Sister of the order of St. Benedict - $200 -Rox Baseball Fundraiser Lisa and Jennifer met with the Rox staff on March 12 th. RSVP has agreed to participate again this year and has committed to recruiting 6 8 volunteers for 20 games (instead of the 10 positions we did per game last season). Fortunately, we no longer have to recruit for the speed pitch position which was our greatest challenge last year. Rox has agreed to pay RSVP a donation of $75 per game. We are still working out the food issue for volunteers and at minimal, RSVP will ensure that a snack is provided to each volunteer during their shift. The Rox Baseball game RSVP volunteers will also be recognized on the field at the June 19 th game. -Brat sales - Jennifer/Charlotte We have confirmed a brat sale at the Coborn s in Elk River and a weekend sale at the Cub store. Cub will be a flat $450 for the entire weekend no matter how many brats are sold. We have not received confirmation of anydates from Coborn s/cashwise yet in St. Cloud but, Harry Rothstein and his family want to take one of the brat sales in memory of their father, Ben. The funds will go the Ben Rothstein Transportation Memorial Fund.

Published articles There was an article published about National Volunteer Week in the Bright Side of 50 magazine. Special Events Committee Report 72 recognition donation requests were sent and all RSVP stations were given the opportunity to make a donation to the recognition events. Invitations will be going out April 15th with the recognition options. Those options are: Ice Cream Social in St. Cloud (Wednesdy, May 22) or Elk River (Thursday, May 23) Rox Baseball game Wednesday, June 19 th Piece of Pie from Perkins Style Show update Jackelyn and Jennifer The Style Show Committee had their first meeting on March 22 nd to discuss initial thoughts and plans. Goals for the 2014 Style Show were set and are: 30 Vendors 10 Runway Hosts 6 Workshops 200 pre-sale tickets $1000 in event sponsorships 1 donated item for a door prize Vendor/Runway/Workshop fees were set and sub-committees formed. The date will be March 27, 2014 at the River s Edge Convention Center. Community Emergency Response Team (CERT) Update - Angie Meetings o Spring training meeting Events/activities Train-the-trainer training planning/coordination (CERT attendees) Program manager training planning/coordination (CERT attendees) o 14 volunteers attended these 40 hour trainings Spring training Started April 2 42 Participants Held at Whitney Recruitment St. Cloud State University Global Disaster Policy class presentation Flood Preparation Underway Projected to arrive mid-april Falls Prevention update Jackelyn March is the federal fiscal year end for the Falls Prevention Program. Quite a bit of time was spent finalizing the budget and expenses for the program. We had a Coalition meeting early in the month and a marketing plan and up-todate budget was prepared and presented to the group. Two locations for the falls prevention banner have been scheduled K&S Pharmacy in Avon and the Albany Apothecary in Albany. I attended the St. Cloud Area Volunteer Coordinator s Volunteer Management Training Retreat. Two presentations on Falls Prevention were given in March one to Senior Dining Site Coordinators and one to the Foster Grandparents in the Princeton area. Change Advisory Council meeting date from August to October Lisa has the opportunity to go on a 10 day vacation starting July 31 st. The August meeting would be August 1 st. In the past, attendance has been low at

the August meeting. Rather than move the August meeting to a different date in the month, it was suggested to permanently change the August meeting to October. John Blackmore motioned and Fran Murtley seconded; the Council approved this change. Kudos Charlotte mentioned that the Elk River Mayor signed the National Day of Service proclamation and five RSVP volunteer attended the City Council meeting with Charlotte. Staff Reports Lisa J. Five volunteers came with staff to the reading of the proclamation during the 4/1/13 Elk River City Council meeting. $1,000 Great River energy grant received. The Volunteer Bridge is gearing up for the 2013 Volunteer Opportunity Expo. This is also a fundraising event from which RSVP benefits each year because of the donation Volunteer Bridge makes to RSVP for promotion, information and referral services provided. I continued to schedule performances for the remainder of the school year and worked to train a new volunteer to assist me with office tasks. Secretarial Duties: Reconciled the books for February, completed the Federal Draw Down, continued to oversee service learning student, Michelle, to enter hours and update the database. I also worked to spend down and close out the federal budget and be sure that all drawdowns for the federal year were correct and reconciled. I attended 2 free webinars on financial management and data tracking during the month.
