GLOBALMEET OVERVIEW GlobalMeet Web & Audio lets you host, schedule, or join a meeting on your ipad, iphone, and ipod Touch device. Just download from the App Store SM and go. No long URLs or access numbers to remember or passcodes to dial. GlobalMeet automatically connects you to the meeting. Easily host or attend a web meeting or audio conference. Save frequent meetings as Favorites. Search for meetings owned by other GlobalMeet users in your company and tap to join. NEW Talk and listen over your data connection (Wi-Fi or 3G/4G/LTE) with Dolby Voice HD Audio, or have the meeting call you. During the meeting, invite guests via email, or dial out to your guests. See who s talking with GlobalMeet active talker. Lock, mute, or record your meeting. Adjust participant volumes and mute noisy lines. Schedule a meeting and have GlobalMeet send an email invitation to your guests. In an audio-only meeting, switch to a breakout for more private communication. ios 10 devices. The GlobalMeet widget shows upcoming meetings and gives quick access to GlobalMeet meetings and Meeting Settings. On iphone 6s and later, press and hold (3D Touch) to get the same information. INSTALL GLOBALMEET DOWNLOAD THE APP The GlobalMeet app can be downloaded directly from the Apple App Store. 1. On your home screen, tap the App Store icon. 2. In the Search bar, type the word GlobalMeet. 3. Download GlobalMeet Web & Audio and install the app. iphone and ipod Touch Users If you re on an iphone or ipod Touch device, the App Store also lists GlobalMeet Audio. This app is for hosting or attending audio conferences; it does not include web meeting features. If you have the GlobalMeet Audio app installed, you can keep it on your device and use it to host or join audio conferences. However, when you join an audio conference from a meeting invitation (tap CONNECT ME), the GlobalMeet Web & Audio app will open. GlobalMeet Web & Audio User Guide 5

INSTALL GLOBALMEET SYSTEM REQUIREMENTS GlobalMeet can be used on ipad, iphone, and ipod Touch devices running ios 9 or newer. You must have an active data connection to use the GlobalMeet app, either through your wireless carrier s 3G/4G/LTE network or via Wi-Fi. ipad 1 and ipad 2 Users In large or highly interactive meetings for example, where there is a lot of screen sharing and webcam or video sharing you might experience delays in screen sharing and webcam or video sharing. If the delays become distracting, we suggest you rejoin the meeting from your computer, via GlobalMeet for Mac or Windows or a web browser. Transfer Meeting Feature If you re a GlobalMeet account holder, you can switch to the desktop right from the meeting, using the transfer meeting feature. To transfer a meeting from your iphone or ipad, you must have GlobalMeet for Mac or Windows running on your computer. The desktop app can be downloaded directly from the GlobalMeet Tools page. GETTING STARTED ACCESS THE APP Once the application has been installed, it can be accessed from the home screen. Tap the GlobalMeet icon to get started. GlobalMeet Web & Audio User Guide 7

GETTING STARTED SETUP The first step is to set up the app with your account info. On the Setup screen, tap Account Holder if you have a GlobalMeet account, or tap Guest if you do not. For Account Holders Enter your Email Address or Client ID, tap SUBMIT, and then enter your password. The app signs you in to your GlobalMeet account and displays the GlobalMeet home screen. The app saves your account information so you don t have to enter it again. To change your login info later, tap the Settings (gear) icon at the top right of the home or meeting screens, and then tap Application Settings. For Guests If you do not have a GlobalMeet account, tap Guest and enter your First and Last Name. Enter the Web Address or Access Number and the Guest Passcode for the meeting you want to join, and then tap JOIN MEETING. GlobalMeet Web & Audio User Guide 8

