Vanderbilt Outpatient Order Management 0.20.0 VOOM Phlebotomy Work List The VOOM Phlebotomy Work List is an application designed to help you manage and complete phlebotomy orders placed in the VOOM network. This work list will allow you to communicate your work on VOOM orders to all other VOOM applications and users, in addition, this work list communicates electronically with the Lab s Information System which is currently GE and also known as triple G. Launch Starting Phlebotomy Work List From Desk Top Closing Launching from the Desk Top Starting the Phlebotomy Work List - The Phlebotomy Work List application was designed to run independent of any other application and can be found on the desk top on selected computers. *If the VOOM Phlebotomy Application is not available on your computer then please contact the help desk. From Desk Top The Radiology Work List is available by clicking the VOOM icon. Closing - Click the Log Out button to close the application.

Getting Started Log-in User ID and Password User Name Location Location Name Logout Setting Up Clinics Display All Selecting Clinics Removing Getting Started Getting started on the VOOM Phlebotomy Work List is very easy. First you will need to log in using your RACF ID, password and by selecting your location. Log-in All users are required to log-in when starting the application. User ID and Password The work list uses your RACF ID and Password. User Name Once logged-in your RACF ID will be displayed on the screen. Location The location selected at log-in will determine where the Lab Information System labels will print and which Phlebotomy Collection Charge is sent to the Lab Information System. Location Name The selected location will be displayed on the screen *Selecting the location also selects which label printer to use. Selecting the wrong location will cause your labels to print at another location. Log-out To close the application simply click the Log Out button. Setting Up Clinics - Allows you to control which patients are displayed in the patient list. Display All By not selecting any clinics then all patients with orders in VOOM will be displayed. Selecting Clinics Click the green + sign next to the clinic. Removing To remove a clinic click the red X.

The first screen, the patient list, displays the list of patients who have work to be completed. The second screen, the patient detail, will open when a patient is selected and display the information for each individual patient. Patient List Displays the list of patients how have active orders to be completed. Searching Search by name or MRN number. Color Indicators VOOM uses the same color conventions as Outpatient Whiteboard. Blue indicates work to be done. Green is displayed when all the work is completed. Work that has been completed will stay on The list until midnight. Filtering The list of patients can be filtered by selecting one or more clinics or by adjusting the since date. By Clinic -By not selecting any clinics then all patients with orders in VOOM will be displayed. Otherwise, selecting one or more clinics will only display patients who have orders from those clinics. Since Date Will only display orders completed since the date that is selected. Adjusting the since date to a previous date will display patients whose orders have been completed since the selected date. Refresh Will refresh the screen.

Viewing Accessed by clicking on the Active Orders column on the Patient List Screen. Selecting Orders You can select or un-select orders using the check boxes Phlebotomy Charge Is auto selected if any of the selected test are a blood draw. You can remove the Phlebotomy Charge by unselecting the check box. Submit Orders Clicking the submit button will send all selected orders to the Lab Information System. *Once the Lab Information System receives the order from VOOM it will send the Lab Labels to the Label Printer. *If for some reason you are unable to complete the test and are unable to send a specimen to the lab then you must either cancel the test in the Lab Information System or contact someone in the lab to do so for you. Return to Patient List - Click the Go Back button to return to the patient list.

Working Active Orders Select and Submit Cancel Reactivate Future Orders Cancel Reactivate Other Actions Required Information Adding Comments Working on the Phlebotomy Work List There are several types of orders that will appear on the work list with a variety of different actions available to complete the order. Active Orders Orders that are inside the date range selected by the ordering provider and can be completed by the lab staff. Select and Submit Once the submit button is clicked all selected orders are transmitted to the Lab Information System. This electronic transmission can t be un-done in VOOM. *If for some reason you are unable to complete the test and are unable to send a specimen to the lab then you must either cancel the test in the Lab Information System or contact someone in the lab to do so for you. Cancel - Cancels the order in VOOM. Will prompt you for a reason why the order is being canceled. The order will return to the clinic to confirm the cancelation. Reactivation - A submitted order can be reactivated if for some reason the test could not be completed. A canceled order can be reactivated until the clinic confirms the cancelation. *If you reactivate a test after it has been submitted you must either cancel the test in the Lab Information System or contact someone in the lab to do so for you.

Since these orders are not in there active date range they can not be completed and are displayed for informational reasons only Cancel - Cancels the order in VOOM. Will prompt you for a reason why the order is being canceled. The order will return to the clinic to confirm the cancelation. Reactivation - A submitted order can be reactivated if for some reason the test could not be completed. A canceled order can be reactivated until the clinic confirms the cancelation. *If you reactivate a test after it has been submitted you must either cancel the test in the Lab Information System or contact someone in the lab to do so for you. Other Actions - Additional features on the patient detail screen. Required Information Information (e.g. Cath, Source, etc) that is required when sending the order to the Lab Information System will be indicated with a red row. To enter the information click on the information icon and answer the required questions. Adding Comments Click the comment link to open the comment editor.

Order Status Status Column Active Order Active (Red) Order Canceled Future Completed VOOM Status of an Order During the life cycle of an order VOOM will update the current status on the Patient Detail Screen. Status Column Displays the current status of an individual order. Active Order Tests that are ready to be completed. Active (Red) Order Tests that are ready to be Completed and require an answer on order to be Completed before it can be sent to the Lab Information System. Canceled Test canceled and can no longer be completed. Future Test ordered for a future date. For informational purposes only. Completed Test that have been sent to the Lab Information System.

Frequently Asked Questions Issue Printing Labels Previous Orders Can t see a patient on the list Commonly asked questions for the application. I can t print labels from VOOM Q: (lab staff) I can t print GE labels from VOOM A: GE labels will not print if someone is in the patient s chart in GE. Make sure they are not logged in to GE with the current VOOM patient. Or, they may be logged in to a different lab location. Ask what location they are logged in to in VOOM (labels may have printed at logged-in location if order is in GE) Q: I can t print labels or submit orders in VOOM. I get a message: A: Patient needs to be checked to EPIC either in lab area or clinic front desk. See orders from previous visits? Q: How do I see orders from previous visits? A: From Staff and Phlebotomy Work list: Change the since date at the top of work list to a past date (we should allow 6 months? Today we only allow 10 days). They can also view all VOOM orders in the patient s chart under all docs. Phlebotomy can look in GE for previous orders. Can t see a patient on the list? Q: I am unable to find the patient on the list? A: Check your My Clinic filter to make sure you are viewing the appropriate providers and clinics. A: You can use the Patient Search to view a patients orders.
