1 INTRODUCTION The Jobs Bank portal for Employers allows you to manage the job posting creation, application and talent search processes. You can manage Job postings created within the Jobs Bank portal. 2 EMPLOYER DASHBOARD 2.1 LOGGING IN 1. Click the Login/Sign Up button. The Login/Sign Up screen is displayed. 2. Select CORPASS LOGIN under the Employers & Training Providers section. 3. The CorpPass Login screen is displayed. Enter the following: UEN Enter your company s Unique Entity Number (UEN) number User ID Enter your CorpPass ID Password Enter your password Click the Login button. 4. Enter your 2-Step Verification (2FA). * 2FA is required for CorpPass and selected digital services Page 5 of 141

5. You will be required to enter your Organisation Profile information if this is the first time logging in as an organisation. You will be required to enter your personal information if it is your first time logging in as an employee for your organisation. Refer to the Organisation Information Registration and Personal Information Registration sections respectively. 6. The Overview page for Jobs Bank will be displayed. The Dashboard drop-down menu displays the User ID. Page 6 of 141

2.2 FIRST TIME REGISTRATION 2.2.1 ORGANISATION INFORMATION REGISTRATION For organisations logging in the first time, an Organisation Profile screen will be displayed for you to complete the form and submit before proceeding to log in to the portal. 1. After your 2-Step Verification (2FA) step, the Organisation Profile screen is displayed. You are required to complete the following sections: Organisation Information Primary Contact Social Media (Optional) System User Terms of Use agreement Tripartite Guidelines for Fair Employment (Not editable) Third Party Employer Acknowledgment (if applicable) You must acknowledge the Terms of Use by ticking the checkbox. Refer to table for guidelines for completing the Organisation Profile registration page. After completing the form, click the Submit button. Click OK to acknowledge the Registration. 2.2.2 PERSONAL INFORMATION REGISTRATION If you are logging in as an employee for your organisation for the first time, the Personal Information screen will be displayed for you to complete the form and submit before proceeding to log in to the portal. 1. After your 2-Step Verification (2FA) step, the Personal Information screen is displayed. You are required to complete the following sections: Personal Information Primary Contact Refer to table for guidelines for completing the Profile Information registration page. After completing the form, click the Save button. 2.3 LOGGING OUT 3. Click the Dashboard drop-down menu and select Logout. System displays a pop-up message. Click Yes. System logs out the User and returns to the MySkillsFuture Landing page. The Dashboard drop-down menu displays Login/Sign Up. Page 11 of 141

2.4 OVERVIEW PAGE 1. Upon login, the Overview page is displayed by default. You can access the following: Manage Organisation Profile link Job Postings link Quick Links Jobs Expiring in next 7 days 2. Click the Edit Organization link to access the Profile page. 3. Job Postings section: Click on a link in the Job Postings section. Example: Job Postings pending vacancy status update. You can also perform these actions: Job Postings pending vacancy status update Active Job Postings Page 12 of 141

4. Click on a link in the Quick Links section. Example: Career Support Programme. 5. Jobs Expiring In The Next 7 Days section: Your job postings that are expiring in 7 days time, are displayed in this section. Four job posting tiles are displayed horizontally at a time and sorted by Job Title. Use the navigation button and symbols for the following: View All button click to display all the expiring job postings in the results listing page symbol click to display previous page symbol click to display next page Page 13 of 141

3 MANAGE ALERT SETTINGS You can set alerts to notify yourself of job applications received and job postings expiring in 7 days time. The alerts can be set for the Job Posting Contact Person or the Company Contact Person. Alerts will be sent to your Email. 3.1 SETTINGS FOR JOB POSTING CONTACT PERSON 1. Upon login, click the Alert Settings link at the top of the main area. 2. The Settings page is displayed. Click the Daily Email Notification On/Off slider switch. The slider switch displays the On position. Job Applications Alerts 1. Click the + symbol to expand the Job Posting Contact Person settings. The settings are displayed: Job Applications To receive email notification when an Applicant has submitted a job application Expiring Job Postings To receive email notification when your Job Posting is expiring in 7 days time Page 14 of 141