GETTING STARTED GLOBALMEET HOME SCREEN After you start the app, GlobalMeet displays the home screen. The home screen has four options. Settings menu 1. START MY MEETING To start a meeting using your own GlobalMeet account, tap Start My Meeting. If you have more than one meeting, select which meeting you want to host. 2. SCHEDULE A MEETING Schedule a meeting and have GlobalMeet send an email invitation to your guests that includes the meeting URL and dial-in information. 3. JOIN A MEETING Join another person s meeting. View the web meetings that you recently attended or search your company directory for audio and web meetings. Save web meetings that you attend often as Favorites. 4. SETTINGS Tap the Settings button to manage your GlobalMeet app settings, web and audio meeting settings, your account profile, and your password. GlobalMeet Web & Audio User Guide 9

GETTING STARTED USE IOS 10 SHORTCUTS On ipad and iphone devices, add the GlobalMeet Web & Audio widget to view upcoming meetings and get quick access to GlobalMeet meetings and Meeting Settings. On your iphone or ipad, swipe right to access the Search screen, and then tap Edit. In the list of widgets, find GlobalMeet Web & Audio, tap to add it, and then tap Done. Connect to a meeting or tap Show More to start, schedule, or join a meeting or access Meeting Settings. 3D TOUCH iphone 6s, 6s Plus, and 7. Press and hold the GlobalMeet icon to display an action menu with upcoming GlobalMeet meetings and options to start, schedule, or join a meeting or open Meeting Settings. HOST A MEETING START YOUR MEETING STEP 1. To start a meeting using your own GlobalMeet account, tap Start My Meeting. If your account has more than one meeting, select the meeting you want to join. GlobalMeet signs you in to your meeting and displays the meeting screen. STEP 2. The next step is adding your audio connection. Select one of your saved phone numbers or enter a different number, and then tap CONNECT ME to have the meeting call you. Or, tap CALL MY DEVICE to talk and listen right through your device s mic and speakers, over your data connection with HD Audio. NEW GlobalMeet includes Dolby Voice integration, featuring improved vocal clarity, background noise suppression, and spatial audio separation to make it easier to understand who is talking. You can also tap Dial-In to get a list of access numbers for the meeting. TIP: You can save up to three phone numbers or configure GlobalMeet to automatically use your data connection for audio. In Meeting Settings, go to the PREFERENCES tab. Have the meeting call one of your saved phone numbers or enter a new number. GlobalMeet Web & Audio User Guide 11

HOST A MEETING MEETING SCREEN (WEB) When you are hosting a meeting, you have full control of participants and meeting functions. The Home tab displays the web address for your meeting and lets you invite guests. PARTICIPANTS. Tap an arrow to view participant details. Mute your mic. VIDEO SHARE. Screen switches to show active talker. Toolbar SETTINGS. Tap to end the meeting. Share or hide your webcam. Active talker is highlighted. Invite guests by phone or email. Conduct a quick poll or survey. Chat with everyone or chat privately. Present files in the meeting, upload photos and videos, or send files and meeting recordings to your guests. Switch to the Home tab and display meeting info. Answer questions from your guests privately or publicly. GlobalMeet Web & Audio User Guide 12

HOST A MEETING MEETING SCREEN (AUDIO) ON THE IPAD When you host an audio conference from the ipad, the meeting screen is very similar to the web meeting view. The audio meeting screen displays the access number and passcodes for your meeting and lets you invite guests. PARTICIPANTS. Tap an arrow to view participant details. Mute your mic. HOST A MEETING ON THE IPHONE When you host an audio meeting from the iphone, GlobalMeet displays a specially designed meeting screen for the iphone. From here, you can view participants, invite guests, and view meeting and participant controls. Mute your mic. PARTICIPANT LIST. Active talker is highlighted. Tap the arrow to view participant controls or switch to a breakout. Invite guests by phone or email. Record the meeting. Mute all participants. Lock the meeting or adjust volume. End the meeting and dismiss all participants. GlobalMeet Web & Audio User Guide 14

