PURPOSE OF THE POSITION This position is responsible for the efficient and effective performance of clerical processes in order to meet radiology and Counties Manukau DHB standards and targets. NATURE AND SCOPE OF RESPONSIBILITIES Key Accountability To provide clerical services for Radiology Department Customers Quality Take responsibility for own competence and professional development Other HEALTH & SAFETY Recognises individual responsibility for workplace Health & Safety under the Health and Safety Act 1992 Standards / Achievements Telephones answering queries, forwarding calls, paging Mail accurately and efficiently sort and distribute incoming and outgoing mail Digitise hard copies of film where required Accurately and efficiently register patients into the Radiology information system and/ or Health information system Accurately and efficiently book patients into the RIS and HIS including admitting and discharge of patients, organizing interpreters, patient preparation and ward admittance. Provide results as requested by staff, GPs or patients in accordance with CMDHB policy. Accurately and efficiently maintain the waiting lists Prepare digital conferences as required Manage customer queries as appropriate and in accordance with Radiology and CMDHB policies. Facilitate patient care through keeping patients informed of long waits, assisting with mobility if required and notifying the nursing staff where appropriate if patient requires assistance. Liaise with the Quality Facilitator to manage customer queries ensuring positive outcome Have a commitment to excellence in customer relations Adheres to Departmental and organizational policies in delivery of service to customers. In conflict situations will be required to exercise sound judgement, negotiation and persuasiveness skills, toward facilitating a workable outcome. PROBLEM COMPLEXITY There will be a requirement to be able to prioritise issues and negotiate time frames, while still providing a quality customer service. The range of problems will be diverse and require solutions customised to meet the circumstances of the client. Therefore opportunities will arise to provide innovative options to the client based on proven outcomes. There will be demands to meet deadlines, maintain accuracy and quality of information. Failure to do so could impact on the organisation in terms of the achievement of organisational effectiveness across all clinical services. Will refer to the Administrative Team Leader or Administrative for advice or second opinion.
