Contract Data - Reenlistment Introduction This guide provides the procedures for completing a reenlistment contract. Procedures See below. 1 Select Contract Data from the Career Management pagelet. 2 Enter the member s Empl ID, check Include History and click Search. 1
3 The Search Results will display. The Reenlistment contract must be the next sequential number. Since this member currently has three contracts, the Reenlistment will be contract 004. Click on Add a New Value. 4 Enter the appropriate Contract Number and click Add. 2
5 The Contract Type/Clause tab will display. The contract number you entered on the previous screen will display. Complete the following: Ensure the Contract Begin Date equals the date of reenlistment. Change the Regulatory Region from the default USA to either AD or RES. The Contract Content must be populated with a statement. It is recommended that you enter the reason for the reenlistment in this field (as shown in the example). Important Note: If you are completing a contract on a Reservist, you must add the following comment: Member is enlisting in the Coast Guard Reserve Component. Subsequently, the statement should appear on the contract (8.b/Remarks). Now click the Contract Type/Clauses tab. 3
6 Ensure the Effective Date is correct (date of reenlistment). Enter REN in the Contract Type field. Now click the Reason/Oath Info tab. 4
7 Complete the following: Enter the Contract Term Years/Months/Days (in this case a 4 year reenlistment). Select the Reason from the drop-down. Enter the Member Signature Date (must be the same as the effective date). Add the name of the Oath Administrator and select their Military Grade from the drop-down. The City/State MUST BE THE PLACE OF INITIAL ENLISTMENT (UNLESS THERE IS A BREAK IN SERVICE). Click on the Contract Leave tab. 5
8 Make sure they are not exceeding their Career Max Cumulative Sold Leave. Enter the Total Leave to Sell (Days) as outlined in current policy. Now click on the Mbr Service Dates tab. 9 Click View All to see all of the Seniority dates. Some of these will update once this new contract is approved. Now click the Contract Approval tab. 6
10 The Dept of the Approving SPO will default to the HRS user s SPO, but can be changed if necessary. Click the Submit for Approval button. This will put the transaction in a Pending status and will route it to the SPO tree for the department listed. 11 To print a copy of the Enlistment/Reenlistment contract, navigate to the Career Management pagelet and select DD-4 Enlistment/Reenlistment. 7
12 Enter the Employee ID, Contract Number and Effective Date. Then click Create Report. Note: DO NOT APPROVE the contract without first having viewed a signed copy of the DD-4 13 The DD-4 will appear, pre-filled with information entered in Contract Data. This process should be completed prior to the HRSUP approving the REN. To print the paper contract, use File/Print, Ctrl/P or the printer icon. 8
Approving Contracts Introduction This guide provides the procedures for approving contracts in Direct Access. Before you begin DO NOT approve a contract until you have viewed a signed copy of the DD-4. Procedures See below. 1 From the Requests tab, select View My Requests (all types) from the Self Service Requests pagelet. 2 Select Requests I am Approver For. Leave the Transaction Status as Pending. The Submission Dates can also be used to filter requests. Click Populate Grid. 3 Click on the Approve/Deny link to view the contract. 9
Approving Contracts, Continued 4 Review the information for accuracy. Enter any Comments and click either Approve or Deny. Selecting Deny returns the contract to all HRS users for corrections. If everything is accurate, select Approve. 10
Approving Contracts, Continued 5 Once approved, this will display. 6 After approval, navigate to Mbr Service Dates and ensure the dates (Expected AD Term Date, Expected Loss Date) have updated correctly. 11