HOST A MEETING MEETING TOOLBAR Across the top right side of the meeting screen is a toolbar with various controls for managing a successful meeting. Active Indicators 1 2 3 4 5 6 7 1. WAITING ROOM Web meetings. Tap to see who is waiting to join your meeting. 2. INVITE GUESTS Have the meeting call your guest or send an email invitation that includes the meeting URL (web) and dial-in information. You can select guests to invite from your Contacts and the app automatically fills in email addresses or phone numbers. 3. LOCK THE MEETING Allows you to lock the meeting, preventing additional guests from joining the audio and web portions of your meeting. 4. RECORD Start recording the meeting. Enter a descriptive name and choose whether to record the web-only, audio-only, or both web and audio portions of your meeting. Tap Record again to pause recording or to stop recording. Recordings are available in your content library a few minutes after you complete the recording. 5. MUTE ALL Mute (silence) all participant lines in the call. To unmute, just tap Mute All again. 6. HELP Get options for contacting support and visit the GlobalMeet community. Tap MEETING INFORMATION to display your meeting details (web address, access numbers, and passcodes). 7. SETTINGS View and update app settings, your GlobalMeet meeting settings, and set a custom Exit URL (web meetings). Tap here to end the meeting. GlobalMeet Web & Audio User Guide 15

HOST A MEETING RESTRICT ACCESS TO YOUR MEETING You can configure GlobalMeet to control access to your web meetings and audio conferences. In Meeting Settings, enable the Waiting Room (web meetings) or Music on Hold (audio conferences) features to prevent your guests from joining a meeting until you are ready. NOTE: Enable these features before you host your meeting. Waiting Room (Web) The waiting room feature prevents guests from entering your web meeting until you join. You can choose to admit each guest individually or have GlobalMeet admit all waiting guests when you join. Your guests will see a message like the following example until you admit them. To enable the waiting room, open Meeting Settings, and on the WEB SETTINGS tab, set WAITING ROOM to ON. If you choose I will admit each guest, the meeting toolbar includes a clock icon. Tap the clock to see who is waiting to be admitted and to approve guests for your meeting. Music on Hold (Audio) The music on hold feature plays music and mutes all guest microphones until you join the meeting. To enable this feature, open Meeting Settings, and on the AUDIO SETTINGS tab, set PLAY MUSIC UNTIL I JOIN to ON. Your guests will hear music and cannot talk to one another until you join. HOST A MEETING INVITE GUESTS TO YOUR MEETING You can add guests at any time during your meeting. On the meeting toolbar, tap the Invite Guests icon. Either let the meeting call your guest or have GlobalMeet send an email invitation that includes the meeting URL and dial-in information for your meeting. You can also invite guests from your saved contacts. Next to the Attendee Email or Name fields, tap the contacts icon. Find the person you want to invite, tap his or her name, and then select the email address or phone number you want to use. GlobalMeet fills it in. TIP: When you invite guests by email, you can select more than one guest. Enter multiple email addresses separated by commas or keep selecting from your saved contacts, and then tap SEND EMAIL. HOST A MEETING GUEST NOTIFICATIONS GlobalMeet can notify you when guests join or leave your meeting. To enable guest notifications, select Application Settings from the Settings menu on the home screen. On the Application Settings screen, select the meeting to monitor if you have more than one. Set Notify me when a guest joins or leaves to on, and then tap SAVE. When guests join or leave the meeting that you are monitoring, GlobalMeet notifies you. Tap the notification to open the GlobalMeet app, where you can join your meeting. Notifications also appear if you re already in the GlobalMeet app. Tap the notification to open the app and join your meeting. GlobalMeet Web & Audio User Guide 18

