Message from the Regional Director Dear Sorors of the North Atlantic Region: I have been extremely pleased by the increased participation of chapters in the awards process. The exemplary service of the chapters has been wonderfully detailed through your award books and chapter displays. Your service to your community has truly made you Notable and I commend all of the chapters for their dedication and implementation of the program initiatives. I would like to encourage all chapters to participate this year in the awards process. Each chapter should compete in at least one category. The work that you are doing in your communities deserves to be highlighted and/or displayed. Please remember to submit your $50.00 registration fee if your chapter will be submitting a book or exhibit for competition and/or $35.00 if your chapter will be submitting a chapter exhibit by January 31, 2014. The deadline for submitting your award book is March 20, 2014. Please provide your written comments or questions relating to the Handbook to any member of the NARC Awards Committee. GENERAL GUIDELINES FOR AWARDS ELIGIBILITY Submitting Chapter and Individual Entries 1. Entering chapters must have 0% membership in the Educational Advancement Foundation (EAF). 2. Chapters, under penalty or suspension, will not be eligible for awards. For individual awards, a soror must be financial with her chapter and not under penalty or suspension. 3. All of the chapter s end of the year reports must be submitted by the reporting deadline. 4. Undergraduates must have submitted the last semester grade report to be eligible for awards. Entry Eligibility Content 1. A project undertaken by two or more chapters must be submitted as a group entry and cannot be submitted as an individual chapter activity. The primary submitting chapter will receive the award trophy. The C. Edith Booker Collaboration is the only award where two trophies are given. 2. Entry must conform to the guidelines outlined for each award. 3. Entry should include only activities, accomplishments and programs undertaken in the program evaluation period, January 1, 2013 December 31, 2013. Ongoing programs can highlight activities from previous years, but should focus on the period of evaluation. Entry Eligibility Mechanics 1. A North Atlantic Region Award Entry Form (page 27) must be submitted with each award entry. Only one submission per award category is allowed per chapter. 2. Designate chapter size for all graduate submissions: SMALL: 1-70 members MEDIUM: 71-120 members LARGE: 121+ members or more All submissions MUST be: 1. Neat in appearance. 2. Typewritten in size 12 Times New Roman font; double-spaced. 3. Narratives cannot exceed 3 pages per section. 1

4. Supporting materials must be clearly labeled and dated. 5. Each entry must be submitted in a separate binder, 8.5 x 11 inch standard 3 ring binder, not more than 2 inches in depth except for Chapter of the Year which may be no more that 4 inches in depth. See specific guidelines and awards submission criteria. 6. Names of sorors featured in newspapers and magazines should be highlighted and the name of the publication, date and headline should be included as part of the document. 7. Submissions should be packaged properly to avoid shipping damage to binders. The NAR Awards Committee is not responsible for reassembling damaged binders. 8. Chapters must pay a $50.00 registration fee to be eligible to submit an entry for judging. The registration fee is due January 31, 2014 and is to be sent to: Soror Kimberly McLurkin-Harris P.O. Box 4534 Silver Spring, Maryland 20914 Post-Conference Disposition of Entries: All materials will be returned and can be picked up after judging. Each Chapter must designate two sorors to be responsible for picking up the materials. Award books that are not collected after judging will be available at the Regional Conference. The location of the materials and the time for pick up will be announced at the Regional Conference. Any materials remaining after the close of the conference will be discarded. The names of the sorors who will be assigned to collect the awards books must be given at the Awards Judging. Entries received after March 20, 2014 will be disqualified. 2

SPECIFIC GUIDELINES AND AWARDS SUBMISSION CRITERIA *PLEASE READ CAREFULLY* An Awards Entry Form must accompany each submission. Each entry must be submitted in a separate binder, 8.5 x 11 inch standard three (3) ring, not more than two (2) inches in depth except for the Chapter of the Year Award the Promise Award and the Overall Program Award. The limit for the Chapter of the Year Award and the Overall Program Award is four (4) inches in depth. The limit for the Promise award is three (3) inches in depth. Deadline for submission of entries is 5:00 p.m. on March 20, 2014. Each Chapter that submits at least one award book entry is asked to send at least 2 representatives to be judges. Fabric or other creative materials may only be used for the Program Initiative Award books. Do not include embellishments that stick out or protrude, i.e. ivy, pearls, clocks, purses, flowers, rose petals, or other contraptions except for Program Initiative Award books. Please do not include written or typed notes/instructions to the committee on assembling and/or removing or taking care of the book. Books must have clearly marked and identifiable tabs for each section. Books must be able to fully close by themselves. Do not submit entries with less than pages of complete submission information and supporting documentation. Do not ship with books wrapped in towels, newspapers and excessive tape. Do not submit (2) award entry categories in one book. Please use both sides of the page sleeve (sheet protector), do not use one page sleeve per item. Please limit the use of pink and green paper, especially with pink and green writing (makes it difficult to read); and the use of brightly colored/neon pink or green paper as well with text. Do not tie the books up. If they have to be tied up, then they are too big. All information MUST be TYPED - DOUBLE SPACE and 12pt font. 3

