AUSTRALASIA REGION 2015 EDUCATIONAL FACILITIES AWARDS PROGRAM REGISTRATION AND ENTRY INFORMATION As a leader in the field of educational facilities, the Australasia Region of the Council of Educational and Facilities Planners International (CEFPI) invites you to enter the 2015 CEFPI Australasia Region Educational Facilities Awards and Exhibition. AWARDS - INTENT The Awards program is open to registered CEFPI members, including planners, school principals, bursars, consultant architectural firms, construction management firms whose educational facilities projects demonstrate effectiveness in planning, design, construction, and post occupancy evaluation highlighting successful educational outcomes. The aim of these Awards is to enhance the profile of design and building development as it applies to all educational facilities across the Region. These are CEFPI awards which need to reflect the philosophy of our organization. The project(s) being recognised will best demonstrate the effectiveness of comprehensive planning, design and construction relating to improving student learning. AWARDS - PRESENTATION The awards will be presented at the Annual Regional Conference in Canberra 24-27th May 2015. Awards and Commendations may be presented in all categories along with the Outstanding New Zealand Project, The Outstanding Singapore Project and an Overall Winner. Award Winners will have their entry fee paid to enter the 2015 CEFPI School Planning and Architectural Exhibition the annual CEFPI World Congress. Winners in various categories may be asked to develop and present Seminars, webinars and/or other resources that describe and promote the project AWARDS PEOPLES CHOICE EXHIBITION In addition, there will be a People s Choice Award awarded at a public event during the conference. CEFPI Australasia members and conference delegates will be able to vote at the Awards exhibition. All Submissions will receive exposure on the CEFPI website and have the opportunity to be on exhibition at the Regional Conference. REGISTRATION INFORMATION AWARD TIMELINES Online Registration to be received by COB: 20th February 2015 Payment and Final Submissions to be received by COB: 28th March 2015 Exhibition Panel to be submitted by COB: 24th April 2015 Award Presentation: Annual Regional Conference in Canberra 24-27th May 2015. ENTRY FEE $300AUD (inclusive of GST) per entry Payment may be made by Credit Card or EFT. Select the appropriate method on the registration site. A tax invoice will be generated online upon registration. EFT Payment must be made prior to 28 th March or submissions will not be accepted. No images etc are required at the registration stage. NOTE: You will need to log on to the CEFPI Wild Apricot site using your email address and password in order to register. ENTRY REQUIREMENTS SUBMISSION PROCESS All submissions will be uploaded by entrant, as outlined below: all files are to be uploaded by entrant onto Dropbox, a web-based file storage system. details regarding access to the relevant Dropbox folder will be issued to the registered submitter. confidentiality of submissions will be maintained through discrete folders, one per submission. hard copy submission will be accepted by prior arrangement only. Refer also submittal details for file requirements. Any queries or concerns regarding submissions to be sent to: DROP BOX Award entries are to be submitted via DropBox. The person whose name appears as the Submitter will receive the dropbox information. PROJECT EXHIBITION All submitters are invited to exhibit their Submissions at the CEFPI Australasia Region Annual Conference in Canberra. Submission of exhibition panels will be digital, and panels will be printed in Canberra for display. The cost of printing is included as part of the registration fee. Submission of an exhibition panel is not a pre-requisite of the awards entry. Details of Requirements: We invite you to design one display panel per entry according to the following specifications:- Ø Any architectural drawings within the panel shall be shown legibly and accurately at scale, with numerical and graphic indication of scale. Ø Format The panel must be in a landscape format must be A2 size (594 x 420). must be submitted in electronic format as a PDF file at 300dpi. Ø Descriptive data on the panel should include at least the following: Name and location of School/Educational Facility Name of school s Design/Construction team architect, educational planner, construction manager, general contractor and any other appropriate credits Once entry has been received details will be forwarded regarding final format and submission details and deadlines. ENTRY REQUIREMENTS CATEGORIES 1. New Construction: Entire New School (occupied in the last 3 years) 2. New Construction: Major Facility(occupied in the last 3 years) 3. Renovation/Modernisation Over $2m (occupied in the last 3 years). 4. Renovation/Modernisation, Under $2m(occupied in the last 3 years) 5. An Education Initiative or a Design Solution for an Innovative Program- a project designed to showcase a significant contribution to learning and the understanding of space and usage by interior designers, educators, landscape architects, project managers, Authorities etc 6. Landscaping / Outdoor Learning Area (Designed to showcase outdoor learning environments targeted to improving educational outcomes) CRITERIA Awards and Commendations may be presented in all categories along with an Overall Winner. Awards will be presented to the CEFPI member-architectural firm, the school, the Educational Authority, consultant, planner whose project best meets the following criteria: 1. A thorough and comprehensive planning process including evidence of consultation with a wide stakeholder group. 2. Development of a comprehensive educational specification and program of requirements in consultation with teachers, students, parents and the broader community. 