HOST A MEETING WORK WITH PARTICIPANTS The participant list shows all meeting participants. Tap the arrow button controls. next to a guest or your own name to display contact details and meeting TIP: You can delegate host or presenter privileges to other GlobalMeet users in your company. Every time the delegated user joins your meeting, he or she will have the permissions you granted. The delegate feature is available in Meeting Settings. A screen icon in a row means the participant is not connected via audio; a phone icon indicates an audio-only connection. If you know two rows are the same person, tap either row, and then select Merge to link them. Adjust or mute guest s speaking volume. Make the guest a presenter who can share her screen. Remove the guest from your meeting. If enabled for your company, GlobalMeet displays a flag icon in a participant row if the person is not a member of your company or enterprise. HOST A MEETING YOUR CONTROLS Tap your own name to see controls for your mic and speakers. If you dialed in separately or you re not connected on audio yet, you will see Connect and Merge options. You can switch phones without leaving the meeting. Tap Change Audio and have the meeting call another phone or connect audio via your ipad or iphone s data connection. Switch between device speakers or your Bluetooth headset. Check audio quality and change from device audio to dial out. Transfer to another device without leaving the meeting. Device Audio Options Audio Only. Switch to a breakout. If you connected audio over your data connection (CALL MY DEVICE), select Audio Source to switch between listening to the meeting on your ipad or iphone s speakers or your Bluetooth headset. If you are experiencing issues with your meeting audio, select Audio Quality to evaluate your call quality and to switch out a poor connection. GlobalMeet Web & Audio User Guide 20

HOST A MEETING BREAKOUT (AUDIO ONLY) In an audio-only meeting, you can switch to a breakout for more private communication. As the host, you can tap your name and move yourself or any guest into or out of the breakout. Your guests can only move themselves into a breakout after you set it up. NOTE: You cannot record a breakout; only the main audio conference is recorded. The Breakout option is available from your own participant details. While in the meeting, tap your name in the Participants list, and then select Breakout to set it up. To move back to the main conference, tap your name and then select Breakout > MOVE TO CONFERENCE. HOST A MEETING ANSWER QUESTIONS (Q&A) The question and answer (Q&A) feature allows guests to ask questions during the meeting. The host and all presenters can answer questions. The Q&A button shows the number of new, unanswered questions. Tap the Q&A button to answer a question. Enter your answer, and then tap PUBLIC to send the question and your answer to everyone. Tap PRIVATE to send the answer only to the person who asked the question. Type your answer. PUBLIC Send the question and your answer to everyone. HOST A MEETING POLLS AND SURVEYS Polls and surveys allow you to get instant feedback from your participants during a meeting. You can ask your guests one question (or multiple questions in the case of a survey), view results as charts or percentages, publish results to all participants, and save questions to ask again in another meeting. Poll and survey results are saved in your file library, in the Reports folder. POLL YOUR GUESTS Polls are single questions. You can create Yes/No, multiple choice, and essay questions. Once you create a question, you can poll your meeting guests and then view the results. The QUESTIONS tab lists polls you previously created and poll results. Post this question to poll your guests in the meeting. View results after you close the poll. Edit or Delete the question. Add a question. GlobalMeet Web & Audio User Guide 23

HOST A MEETING To add a new question, tap ADD NEW. Select the type of question to ask, and then tap NEXT. Create the question and answers on the next screen and then tap SAVE. View Results Hosts can view responses to poll questions as they come in. View results as a list, pie graph, or bar chart, and share the results with the meeting. Switch between Totals, Pie Chart, and Bar Graph views. GlobalMeet Web & Audio User Guide 24

HOST A MEETING CONDUCT A SURVEY You can combine two or more questions into a survey. You can then post the survey in your meeting and view results. The SURVEYS tab lists surveys you previously created. Tap ADD NEW to create a new survey. Name the survey and choose the questions to ask. Use the up and down arrows to the bottom of the AVAILABLE QUESTIONS list to set the order of the questions in the survey. Then, tap SAVE. Post this survey to poll your guests in the meeting. Choose the questions in your survey. Order the questions in your survey. GlobalMeet Web & Audio User Guide 25

HOST A MEETING LIVE CHAT The Chat feature allows you and your guests to exchange text messages during a meeting. You can send messages to all participants, or chat privately with an individual guest. Chat is located under the Participants section. An indicator shows how many new messages have been received. TIP: Make sure the feature is enabled for guests in Meeting Settings (WEB SETTINGS tab). 3 new messages waiting. To open the Chat window, just tap the Chat bar below the Participants list. HOST A MEETING LEAVE OR END THE MEETING When you complete your meeting, tap the gear button to open the Settings menu, and then tap EXIT MEETING. You can end your meeting, step out (allowing others to continue meeting), or stay connected to your meeting. Leave the meeting. If you are hosting, tap here to end the meeting and dismiss all guests. Specify a custom exit URL. GlobalMeet Web & Audio User Guide 27

