Using the PrognoCIS Schedule The primary screen front office personnel will use within the PrognoCIS EMR module is the Schedule tab. The user may alter the presentation of the data according to local preferences. Appointments may be viewed for a specific calendar day or week, for a specific physician or all physicians within the clinic, and for a specific location or all clinic locations. Additionally, appointment details are easily viewed simply by hovering the mouse over the desired patient. Appointments may be created, modified, printed, or deleted from this one screen. Additional schedules may be viewed by scrolling to previous or future dates. An added feature of the schedule is the colorcoding functionality, which allows each clinic to assign a color to each Encounter Type to provide an easy visualization of the day s schedule. Appointments Schedule From the Schedule, the user may: Schedule a new patient Arrive a patient View previous or past schedules View or print appointment information View copayment information Access the Call List Block segments of time on the calendar
Scheduling An Appointment 2. Double-click the desired time slot on the calendar. 3. The Date: and Time: values default to the slot that was selected; however, they may be changed if necessary to reflect a different date and/or time. 4. The Provider: and Location: will default to values assigned in applicable Master Files. 5. The Appointment Type: defaults to Patient. 6. The Encounter Type: defaults to Office Visit, which also dictates the Duration: based upon values assigned in applicable Master Files. 7. Identify the patient Name: 1. Click to search for an existing patient. 2. Click to create a new patient. 8. Review the Patient Alert if applicable by clicking. ( indicates no alert exists.) 9. If appropriate, Compose a Message, by clicking. ( indicates no messages.) 10. Specify the Reason: for the appointment. 1. Click to search for an existing complaint or symptom. 2. Free-type the complaint or symptom directly into the text field. 11. Select the Yes radio button if applicable to Overload (double-book) the selected time slot. 12. Select the AnyTime: check box if appropriate (i.e.: to work a patient in between any time slots). 13. Specify any appropriate Instructions: applicable to the patient or the appointment. 1. Click to search for an existing comment. 2. Free-type the instructions directly into the text field 14. Click the schedule button.
Arriving A Patient 2. Select the desired patient on the calendar. 3. In the Patient Info frame, click to assign the Patient Workflow status. 4. Click in the Status: pick list and select Arrived. 5. Click the ok button.
Adding/Verifying Patient Information 2. Select the patient on the calendar. 3. In the Patient Info frame, click the Patient Name hyperlink. 4. Verify or enter the appropriate information: a. Patient Details frame patient s demographics and chart information. b. Address tab patient s mailing address and contact numbers. c. Contacts tab patient s employer and emergency contact information. d. Other Info. tab additional information (i.e.: ethnicity, driver s license #, etc.). e. Physicians tab additional physicians (i.e.: referring, specialists, etc.). f. Billing Info tab guarantor information and outstanding balances due. g. Photograph - visual identification of the patient. h. Legal button attachments such as consent forms, Advanced Directives, etc.. i. Logon info button patient s access to the Patient Portal if applicable. j. Insurance button third party insurance information for the patient s encounter. 5. Click the ok button.
Collecting A Patient Payment 2. Select the patient on the calendar. 3. In the Patient Info frame, click. 4. Enter the Payment Amount in the appropriate field: 1. Cash only the amount is applicable. 2. Check clicking will display additional fields (Check Number, Bank). 3. Credit Card clicking will display additional fields (Card Holder, Card Number, etc.). 5. Enter any applicable Remarks. 6. Designate how the funds should be distributed (i.e.: CoPay, Deductible, Visit, Advance). 7. Click the save button.