2. Click the Job Applications On/Off slider switch. The slider switch displays the On position. 3. Click Save. The settings is saved to the system. You will be notified via email when a job application has been received. 1. Click the Expiring Job Postings On/Off slider switch. The slider switch displays the On position. Expiring Job Postings Alerts 2. Click Save. The settings is saved to the system. You will be notified via email when a job posting is expiring in 7 days. 3. You can set alerts for the Company Contact Person using the same steps above for Job Posting Contact Person. Page 15 of 141

3.2 SETTINGS FOR COMPANY CONTACT PERSON 1. Upon login, click the Alert Settings link at the top of the main area. 2. The Settings page is displayed. Enable the Daily Email Notification (if it is not already in the On position). Job Applications Alerts 1. Click the + symbol to expand the Company Contact Person settings. 2. Company Contact 1 Edit the email address or accept the existing address 3. You can configure more than one Company Contact to receive email notifications. Click the + Add Company Contact link and enter another email address. Page 16 of 141

4. Click the Job Applications On/Off slider switch. The slider switch displays the On position. z 5. Click Save. The settings is saved to the system. The Company Contact will be notified via email when a job application has been received. Expiring Job Postings Alerts 1. Click the Expiring Job Postings On/Off slider switch. The slider switch displays the On position. z 2. Click Save. The settings is saved to the system. The Company Contact will be notified via email when a job posting is expiring in 7 days. 4 MANAGE JOB POSTINGS From the Job Postings & Applicants page, the Employer will be able to create, repost, edit, copy, view, delete, search, set alerts for jobs that are created in Jobs Bank. 4.1 CREATE JOB POSTING You can create new job postings via a form that is organized in an intuitive tabbed format. The job postings can be created for your own company or on behalf of another hiring agency if you are a recruitment agency. 1. Upon login, click the Job Postings & Applicants link at the top of the main area. The Job Postings & Applicants page is displayed. A. Job Postings by the Employer are listed by earliest Expiry Date first. B. Jobs expiring in 7 days are flagged in Red to inform you that action is required for the Job Applicant s status. A To learn more about the Job Applicant s status, go to the Update Application Status section. B 2. Click the Create Job Posting button. Page 18 of 141

The Create Job Posting page is displayed with the Job Description tab selected by default. Create Job Posting from Job Classification 3. Job Title Enter a partial job title. Example: duty The system will suggest job titles by looking up from the Job Classification in the system and display them below the search bar. To learn more about Job Classification, visit http://www.singstat.gov.sg/methodolo gies-standards/statistical-standardsand-classifications/ssoc 4. Click a suggested Job Title. Example: Duty Manager. 5. Press the <TAB> key. The following information will be auto-populated: Job Classification Job Description Job Requirements Skills & Competencies Qualification Field of Study You can use the information as provided or edit them. If the Job Title entered is not referenced from the Job Classification, you will need to select a Job Classification yourself. Subsequently, you will also need to enter the following information: Job Description Job Requirements Skills & Competencies On this page, you can perform the following actions: Save Discard Changes Publish A B C To learn more about Save or Publish, go to the Save Draft Jobs and Publish Job Posting sections. Click on the Next button after completing this page. 6. The Key Information page is displayed. Refer to table for guidelines for completing the Key Information page. 8. You can add more Contacts by clicking the Add New Contact link. Complete the form and click the Next button. 9. The Preview page is displayed with your completed information. This preview page is the same as what the job seeker would see when they click on your Job Posting. A B On this page, you can perform the following actions: A. Save B. 4.1.1 PUBLISH JOB POSTING 1. Perform the steps in the Create Job Posting topic. 2. Review the information and click the Publish button to proceed with posting the job. 3. A pop-up acknowledgment message box displays the Job Title, Job ID and Expiry Date. You can click a link on the acknowledgment message box to do the following: View details of the job Return to the Job Postings page. B A To learn more about viewing details of a job, go to the View Job Posting Details section. Where there are other talent who may fit this job role, they will be displayed in this acknowledgment box under Talent to consider. You can perform the following actions under this section: A. View Talent s Profile B. Send Contact C. Invite to Apply A B C To learn more about Send Contact or Invite to Apply, go to the Send Contact to Talent and Invite Talent to Apply sections respectively. 4.2 CREATE JOB POSTING AS THIRD PARTY EMPLOYER 1. Upon login, click the Job Postings & Applicants link at the top of the main area. 2. The Job Postings & Applicants page is displayed. A. Job Postings by the Employer are listed by earliest Expiry Date first. B. Jobs expiring in 7 days are flagged in Red to inform you that action is required for the Job Applicant s status. A To learn more about the Job Applicant s status, go to the Update Application Status section. B 3. Click the Create Job Posting button. Page 26 of 141

