Exhibitor, Vendor and Sponsor Contract 2017 SoCal PDA Chapter Industry Summit & Exhibitor Showcase Richard Nixon Library, Yorba Linda, CA 1. Exhibitors, vendors and sponsors are allowed 1 floor standee or standing signage. All signage must be freestanding and cannot block any exits. Standees or standing signage cannot be put on or in front of the exhibit table. Exhibitor must ensure standee or standing signage is secure as not to cause bodily harm or physical damage. 2. Exhibit tables with electricity are noted with an X on the floor plan. If a table has electricity exhibitors are allowed to bring a monitor and/or laptop computer (s) and must also bring the appropriate power cords and plugs for hook up to electricity. Power cords will not be provided. Exhibitor, vendor and sponsor must ensure monitor and laptop computer(s) are securely placed on table as not to cause bodily harm or physical damage. 3. Two exhibitor attendees are included in the registration unless additional registrations, guest registrations or sponsorships are purchased. 4. Exhibitors, vendors and sponsors will be provided a list of attendees and company affiliations after the scheduled event. Attendees' email addresses and contact phone numbers will not be provided per PDA guidelines. 5. Neither SoCal PDA Chapter nor PDA National including their respective Directors, Officers, Board Members and Chapter Members are liable for losses incurred by exhibitors, vendors or sponsors while at the 2017 Industry Summit. 6. Neither SoCal PDA nor PDA National including their respective Directors, Officers, Board Members and Chapter Members are liable for damages that are the result of exhibitors, vendors or sponsors while at the 2017 Industry Summit. 7. Damages to the host facility as a direct result of exhibitors, vendors and sponsors activities during the event are not the responsibility of SoCal PDA or PDA National including their respective Directors, Officers, Board Members and Chapter Members. 8. Multiple exhibitors, vendors and sponsors without prejudice are expected for each event up to a limit generally imposed by the host facility. 9. Exhibit tables will be located in as accessible a location as possible (given the host facility constraints) to give adequate exposure to attendees (past locations have included the registration area, reception/social area or the actual meeting area). 10. SoCal PDA or PDA National cannot assure or guarantee a minimum number of people at the 2017 Industry Summit. 11. In case of dangerous travel conditions, extremely low number of registrations or other unforeseen events, the SoCal PDA Chapter Board of Directors may cancel the event with as much advance notice as possible and refund the fee paid. No refund will be issued for rescheduled events. 12. In the event the exhibitor, vendor or sponsor is not able to attend, the day of the event, the payment will not be refunded. 13. Exhibitor, vendor and sponsor registrations are final and no refunds will be provided unless otherwise stated in this agreement.