HOST A MEETING SET AN EXIT URL You can add the URL of a website you would like to show your guests at the end of your meetings. The custom exit URL is used for the current meeting in progress, and all future meetings you host using your account. In the meeting, tap the gear button and then tap EXIT URL. Enter the URL of the site to display and click SAVE......then click to close the window. Preview the site you entered. CLEAR a custom URL and use the default meeting ended page. TRANSFER A MEETING TO ANOTHER DEVICE GlobalMeet account holders only. If you are hosting or participating in a meeting using GlobalMeet, you can transfer to your computer or another mobile device without leaving the meeting. Meeting transfer is supported on GlobalMeet mobile apps and desktop computers. Just have GlobalMeet running on your Mac or Windows computer before you start the meeting, and GlobalMeet installed and running on your mobile device. The Transfer Meeting option is available from your own participant details. Tap your name and then select Transfer Meeting. Transfer the meeting. GlobalMeet alerts all your devices. Continue on your computer. Click to open a browser (web) or the Audio Controls (phone-only). Continue on your smartphone. Tap to open the GlobalMeet app and enter the meeting. NOTE: Make sure you have GlobalMeet Web & Audio on your iphone device. If you transfer from a web meeting to an Android smartphone or an iphone with the GlobalMeet Mobile app only the meeting audio is transferred. GlobalMeet Web & Audio User Guide 29

FILE LIBRARY You can open a variety of files from your file library videos, PowerPoint presentations, PDF and Microsoft Word documents, spreadsheets (Excel and CSV), and images and share them in your meeting. You can also search for and share Vimeo and YouTube videos. You can add files directly from your device to your file library: upload a picture or video directly from Photos, take a picture of a document and scan it to your file library, or use ios share. For all other files, either sign in to your meeting on the web or use GlobalMeet for Mac and Windows. Tap File Share to see all the material that you uploaded previously into your meeting, reports, and meeting recordings. You can send a file to your meeting guests for download, or send an email link to a meeting recording. Use folders to organize your files. Tap to share a file in the meeting. Scan a document. Add meeting notes. Upload a picture or video. Create a folder. Add a web video. Sort file by name, date, size, or type. Rename or delete the folder. Email a link to the file to guests or send it to guests in the meeting; move or delete the file. Rename meeting notes. Meeting recordings and reports are saved in their own folders. FILE LIBRARY SHARE A VIDEO You can share MP4, MOV, and M4V video files and web videos from YouTube and Vimeo with your guests. Just tap the file name of the video you want to share and GlobalMeet opens the Video Player. Tap START SHARING to begin showing the video to your meeting. Minimize the player to pause playing, or close the player to exit. Start sharing the video with guests. FILE LIBRARY You can search for videos by entering a keyword or the URL of a video and tapping Search. Tap to add the video to your file library, and then tap Done. You can preview and share web videos the same as other videos you have uploaded to your file library. GlobalMeet does not store the actual video in your file library, just a link. SEND A RECORDING TO GUESTS Meeting recordings are saved in the Recordings folder. To share a link to a recording via email, tap the arrow > next to the file and then tap SEND TO GUESTS. Enter the email addresses of the people that you would like to view the recording. GlobalMeet sends a message to your recipients with a link to the recording. GlobalMeet Web & Audio User Guide 32

FILE LIBRARY UPLOAD A PICTURE OR VIDEO You can upload pictures and videos to your file library from your ipad or iphone. At the top of the file library, tap the add file icon. If you d like to upload the picture or video to a folder, navigate to the folder first, and then upload it. Navigate to the picture or video you want to upload And then enter a descriptive name and tap UPLOAD. GlobalMeet Web & Audio User Guide 33