Chapter of the Year and Overall Program submissions 2-3 page narrative PER section; for all other books - 3 page narrative for the ENTIRE book. Do not include sound elements in book submissions. ALL books must have the following information (clearly labeled) included on the binder spine: o Chapter Name o Chapter Size o Award Category When shipping your awards books, boxes (NO bags) must include the following information clearly labeled on the outside of the mailing boxes: o Basileus Name (present) o Chapter Name o Chapter Address o Chapter Size (as of December 2013) o # of Books per box Boxes should not weigh more than 50 lbs. Points will be deducted for noncompliance of the awards criteria. If you have questions, please feel free to contact your Awards Committee Cluster Representative listed on page ii. CHAPTER OF THE YEAR AWARD GUIDELINES Be as specific and complete as possible in describing your chapter. The focus is on overall chapter operations, not just program activities. The narrative should be no more than three (3) pages typed double-spaced. Use dividers to arrange sections according to the categories: Chapter Management, Implementation of National and Local Sorority Programs, and Chapter Growth. For undergraduate chapter submissions, a signed letter of recommendation from the Graduate Advisor and a signed copy of the most recent grade report showing the chapter s cumulative G.P.A. are required. Include photographs, newspaper clippings, programs and related materials as appropriate, ensuring that they are labeled, dated and securely attached. Names of Sorors featured in newspaper and magazine articles must be highlighted. The name, headline and date of the publication must be included as part of the documentation. The most recent End of Year Reports must be included in the binder. The same binder submitted for the Chapter of the Year Award cannot be used for the Exhibit/Display Award. A separate binder may be submitted as a part of the Exhibit/Display Award entry. Chapter Management 1. Chapter Operations: Identify chapter goals, the working relationship among Sorors, areas of responsibility and tasks assigned. Show evidence of a needs assessment, goal setting, planning and evaluation. Demonstrate efficient and effective chapter operations. 2. Soror to Soror Relations: Delineate all communication activities and projects which involve Sorors. 3. Punctuality in Chapter Reporting: Provide documentation for submission of all required reports by the deadlines specified. Implementation of National and Local Sorority Programs 4. Effective Use of Programs: Describe programs of service, strategies/activities for achieving program objectives and measures of success. Detail chapter activities to accomplish the overall goals of the International Program specifically the Global Leadership Through Timeless Service initiatives. 5. Joint Chapter and Collaborative Efforts with Other Groups: Describe joint chapter activities, involvement with other Greeks, and coordination of efforts with other community or civic groups that reflect service to all mankind. 6. Conference Participation: Provide the delegate strength and actual number of attendees for the Boule, Regional, Leadership and Cluster Conferences. 7. Visibility and External Recognition: Detail use of the media; identify college, civic and/or community awards and recognition. Chapter Growth: Graduate Chapters demonstrate commitment to membership: recruit, reclaim and retain by describing recruitment activities, reclamation strategies, retention programs and activities to promote transitioning from undergraduate chapters to graduate chapters. Include results of the activities in terms of success and chapter evaluation results. Undergraduate Chapters demonstrate commitment to membership by describing activities that encourage transition to graduate membership. * Undergraduate chapter submissions require a signed letter of recommendation from the Graduate Advisor and a signed copy of the most recent grade report showing the chapter s cumulative GPA. 7

