Epic@UNC Our goal with the Epic@UNC project is to create an information system solution across all UNC Health Care locations integrating patient access, ambulatory, clinical, inpatient, and revenue workflows. When fully implemented, Epic@UNC provides one patient ID, one problem list, one medication list, and one bill. Epic@UNC utilizes a single database ensuring reliability of information, workflow efficiency, and a complete portal for our patients, providers, and co-workers. This transformation allows us to share information, generate meaningful reports, conduct research, and identify opportunities for process improvements. Hospital Pardee Hospital & Clinics Epic@UNC Training Program The goal for Epic@UNC training is to deliver a constructive, interactive, and self-motivated training program that allows users to develop knowledge, skill, and confidence using Epic@UNC. The ultimate goal of the Epic@UNC training program is to ensure a safe and high quality experience for our patients from the first day our go-live. Epic@UNC replaces the existing systems you are currently familiar with to do your job. All the components of this training program exist to assure patient safety and quality care by providing you with a similar familiarity when using the Epic@UNC integrated system. For Go-Lives #1 and #2, we provided Epic@UNC training to more than 12,000 colleagues working at several hundred locations across North Carolina. With the upcoming affiliate locations, thousands of more colleagues will be added. Our Epic@UNC Training Program is based on the following Guiding Principles established at the outset of this project. UNC Health Care requires Epic@UNC training and a proficiency test for all users. Users will not receive log-on credentials until a proficiency test is passed. This is a no pass, no access policy. Proficiency is a condition of medical staff privileges. Training is required and will be compensated under standard work policies. Assessments to determine proficiency are administered at the end of instructor-led class and require a minimum score of 80%. of the appropriate instructor-led class before advancing to the next step in the Training Plan toward receiving system access to the Epic@UNC application. The Epic@UNC Training Team is committed to provide our customers with a meaningful learning experience. We have an excellent team of smart, creative, energetic, and loyal people conscientiously working to design, develop, and deliver appropriate training for our go-live events as well as ongoing training with an infrastructure to support and sustain user readiness. Team roles and responsibilities align with our objective to help you learn to use Epic@UNC and ensure you have the information necessary to complete the correct Training Plan for your role. I encourage you to read the information contained in this Training Plan document as it provides a lot of important and useful information. Training Methodology Learning Epic@UNC involves a blended approach of E-Learning courses, hands-on classroom instruction, 80% or better on after-class assessments, access to a Playground environment for self-initiated practice, and proficiency checks with a Super User from your work area. Practice using Playground reinforces proficiency and confidence prior to go-live. Providers gain production access during the Personalization and Voice Recognition Lab to customize their own profile using Smart phrases, text, commands, etc. Continuation of profile customization is an option at provider labs within hospital locations prior to the date of go-live. Pre learning, Prerequisites, Class Registration, & Assessments Completion of the correct role-based Training Plan is the responsibility of each person and their direct manager to ensure Epic@UNC application access is correct. The LMS (Learning Made Simple) learning management system tracks registration, completion of E-Learning courses, class attendance, and assessment scores for demonstration of proficiency. Training dates to remember Description Ambulatory Go-Live Implementation Date May 5, 2015 UNC Health Care Locations Affiliate Ambulatory Practices (High Point, Caldwell, Johnston, etc.) Epic 2014 E-Learning courses available in LMS Class schedules available in LMS for registration Post go-live class schedules available in LMS for new employees and providers January 26, 2015 Access to the LMS is required February 9, 2015 Schedules provided in the LMS in 2015 Early registration is the best action to ensure a seat in the classes required for each role. Complete E- Learning courses and prerequisite instructor-led courses so that you are prepared for each class in your Training Plan. Coming prepared also helps avoid delays with class end time from having to use unplanned class time to provide this instruction. Role based Training Plans in LMS Each Training Plan combines E-Learning and role-based core instructor-led courses required for access to the Epic@UNC application. Training Plans include courses from one or more Epic@UNC Applications. Each role-based Training Plan is configured in the LMS to assist end users with the registration process to ensure completion of each training activity to gain access to Epic@UNC. Course Catalog The Course Catalog section is organized according to Epic@UNC Applications and provides additional details about the courses in your Training Plan. Comfort breaks are included for all classes. A 30-60-minute meal break is included for courses with 6 or more hours of content. Who performs the work High-level content summary Online lessons to prepare you for the instructor-led class. Includes content to reduce instructor-led class time. Average duration of 5-10 minutes for each E-Learning course. Note: Failure to complete pre-learning before coming to class may result in the instructor having to teach content not included in the time allocated for the class and could delay end time. Course or courses that must be completed before taking the course. Recommended learning following class to advance knowledge and skill. Information about a class location other than the UNC Learning Street training center. E Learning Courses The Epic 2014 E-Learning courses provide an efficient method