4. The Create Job Posting page is displayed with the Job Description tab selected by default. 5. Click the I'm posting on behalf of another company checkbox. A tick mark appears on the checkbox to indicate that you are creating a Job Posting on behalf of another organisation. a 6. Enter a partial word in the UEN or Organisation Name field box. The system will suggest the UEN with Organisation Names containing your partial search word. Click on the UEN or organisation name to select it. a Page 27 of 141

7. The UEN or Organization Name is displayed. The following information is autopopulated: A. Hiring Organization UEN B. Type of Registration C. Hiring Employer Name D. Industry A C a D B If you do not want the hiring employer s name to appear in the Job Posting, click the checkbox for Do not publish hiring employer name. 8. Refer to the Create Job Posting section for the rest of the steps. 9. Your Preview page will display the hiring organisation name that you are posting on behalf of. a Page 28 of 141

4.3 SAVE DRAFT JOBS Job postings can be saved as drafts before publishing them to the Jobs Bank. You can save them as Drafts and publish them at a later time. Draft jobs cannot be viewed by Individuals. 1. Upon login, click the Job Postings & Applicants link at the top of the main area. The Job Postings & Applicants page is displayed. Job Postings by the Employer are listed in alphabetical order. 2. Click the Create Job Posting button. Page 29 of 141

3. The Create Job Posting page is displayed with the Job Description tab selected by default. 4. Create a job posting. Refer to the Create Job Posting section for steps. 5. Click the Save button to save the job as Draft. a Page 30 of 141

6. The timestamp is displayed next to the Save button. You may continue editing and saving the changes. Drafts can be edited any number of times. You can also publish the job here. To learn more about publishing the job posting, go to the Publish Job Posting section. 7. Click the < symbol to return to the Job Postings page. a Page 31 of 141

4.4 DELETE DRAFT JOBS As Draft jobs have not been published to the system, you can be delete them anytime. 1. Upon login, click the Job Postings & Applicants link at the top of the main area. The Job Postings & Applicants page is displayed. Job Postings by the Employer are listed in alphabetical order. 2. Click the Show All Jobs checkbox and the Filter By Job Status - Drafts checkbox. Only Draft job postings are displayed in the search results listing. 4.4.1 DELETE ONE DRAFT JOB POSTING 1. Select the Draft job to delete by clicking on the Delete Draft icon. a Page 33 of 141

If you have changed only the Expiry Date, this will NOT count as an Edit. See example of changing Expiry Date only below. 12. Click OK. The system returns to the Job Postings page. The edit will be counted as one (1) edit. Example on the right shows the edit count as 2/2. You will not be allowed to edit this Job Posting anymore. You can check the details of the Job Posting edit by clicking on the View Job Audit History link at the right of the Job Posting tile. 4.8 COPY JOB POSTINGS You can copy a closed job posting to a new job posting. You can re-use or edit the replicated information of the copied job posting. 1. Job Postings by the Employer are listed by earliest Expiry Date first. 2. Example: Copy from a closed job posting and publish with edited details. Enter contractor in the search bar. 4.9 RE-OPEN JOB POSTINGS You can re-open a job posting after it has expired and the vacancy had not been filled. The original job posting can be re-opened up to 2 times within 6 months of the first posting. 1. Upon login, click the Job Postings & Applicants link at the top of the main area. The Job Postings & Applicants page is displayed. Job Postings by the Employer are listed by earliest Expiry Date first. 2. Example: Filter by Closed Job Postings and re-open a job posting from the results listing. Click the Job Status Closed checkbox from the Filter By panel. Page 59 of 141