FILE LIBRARY UPLOAD USING IOS SHARE You can add files to your file library by tapping Share or the icon in apps that allow sharing of supported file types, such as photos and videos. In Mail, touch and hold an attachment to view the sharing options for the file. Tap GlobalMeet Web and Audio to upload to your file library. Tap More to add GlobalMeet to the list of apps if it is not listed. Enter a name for the file, and then tap UPLOAD to upload to the file library for the selected meeting room. FILE LIBRARY SCAN A DOCUMENT GlobalMeet lets you create text documents by taking a picture or selecting a picture of a document from your ipad or iphone. GlobalMeet uses optical character recognition to turn the image into a text document in your file library. Tap the icon in the file library to add a text document from an image. Select whether to take a picture using the camera or select a photo from the ipad or iphone. A preview of the chosen image displays. Tap ACCEPT to continue. Choose the language of the document and tap DONE. If you have not already downloaded the language pack, tap the cloud icon next to the language. The language pack downloads and automatically installs. You can then choose to scan documents in that language. If you re happy with the results, tap UPLOAD. FILE LIBRARY TAKE NOTES Meetings hosts and presenters can create meeting notes in GlobalMeet. Meeting notes are saved in the file library so you can edit them later and share them like other files in the library. To create a meeting note, open the file library and tap the add note icon. Enter a name for the note, and then tap CREATE. The meeting notes window allows you to enter, format, and share notes. Save and share the note. Save the note and close. Set bold, italics, and underline. Left, center, or right justify text. Add bullets or numbered lists. Undo or redo changes. Tap SAVE to save and close the note. Tap CANCEL to save and share it. Saved notes appear in your file library. If you CANCEL the note in a meeting with 20 or fewer participants, GlobalMeet asks if you want to share the note. Tap SHARE to open the share dialog and share the note. Tap CANCEL to close the saved note and return to your file library. You can select recipients from your ios contacts, enter additional addresses, send to all meeting participants, and enter an optional message. Tap SEND to send the notes. FILE LIBRARY ORGANIZE YOUR FILES (FOLDERS) Folders are a great way to organize the files in your file library. Tap the add folder icon to create a folder. Tap a folder name to view its contents, or tap > next to a folder to rename it or to delete the folder and its contents. Move a File to a Folder To move a file, tap the arrow > next to the file and then tap MOVE. Select the destination folder and then tap MOVE again. GlobalMeet Web & Audio User Guide 37

SCHEDULE A MEETING You can schedule a meeting and have GlobalMeet send an email invitation. Just pick the date and time of your meeting and your guests email addresses. GlobalMeet sends everyone a meeting invitation that includes the meeting URL and dial-in information for your meeting. STEP 1. On the home screen, tap Schedule a Meeting. STEP 2. Enter the email addresses of your guests and a meeting subject. Or, tap the contacts icon to invite guests from your saved contacts. STEP 3. JOIN A MEETING On the GlobalMeet home screen, tap Join a Meeting to view the web meetings that you recently attended, or search your company directory for a meeting. You can join any meeting with a tap, and save meetings that you attend on a regular basis as Favorites. To join an audio conference, enter the access number and guest passcode. Tap to join a web meeting or enter the web address of the meeting to join below. Search your company directory. Save to Favorites. To join an audio conference, enter the dial-in number and passcode. JOIN A MEETING SEARCH YOUR COMPANY DIRECTORY Tap Directory to search a directory of GlobalMeet account holders in your organization. Search for a person by name or email address to see all meetings owned by the person. When you find the meeting you want to join, just tap its name. After you join the meeting, it is added to your Recent list. Tap: to join a web meeting. to join an audio-only meeting. Search the company directory for a name or email address. GLOBALMEET SETTINGS The Settings menu is available from the app s Home screen or on the meeting screen. Tap the gear button to open the Settings menu. From here, you can update your app settings, your account profile and password, and your web and audio meeting settings. When accessed from the meeting screen, the Settings menu includes an option to end the meeting. Change your login credentials. Edit your profile or update meeting settings. Leave the meeting. If you are hosting, tap here to step out of the meeting, or end the meeting and dismiss all guests. Specify a custom exit URL and redirect participants to it at the end of the meeting.