BASILEUS OF THE YEAR AWARD GUIDELINES 1. Submit a summary statement/letter of recommendation from the chapter describing the reasons for nominating your Basileus for the Basileus of the Year Award. The narrative should be no more than three (3) pages typed, double-spaced and signed by the Grammateus of the chapter. The following types of information must be included: Unique and/or outstanding contribution to the chapter as Basileus Leadership qualities: Describe the Basileus ability to utilize skills to get the work of the chapter accomplished, to solve problems, to respond to requests for feedback in a timely manner, and to model sisterly relationships to promote chapter growth and development Leadership in promoting and accomplishing sorority-wide initiatives, including the Global Leadership Through Timeless Service platform goals Offices and other leadership roles held in the chapter Availability for sorority purposes: Attendance and cooperative participation in Sorority meetings including Boule, Leadership, Regional, Undergraduate Roundup (if applicable) and Cluster Conferences You should also include information detailing academic and professional background/recognition, outstanding contributions to the community (current and prior years: religious, political, cultural, civic, educational) or any other reasons for your nomination. 2. Under separate tabs in the two (2) inch three-ring binder, include supporting documentation such as, newspaper clippings, letters, or copies of awards. Be sure they are labeled, dated and securely attached. Names of sorors featured in newspaper and magazine articles must be highlighted. The name of the publication, headline and date must be included as a part of the documentation. 3. Indicate the name of the Soror submitting the entry. 4. For undergraduate chapter submissions, a signed letter of recommendation from the Graduate Advisor is required. 5. Chapters submitting for this award must also submit an entry for Chapter of the Year. 8

OFFICER OF THE YEAR AWARD GUIDELINES This award is given in recognition of a Chapter 0fficer who has initiated a new program or who has made a major contribution to the chapter that has improved and/or increased the efficiency of the chapter. 1. Submit a summary statement or letter of recommendation from the chapter describing your nominee. The narrative should be no more than three (3) typed pages double-spaced and signed by the Basileus of the chapter. 2. The following information must be included: A description of the unique and/or outstanding contribution (s) to the chapter. Major reasons for nominating the Soror for the award. Availability for sorority purposes: Attendance and cooperative participation in Sorority meetings including Boule, Leadership, Regional, Undergraduate Roundup (if applicable) and Cluster Conferences. 3. Include supporting documentation, such as newspaper clippings, letters, or copies of awards related to the contribution of the Soror. Be sure that they are labeled, dated and securely attached. Names of Sorors featured in newspaper and magazine articles must be highlighted. The name of the publication, headline and date must be included as a part of the documentation. The information must be submitted in a two (2) inch three-ring binder. 9

NEW SOROR OF THE YEAR AWARD GUIDELINES This award is given in recognition of a New Soror who has been a member of Alpha Kappa Alpha Sorority, Inc. for less than five (5) years and may or may not be an officer or committee chair, but who has made outstanding contributions to the chapter and the sorority. 1. Submit a summary statement or letter of recommendation from the chapter describing your nominee. The narrative should be no more than three (3) pages typed double-spaced and signed by the Basileus of the chapter. 2. SILVER SOROR OF THE YEAR AWARD GUIDELINES This award is given in recognition of a Silver Star Soror who is a significant contributor to the chapter and the sorority, and deserving of recognition. PROMISE AWARD GUIDELINES The Promise Award will be given to a chapter that has outstanding accomplishments in the following areas: P Programs of Service The chapter must have developed and implemented a program activity in one or more of the following categories: I. Emerging Young Leaders: Developed a program for girls in grades six through eight which provides leadership development, civic engagement, enhanced academic preparation and character building. II. Health Initiatives: Developed a program that encourages fitness and healthy life styles and particularly targeted at asthma prevention and management. Additionally, the program should include children and families enrolled in the Head start and Early Start Programs. The program should include information about early diagnosis, treatment awareness, and parental education and advocacy. III. Economic Security Initiative: Developed a program related to wealth building and allocation of resources, home ownership, estate planning, support and empowerment of female owned businesses and urban enterprise zones. IV. Social Justice and Human Rights Initiative: Developed a program that addresses gender equality issues including: human trafficking and domestic violence, services for children with incarcerated parents, youth aging out of foster care and children in homeless shelters. Additionally, voter empowerment; access to technology; training of parents as advocates for educational and health care needs of children and support of the arts could be emphasized. V. Global Poverty Initiative: Developed a program that addresses hunger, malnutrition, preservation of the environment, and empowerment of women across the globe. Through partnerships, the chapter has developed self-help projects and awareness campaigns that will provide education in sustainable food practices that will empower women to be equal partners in ending poverty and hunger. 13