3. Contemporary design that meets the requirements of the school/government s educational priorities with a special emphasis on the functionality of educational spaces. The Jury members will evaluate project materials in the following areas: Evidence of a thorough planning process Evidence that the design responds to and fulfils the needs of the educational program, teachers and students and has the flexibility to meet changing demands Evidence of usage of materials, colour and lighting that enhances the educational environment. Evidence of the usage of materials and techniques which ensure environmental sustainability with a focus on efficient life cycle, maintenance cost and water and energy usage. Evidence that the site development responds to and enhances functionality of the educational program. SELECTION PROCESS Once submissions are received the jury will be finalized. The jury will consist of at least 3 experienced industry practitioners appointed by CEFPI. Each submission which must be presented in the prescribed format, will be reviewed and evaluated by the jury, based on these Awards criteria. Non-conforming submissions will not be reviewed. When the jury has reduced the selection process to 2 3 final projects, the jury may contact the clients directly to personally assess the project and verify a successful implementation of educational specifications with the School Planning Committee. ENTRY DETAILS SUBMITTAL INFORMATION To address the criteria and illustrate the successful story of your project, please assemble one PDF document which contains templates 1-7 and includes photographs, sketch plans, site and floor plans. This file, along with high resolution photographs in.jpg format, medium resolution is to be submitted by uploading onto Dropbox as directed. In addition, Template 8 - Website Template can be completed online at http://cefpi.org.au/about/updating/award-form The templates (1-7) are available as.doc files and can be downloaded from the Awards Registration link. For ease of collating and reviewing by juries, please ensure the correct naming format of all files as follows: Templates 1-7 Project information naming protocol category#_project name_ template1-7.pdf Project photos - jpeg files naming protocol category#_project name_ photo#.jpg In order to be reviewed by the Jury, the Information MUST be set out using the templates as set out below. Once an entry submission has been submitted a receipt will be issued within 7 days once to confirm that files have been received on Dropbox website. ENTRY DETAILS SUBMISSION REQUIREMENTS Submissions must include the following eleven (11) requirements: 1. Completion of CEFPI project data requirements. (Refer Template 1: 2015 Award Project Data) 2. Project budget and verification that the project was completed within the limits of the approved budget. (Refer Template 2: 2015 Award Project Details Form) 3. A project timeline outlining each step in the delivery process from the initial determination of facility need to final occupancy. Verification should also be provided that the project met the client s timeline and that the project has been completed within the last three years. (Refer Template 3: 2015 Award Project Timeline) 4. Project Planning Process-A narrative description of the design response to the four nominated areas in the planning process. (Refer Template 4: 2015 Award Planning Process) 5. A definition and narrative description of the project prepared by the architect that highlights exceptional features, discusses specific challenges that the project encountered, how those challenges were met, and any other points of significance. (Refer Template 5: 2015 Award Applicant Project Narrative, maximum of two typed pages) 6. A statement from the school regarding the educational specifications and/or the program of requirements for the project, including a summary of how well the school s needs were met. (Refer Template 6: 2015 Award Project: School Narrative/ 500 words. An additional 500 words can be provided by the users e.g. teachers, students, community. It is strongly recommended that the Submitter engage with the school as early as possible in the development of the Submission to ensure this statement is completed to justify the project. 7. The signed Photo/Project Information Release Form. (Refer Template 7: 2015 Photo/Project Information Release Form) 8. Complete set of site and floor plans which clearly identify detail and show the design intent. Plans must be in colour and indicate north point. All information on drawings must be clear and legible. 9. Colour photographs of the interior and exterior of the building. Maximum of eight photos are to be provided separately. Images should be supplied in landscape format where possible Ideal images size is 1200 x 800 pixels (width x height) at 240 / 300 dpi resolution. 10. An overall photograph or sketch depicting the nature/concept of the project 11. Template 8 : In order for your project to be placed on the CEFPI Australia website, please complete the form on the CEFPI website http://cefpi.org.au/about/updating/award-form This requires the following information: Project details and information, summary (50 words) and description (no more than 350 words). Up to 5 photos / images. These must be.jpg files. ENTRY DETAILS SOME HANDY HINTS FOR YOUR SUBMISSION Ensure that the Category of your entry is clearly noted on your registration and your Submission. If your project is entered in Category 5, Why is it innovative? Involve the School /education community both teachers and students in the Submission process. Do not underestimate the importance of the pre-design phase and the explanation of the response to the brief. The presentation of the complete submission in one file is required. Ensure that narratives not only describe the project, but address specific criteria. Don t forget to make clear how sustainability and life cycle costing issues have been addressed. Information for website please submit the correct file format and image size. This ensures that the project can be easily viewed on the website.