Only the job postings with Closed job status will be displayed in the results listing. 3. Click on the Re-Open Job icon of the Job Posting that you would like to re-open. 4. Click a link on the acknowledgment message box to either view details of the job or return to the Job Postings page. Check Job Status is correct 8. 4.10 MARK JOB POSTING AS FILLED 4.10.1 MARK A JOB POSTING AS FILLED You can close a job posting with the Mark as Filled option so that you will not receive any more job applications for this post. 1. You can close a job posting with the Mark As Filled option. From the Job Postings & Applicants page, select the job posting and click the corresponding Mark As Filled icon. Click OK to proceed. 2. The job posting is automatically closed and an acknowledgment pop-up box displays the Job ID. Click OK to close the pop-up box. Jobs updated with Marked As Filled cannot be re-opened. 4.11 CLOSE JOB POSTINGS You can close a job posting before its expiry date by indicating if the vacancy has already been filled or is still vacant. From the Job Applicants page, select the Applicant and click on the corresponding Bookmark icon. The Bookmark icon is highlighted, indicating the Applicant has been Bookmarked. 2. 5.4 COMPARE APPLICANTS You can compare up to 3 job applicants and compare details such as Salary Expectation, Employment History, Qualifications and Skills side by side. 1. 6.2 REVIEW TALENT 6.2.1 VIEW TALENT S PUBLIC PROFILE You can view the Talent s public profile based on the Talent s preferences for which details to display on the profile. 1. From the Search Talent page, select a Talent and click the corresponding View Public Profile link. The Talent s Public Profile page is displayed. Information displayed is based on the Talent s preference for displaying or not to make the information available. 2. To return to the Search Talent page, click the symbol. System returns to the Search Talent page. 6.2.2 DOWNLOAD RESUME The Download Resume function allows you to download the Talent s resume for review on their suitability for a job role. Page 97 of 141

1. From the Search Talent page, select the Talent to review by clicking on the corresponding icon. Download Resume The resume is downloaded to your local drive via the web browser. Refer to your Browser s online Help or documentation for download location settings or behaviour. 6.2.3 SEND CONTACT TO TALENT You can send your contact details such as your contact number and email address to potential Talent for your job postings. The Talent will receive your contact message via their Email. 1. From the Search Talent page, select the Talent to send the Contact to by clicking on the corresponding Send Contact icon. The Send Contact page is displayed with the list of Contact Persons from your Profile. 2. Select the Contact Person(s) to send to the Talent by clicking on the respective checkbox. Page 98 of 141

3. Click the Send Alert button. A pop-up information box displays the message and Contact Person(s) that were sent to the Talent. 4. To send the above message to more Talent, click the Invite Other Candidates button. The Search Talent page will be displayed for you to select another Talent. 5. Follow Steps 1-3. 6. 6.2.4 INVITE TALENT TO APPLY You can send job invites to Talent to invite them to apply for your job postings if they are interested. Talent will receive your job invitation via their Email. 1. From the Search Talent page, invite a Talent to apply by clicking on the corresponding To Apply link. Invite The Invite To Apply page is displayed with brief information about the Talent. Available Job Postings are listed below. You can also perform the following actions: A. Search B. Sort By C. Filter By To learn more about Search, go to the Search Talent section. Click the x symbol to exit to the Invite To Apply page. 6.2.5 VIEW CONTACTED TALENT You can view the Talent that you have contacted and invited to apply for job postings. 1. From the Search Talent page, click the Contacted Talent tab. The Contacted Talent page is displayed. Sort Contacted Talent 1. Click the symbol on the Sort By panel to expand the sorting criteria. The drop-down list will allow you to sort the results by the criteria as shown. 2. Example 1: To sort the Contacted Talent by the latest date of contact first. Click the Date of Contact (Newest to Oldest) criteria. 6.3 BOOKMARK TALENT The Bookmark feature allows you to bookmark Talent and retrieve the bookmarks at a later time. 1. Example: Bookmark 4 Talents. From the Search Talent page, select the Talent and click on the corresponding Bookmark icon. The Bookmark icon is highlighted, indicating the Talent has been Bookmarked. 2. Repeat the above step for the next 3 Talent. 4. Click the Bookmarked Talent checkbox. The Search Talent page displays only the bookmarked Talent. Page 106 of 141