to begin learning about the Epic 2014 foundation system. These courses serve as pre-learning or prerequisites to instructor-led classes and refreshers for workflows, navigations, and functions of the Epic 2014 applications. Take advantage of the opportunity to take as many E-Learning courses as you like while preparing for our Epic@UNC implementation. Refer to the Epic E-Learning Course Index at the end of this document for a list of courses available in the LMS as of January 26, 2015. Epic@UNC Training Facility Guidelines & Location Classes for the Epic@UNC Ambulatory Affiliate Go-live event are being taught at few different facilities: Location #1: Learning Street Learning Street, our Epic@UNC training center at 1001 Airport Blvd, Morrisville, NC 27560 (formerly known as the Morrisville Outlet Mall). Learning Street is located on the back side of the mall. Directions From I-40 Eastbound (High Point): Take I-40 East to exit 284A, turn right onto Airport Blvd. Turn right onto Factory Shops Road, and go all the way to the end of the street. Turn left, and then left again at the next stop sign. Turn left again into the Learning Street parking lot. From I-40 Westbound (Johnston): Take I-40 East to exit 284, turn left onto Airport Blvd. Cross over the bridge, then turn right onto Factory Shops Road, and go all the way to the end of the street. Turn left, and then left again at the next stop sign. Turn left again into the Learning Street parking lot. Learning Street has 21 classrooms, ample parking, and a food court to accommodate the training demands of providers and co-workers in classes. The majority of training will be held at Learning Street. IMPORTANT REMINDERS: Classroom names appears in the confirmation email you receive from the LMS upon registering for a class. When arriving at Learning Street, check in with the front desk and with the information on monitors and directional signs to locate the correct classroom. Logistics for Learning Street The Learning Street classrooms are accessible from inside the mall. You can only enter Learning Street through the mall. There are no exterior entrances. There are 21 classrooms in Learning Street. A greeter sits at the entrance to help get you to the correct class. The classrooms are organized in alphabetical order, starting with Apple going all the way to Honey Locust. Please wear your badge for identification purposes. There is a food court at the mall, including: Asian Cafe Greek Fiesta Philly Steak Subway Peet s Coffee When you go on break or lunch, you must reenter Learning Street through the main entrance. Location #2: 600 Eastowne Drive, Chapel Hill, NC 27514 Due to the number of classes being held at Learning Street, we have to schedule some classes at our administrative office location at 600 Eastowne Drive, Chapel Hill, NC 27514, located right off the 15/501 exit on Interstate 40. Directions From I-40 Eastbound (High Point): Take Exit 270, 15/501. The traffic light at the end of the exit ramp is the intersection with 15/501 or Durham-Chapel Hill Boulevard. Make a right turn at this light. Make a right turn at the next traffic light onto Eastowne Drive. From I-40 Westbound (Johnston): Take Exit 270, 15/501. The traffic light at the end of the exit ramp is the intersection with 15/501 or Durham-Chapel Hill Boulevard. Make a left turn at this light. Make a right turn at the 2 nd traffic light onto Eastowne Drive. Here is a map to show where you can park in front of 600 and 700. DO NOT PARK IN THE 800 LOT. It is outlined in RED. Please respect our 800 neighbors. If you park in the 800 lot, you could be towed. You can use the additional parking area behind 600 and then walk around the front of 600 to get to the training rooms. Training located in front corner of building 600, 1 st floor. Logistics for Eastowne The Eastowne classrooms are accessible on the 1 st floor of the 600 building. You cannot get to the training labs through the 600 building you must enter from the front exterior of the building. Your badge may not work to gain entry to the secure building, but someone should be standing to let you into the facility. Please wear your badge for identification purposes. If someone is not there to let you in, you can pick up the phone by the door and someone can let you in remotely. There are 2 classrooms in Eastowne Classrooms 1 and 2. There is a sign to direct you to the correct classroom. There are snack machines by the training labs. There are numerous restaurants nearby that are easily accessible during lunch. Location #3: High Point Training for Providers Most High Point non-provider training is taking place at Learning Street or through a remote training session. The provider-level training is taking place in the 404 Westwood Building in High Point. Directions from High Point Regional (less than 0.2 miles away) Turn right onto N Elm St Take the 1st right onto W Westwood Ave Destination will be on the left Logistics for 404 Westwood The building houses individual offices in addition to the training rooms. Training rooms are on the 3 rd floor. Turn left off of the elevator, and then left down the hall. The training room is the first door on your left. The exterior doors should be unlocked or a trainer will meet you at the door. If not, call the security office number 336-878-2249, 24 hours a day. Please wear your badge for identification purposes. Parking is free; however, you may need to park behind the building during the day. There are vending machines in the lobby and the hospital cafeteria is in the next building. Location #4: Caldwell Training Location Epic@UNC training at Caldwell will be held in one of two locations: 348 Harper Avenue SW, Lenoir, NC (either classroom A or B) Hospital IT Classroom, 321 Mulberry Street SW, Lenoir, NC Parking is designated by the red box above. Logistics for 348 Harper Avenue There is no way to clock in from this facility, so you must communicate with your manager regarding time spent so he or she can update your time card. If you are commuting to training from your worksite, clock in as usual at your worksite and stay clocked in during your commute. Please wear your badge for identification purposes. There is a break room where you can store