On this dialog you must select one of the following to record whether the patient has: given consent to share their information with other SystmOne services that are currently caring for the patient given dissent to share their information with other SystmOne services that are currently caring for the patient not yet given any form of consent or dissent. In this situation you must select whether the record is to be shared or not shared Note: If you choose to share the record without obtaining explicit consent you w ill need to select one of the following: Policy (for example, local business process), or Mental capacity You must then provide a supporting reason for not asking consent. Organisation Preferences There are a number of organisation preferences available for the Enhanced Sharing model. To view these, select Setup>Users & Policy>Organisation Preferences from the Main Menu and select 'Clinical Policy>Sharing' (see Figure 2). See the table below for a description of each of the preferences: Organisation Preference Automatically apply sharing preferences to previous periods of care here Prompt to record the receiving organisation's share in preference when sending an electronic referral Always prompt to record missing consent when starting a consultation Automatically record sharing out preference Description Share in and share out preferences set for a patient will also be applied to any previous episodes of care the patient has had at the unit. Record the patient's share in preference for the service receiving an electronic referral. This may be useful in cases where a service receives referrals without the patient present. Prompt to record a patient's sharing preferences when a clinician begins a consultation. This is useful as a clinician usually has a patient present when performing a consultation. Set a share out preference to be automatically applied to a patient on registration (or on retrieval if the patient does not have any share in or share out preferences set). Note: You will not be prompted to record a patient's share out preference on registration or retrieval if you have this preference selected. This preference was created to benefit those services that generally do not ever see the patient to obtain their share preferences, for example Referral Triage services or Child Health services. Organisation Preference Automatically record sharing in preference Users who will not be prompted to record consent on retrieve Description Set a share in preference to be automatically applied to a patient on registration (or on retrieval if the patient does not have any share in or share out preferences set). Note: You will not be prompted to record a patient's share in preference on registration or retrieval if you have this preference selected. This preference was created to benefit those services that generally do not ever see the patient to obtain their share preferences, for example Referral Triage services or Child Health services. Specify staff members who should not be prompted to record a patient's sharing preferences. Note: This preference was created for the benefit of administrative staff who have to regularly register and retrieve patients but do not generally see the patients to obtain their sharing preferences. Electronic Referrals In Enhanced Sharing it is possible to send referrals electronically. To do this: 1. Retrieve a patient. 2. Right-click on the Referrals node of the Clinical tree and select New Electronic Referral. 3. Select the receiving care service from the user directory and click Ok. 4. Complete the relevant fields on the New Electronic Referral dialog and click Ok. The Record Sharing dialog will be displayed (see Figure 3) if you have the organisation preference set to display this dialog (see the Organisation Preferences section). This dialog allows you to record the share in settings for the care service receiving the referral if the patient does not currently have any sharing consents set up. Figure 3: Record Sharing dialog There are three consent options available on this dialog, as well as a button for Do Not Set. Selecting each consent status will result in a different outcome: Consent given the referral will be sent. Consent refused a warning dialog will be displayed when you click Ok. This will show you what patient data the service receiving the referral will be able to see. You will also be asked to confirm whether you want to continue to send the referral. Consent not asked selecting this option then selecting to share in data will require you to record a reason for choosing to share data without explicit patient consent. The patient's share in consent will be set to 'Implied Consent'. Do Not Set Send the referral without setting a share in preference for the patient. The receiving service will need to set the share in preference manually when the referral is accepted. When you click Ok on the Record Sharing dialog (see Figure 3) an 'Electronic Referral Received' task will be sent to the receiving service. This task will display your name and organisation name and the patient's name, NHS number and date of birth (see Figure 4). Clinical Reporting It is possible to report on Enhanced Sharing patients and their preferences using customised reports. To do this: 1. Select Reporting>Clinical Reporting from the Main Menu. 2. Click New to create a new report. 3. Select 'Registration>Record Sharing' from the tree (see Figure 5). 4. Specify your reporting options and click Ok. 5. Run your report and view the results.