6.4 COMPARE TALENT You can compare up to 3 Talent and compare details such as Salary Expectation, Employment History, Qualifications and Skills side by side. 1. Example: Compare 3 Talents. From the Search Talent page, select a Talent to compare by clicking on the corresponding Compare icon. The Compare icon displays a tick mark and the selected Talent is displayed in the Compare Talent placeholder. 2. Repeat the above step for the next 2 Talents. The selected Talents for comparison are displayed in the Compare Talents placeholder. 5. Click on the Compare button. Example: Trying to compare more than 3 Talent 1. The Compare Talent feature allows up to 3 Talent to be compared. Select 3 Talent to be compared. Page 108 of 141

7 MANAGE INTERVIEWS You can manage Interviews by sending Interview Invites to job applicants. The Interview Invite function allows you to propose, accept, cancel or re-propose the interview date and time slots. 7.1 SEND INTERVIEW INVITE 1. From the Job Postings & Applicants page, select the Job Posting and click the Number of Applicants information text. 2. The Job Applicants page is displayed for the selected Job Posting. 7.4 CONFIRM APPLICANT S INVITE ACCEPTANCE 1. After an Applicant has accepted your interview date, you can confirm the acceptance from the Job Applicant page. 7.6 CANCEL INTERVIEW INVITE 1. You can cancel the interview date and send to the Applicant. From the Job Postings & Applicants page, search and locate the job posting. The Cancel Interview dialog box is displayed. Select a reason for cancelling the interview from the drop-down list. Click the Cancel Interview button to proceed. 4. 8 MANAGE ORGANISATION PROFILE 8.1 UPDATE ORGANISATION PROFILE INFORMATION You can update your Organisation Profile which contains the company information such as logo, banner, contact details, address, website and social media URL, etc. 1. Upon login, click the Organisation Profile link at the top of the main area. The Organisation Profile page is displayed. Update Company Logo 1. Click the Edit link below the logo. 2. The Logo Image dialog box is displayed. Click the Upload button. Page 122 of 141

Only Contact Persons with Designation of HR Director are displayed. 8.4 UPDATE THIRD PARTY EMPLOYER ACKNOWLEDGMENT Organisations such as recruitment agencies can create job postings on behalf of another Employer by retrieving the UEN of the hiring Employer. 1. Click the Edit link on the Acknowledge Third Party Employer message section. Page 136 of 141

2. The Edit mode for the section is enabled. Click the checkbox if you are registering as a Third Party Employer. A tick mark is displayed on the checkbox. 3. Click Save. The acknowledgment is saved. You will now be able to perform the following: Create Job Postings for your organisation Create Job Postings on behalf of other Employers To learn more about Save or Publish, go to the Save Draft Jobs and Publish Job Posting sections. During the Create Job Posting step, there will be a checkbox for you to indicate that you are posting the job on behalf of another company. If you uncheck the Third Party Employer Acknowledgment registration, you will not see this indicator in the Create Job Posting step. Page 137 of 141

If you want to track your feedback, you will need to login to your account. After logging in, click on the Dashboard Access button to display a drop-down list of the account features.