your lunch or a snack. There is a coffee machine as well. There are also restaurants close by. Parking at this facility is limited, but free. You are STRONGLY ENCOURAGED to carpool whenever possible since parking will fill up quickly. If you do park at the Harper Avenue location during the day, please park on the RIGHT SIDE of the parking lot. There are other businesses not related to Caldwell training located in the building. Logistics for the Hospital IT Classroom There is a way to clock in at this facility, so follow your normal process. If you are commuting to training from your worksite, clock in as usual at your worksite and stay clocked in during your commute. Please wear your badge for identification purposes. The room is adjacent to the Hospital cafeteria, which should be accessible for snacks or lunch. See parking guidelines described on the previous page. Other Training Information for all facilities Parking and Transportation at Training Facilities Parking is available at all training facilities at no charge. Please be conscious of your surroundings and keep valuables out of sight in your car. Lock your car while in the training class. Personal comfort, food, beverages, and electronic devices We want you to feel comfortable when attending training. Make a note of the following guidelines when preparing to attend training. Dress in layers to accommodate personal preference. We require a fragrance-free environment due to health conditions triggered from sensitivity to scents. Food is not permitted in the classrooms. Super User Coordinators Our Super User Coordinators work directly with providers and co-workers to ensure they have the information necessary for their support role and to assist in scheduling their training. Super Users Super Users (SUs) focus their attention during and following go-live by actively supporting Epic@UNC and ensuring users know how to use Epic@UNC properly in their work area. We have already started the process of identifying the super users to help support this rollout in 2015. In most cases, Super Users concentrate on supporting the team in their area. For example, a nurse working in a clinic provides support to his or her co-workers in that clinic or facility. She would typically not be asked to support a clinic in another city. Super Users begin their training with a two-hour orientation session. These orientation sessions will be communicated soon. Then, each Super User receives the appropriate Epic@UNC training for their job. Super User classes start 2-3 weeks prior to the End User Training. Following this initial training, Super Users are expected to sit in again on the same job-appropriate Epic@UNC training when it is held during End User Training. During this time, Super Users continue developing proficiency and assist the Credentialed Trainer with questions about operational practices or processes. Finally, Super Users attend a two-hour Readiness Session in the week before their Go-live to ensure they are prepared to provide support on their unit, clinic, or work area. During this Readiness Session, Super Users receive all of the necessary details, instructions, and contacts to reference for issues that arise at and following Go-live. Contractor Super Users ( Elbow Support ) In addition to our co-workers who serve as Super Users, we may bring in consultants for at the elbow support who will be stationed in our units, practices, and work areas during the period after each Go-live to assist both our Super Users and End Users as we make the transition to Epic@UNC. Select the employee with the radio button located to the left of the name and click OK. You are now in the employees LMS account. This process allows you to register your employee for their classes. Activities include E-Learning courses, instructor-led classes, and assessments. Managers can also use this function from the Manager tab by using the Change View function in the top-right corner to monitor their employees progress through their plans. STEP 1: LOCATING ACTIVITIES FOR COMPLETION FROM MY TO DO LIST From the Learner home screen, locate the activity to be completed in the To Do list. Select the drop down triangle to the left of an Activity and select Start. Online activities automatically disappear from the To Do list upon completion. Instructor-Led activities remain in the To Do list until a Learner has been marked as Attended for the activity. NOTE: The Start button for an Assessment appears upon registration; however, is not active until the instructor records attendance in the class. STEP 2: VIEWING THE TRAINING PLAN REPORTING SCREEN. Due Date: The date a Training Plan is due completion. If no date displays, the Plan does not include a Due Date. Assignment Type: Required or Recommended displays stating if the Plan requires completion. Percent Complete: The completion percentage for the entire Training Plan as a Learner progresses through the completion of activities within the Plan. Refresh button: Select this button to update Training Plan completion percentages in real time, otherwise wait for the nightly processes to refresh completion results. A Learner can use this function from the Learner home page. Managers can also use this function from the Manager tab by using the Change View function in the top-right corner to access the employee s To Do List STEP 1: LOCATING ACTIVITIES FOR CANCELLATION FROM A TO DO LIST From the Learner (or Manager) home screen, locate the activity to be completed in the To Do list. Select the activity that needs to be cancelled and then hover over Other Actions in the bottom-right of the window. A drop-down menu opens. Select Cancel Registration. Click Cancel Marked to cancel that activity. If there are multiple activities to cancel, repeat the steps above. NOTE: You must remember to enroll in another offering of the class. From Learner mode, enter the E-Learning Code that precedes the name of the course. The course name or a key word can also be entered to begin the search process. Results appear below the search field. Any of the following methods may be used to complete a search activity: Select the activity of interest in the pre-populated search results list to view only that activity.