R Retention of Members The chapter must have developed a model program for retaining members and has retained over ninety percent (90%) of their new members over a five year period. O Chapter Operations - The chapter must show evidence of conducting a needs assessment, goal setting and chapter evaluation. M Mentoring Program The chapter has established a mentoring program with an undergraduate chapter or a mentoring program within their chapter. I Innovations in Going Green The chapter has initiated a program that promotes saving the environment or saving energy. S Sisterly Relations- The chapter has sponsored a program or event that promotes Sisterly Relations E Educational Advancement The chapter must have 0% membership in the Educational Advancement Foundation. Specifically: Offer qualitative and quantitative data on the success of your program. Describe the level of participation by the chapter. Demonstrate unique and creative approaches that resulted in active involvement in the community. Document how the program brought enhanced services to the target community. How does your chapter honor the legacy and preserve the ideals and principles of our founders? This award is for one graduate and one undergraduate chapter that best exemplifies an innovative approach to holding high the Sorority s founding principles. Your submission may speak to your chapter s programs of service, history and archives activities, sisterly relations or an area that you may want to suggest. MARJORIE HOLLOMAN PARKER LEADERSHIP AWARD GUIDELINES Alpha Kappa Alpha women still come together in love. They continue to strive for more commitment to excellence, richer expressions of love and more rewarding service. The Marjorie Holloman Parker Leadership Award will be presented to one graduate and one undergraduate Soror who is making a major impact on Alpha Kappa Alpha and her community. The Soror will exemplify the strength, grace, and dignity, commitment to excellence, professional achievement, leadership and service that characterized the life of the th Supreme Basileus of Alpha Kappa Alpha. Soror Marjorie was an educator, historian and a political force in her community. Her lifelong commitment to the sisterhood includes five histories of Alpha Kappa Alpha Sorority. She was a charter member and the first Basileus of her undergraduate chapter. Soror Marjorie served four years with the Mississippi Health Project in Mound Bayou, Mississippi. She was a Basileus of her graduate chapter, a North Atlantic Regional Director and the th Supreme Basileus. This award will be given to the graduate and undergraduate Soror who, with passion and commitment, is a testament to the ideals and principles that guided Soror Marjorie s life of service and love of Alpha Kappa Alpha. GRADUATE ADVISOR OF THE YEAR AWARD GUIDELINES This award submission is made by the undergraduate chapter and supported by the sponsoring graduate chapter. A letter of recommendation from the undergraduate chapter in support of the nomination, signed by the undergraduate chapter Basileus must accompany this submission. Also, a signed summary statement from the Basileus, of the sponsoring graduate chapter, must accompany this submission. MISS AKA AWARD GUIDELINES The Graduate Advisor of the undergraduate chapter must submit a signed letter of support for the nominee. A current sealed transcript must be attached. The nominee s scholastic cumulative average must be at least 3.0 on a scale of 4.0. Submit a summary statement or letter of recommendation from the chapter indicating why this Soror should be Miss AKA. Indicate the name and chapter office of the person completing the statement. Soror Anne Mitchem Davis Family Health Award This award is presented to a graduate or undergraduate chapter that is actively promoting good healthcare for young people and/or adults in the target community. Programs may take the form of health related workshops, institutes, clinics, community forums, counseling, health fairs and general health education. Chapters should provide documentation on the impact of the programs, including successful outcomes. Soror Mildred W. Stuart ECHO (Each One Help Others) Award This award is presented to a junior undergraduate Soror who is making footprints on the hearts of others. She is sisterly, spiritual, a scholar, and always exemplifies impeccable moral behavior. She is willing to share her special skills and knowledge with her chapter as well as with others on the campus, either through tutoring, advising or by being actively involved in other organizations. She must possess a minimum of a 2.8 GPA. Soror Nellie W. Gaylord Young Educator Award This award is presented to an undergraduate Soror who is committed to enhancing the life of children through academics and education. She may be pursuing a degree in education or another discipline. She may be involved in community based after school programs. She will be evaluated on documentation that details the Soror s hands-on involvement with the growth and development of children. The submission should include a description of the progress of the children under her tutelage/supervision and her creative approaches to reaching and assisting children. Soror Ruth C. Easley Chapter Reactivation Award This award is presented to small, medium and large graduate chapters that reactivate the most inactive Sorors in the evaluation period, January 1, 2011 - December 31, 2011. The winning chapters must have reactivated at least 5 Sorors for small chapters, Sorors for medium chapters and Sorors for large chapters. The documentation of the reactivation with the number of sorors is used to determine the award. 22

Soror Idell S. Pugh Angel Award This award is presented to a graduate or undergraduate soror who has provided support and quietly come to the aid of another Soror in an extraordinary circumstance and time of need. A supportive narrative statement should be written by the Soror who was assisted stating how she was helped. If the assisted Soror is unable to write the statement, another Soror may write it and sign on her behalf. The Basileus of the nominated Angel chapter must submit a statement of corroboration. Soror Erma W. Barron Making a Difference Award This award is presented to the chapter with an outstanding Connection activity or activities. Chapters will be evaluated on their political and social activism to create changes in policies and processes related to our program. Activities should include participating in activities mandated by the International Connection Committee at the state and local levels. Submissions will be evaluated on creativity, goals, objectives, expected outcomes, degree to which goals were met, impact on community, level of soror participation, community participation, collaboration and leadership. Soror Wilma Holmes Tootle Educational Enhancement Award This award is presented to a graduate Soror who has demonstrated outstanding examples of educational advancement in the field of education or in an associated field. This may entail personal advancement or the advancement of students under her supervision. Activities are to be clearly documented to demonstrate proof of the accomplishment. Soror C. Edith Booker Collaboration Award This award recognizes an undergraduate chapter and its sponsoring graduate chapter for demonstrating ongoing commitment to strengthening their relationship. These chapters must have met three of the following requirements: 1. Collaboration: Co-sponsored one or more program activities. 2. Mentoring: Graduate mentors have been assigned to all the new undergraduate members and the corresponding undergraduate chapter officers, and mentoring activities have been documented. 3. Joint Meetings: Adhered to or exceeded the requirements that two joint meetings be held each year. 4. Membership Intake Process: Graduate members have provided resources and/or served as presenters for the undergraduate chapter during the M.I.P. 5. Attendance at cluster, regional and national meetings: Documentation showing that members from each chapter have attended all of these meetings with 25% or more of each chapter s membership being present at one of these meetings. 23

Soror Joy Elaine Daley Tutorial Service Award This award is presented to a graduate and an undergraduate chapter that has implemented a tutorial program for at least five months. The program should provide services to enhance the educational achievement of a group of five or more students from Grades 3 through 12 (select one grade level only). The program should demonstrate a unique, creative and innovative collaborative service with other organizations, such as churches, educational institutions, fraternities, sororities, professional and/or other service organizations. Supporting documentation of the partnership and demonstration of effective teamwork such as pictures, sign-in logs, thank you notes and articles, etc. must be included in the submission. Tutorial sessions must not be a part of any Soror or Sorors regular work schedule. Evelyn Sample Oates H.O.P.E. (Help Other People Excel) Award This award will be given to one graduate and one undergraduate chapter that demonstrates a comprehensive program of service in one or more of the H.O.P.E. foci; education, service, teenage mentoring and community enrichment. The H.O.P.E. Award stands for Help Other People Excel. The focus is on education, service, and teenage mentoring and community enrichment. Submissions should include a narrative of not more than three (3) pages typed and double spaced. Be as specific as possible, describing the qualities and activities that make the chapter deserving of this award. Include photographs, newspaper clippings, programs and related materials as appropriate, ensuring that they are labeled, dated and securely attached. EXHIBIT/DISPLAY AWARD GUIDELINES The focus for this award is to highlight chapter programs conducted in the period being evaluated, January 1, 2013 - December 31, 2013. Programs implemented in the period of evaluation must be clearly reflected in the materials used in your exhibit/display (do not use old photos, clippings, fliers, etc.). A $35.00 fee is required to reserve space. Instructions are in the Appendix on page A-31. 1. If a program is an ongoing or annual activity, materials from earlier years may be included, if clearly labeled as such. 2. The exhibits are set up at the Regional Conference, in rooms designated by the hostess chapters. 3. Exhibits must be completely set up by the deadline date to be considered for an award. Exhibits not completely set up by the deadline may be left on display, but will not be evaluated. 4. Creativity and originality are important, as are technical qualities such as neatness, design and craftsmanship. The exhibit can be table top or free standing. Content of the exhibit is at the discretion of the chapter. 5. The binder submitted for the Chapter of the Year Award cannot be used for this award category. A separate binder may be included as part of the exhibit/display. 6. The exhibit must include the name of the chapter and the current Basileus. 7.
