Job Title: Development & Communications Manager (DCM) The National Junior Tennis & Learning of Trenton (NJTLT) seeks an adaptable, articulate, and highly- motivated professional with 3 to 5 years of development experience to support the organization s fundraising and communications goals in the role of Development & Communications Manager The key objectives for this position are to: 1. Develop and execute a strategy to secure major gifts from new corporate, foundation, organization, and individual sources as well as retain existing donors. 2. Identify new private, government and other potential grant funding sources and manage the entire application lifecycle. 3. Design and execute a successful individual giving program. 4. Assess NJTLT s existing development program infrastructure, including a donor tracking database, donor communications, and reporting systems. Develop and execute a plan for enhancing the infrastructure. 5. Oversee the research, development and submission of new grant funding opportunities to create a pipeline of potential general operating, capital and program revenue sources. 6. Develop and manage a program to grow our donor base by cultivating new supporters and potential board members. 7. Evaluate NJTLT s existing Communications strategies, channels and make recommendations for more impactful marketing, branding and general awareness to all of the organization s constituencies. 8. Support the Executive Director in Development and Communications activities related to the organization s geographic expansion to Newark, NJ. Reports to: Executive Director Manages: Part- time Event Manager, Part- time Communications Coordinator and Contract Grant Writer Duties and Responsibilities include the following, other duties may be assigned.
DEVELOPMENT & FUNDRAISING (70%) Develop and implement a strategic fundraising strategy to secure new individual, corporate and foundation contributions. Identify, qualify, and prioritize potential funders for specific NJTLT program initiatives. Facilitate the development of relationships with funders through presentations, personal meetings, regular communications, or arranging for meetings with NJTLT s Executive Director. Track and meet grant submission and reporting deadlines (in conjunction with the Contract Grant Writer, Finance Manager and Program Department). Draft and oversee the development of funding proposals to help ensure proper submission. Leads all existing special event fundraising including, the annual Gala, Golf Outing, Tennis Tournament and 5k run. Work with the Board of Directors and Executive Director to identify, cultivate, and solicit major gift prospects and donors. Lead the production of special letters, gift acknowledgments, and other communications with major gift donors. Systems and Infrastructure Develop and manage the fundamental systems required to run a best practices fundraising program. Create an annual fundraising calendar of activities. Maintain donor and foundation records and ensure the accuracy and efficacy of the donor database. Create quarterly and annual fundraising reports as requested by the Executive Director. Manage donor acknowledgment, including thank you notes and phone calls. Composes and edits such correspondence and other documents for delivery internally and externally (e.g. donor acknowledgements, correspondence for leaders and volunteers within the primary strategic constituencies). Proofreads and copy- edits documents such as reports, letters, memos, analyses, etc. Prepares and revises agendas, charts, and other materials for meetings and presentations and proposals. Analyzes and synthesizes data to prepare reports, spreadsheets, graphs and charts for metrics, presentations and meetings. Ensures accurate mailing lists, email lists and specialized distribution lists as needed using ETAPESTRY and other communications outlets.
Utilizes the fundraising database to look up and maintain up to date and accurate information and to research information. Fulfills requests for queries/ reports from the database and proactively updates constituent records on an ongoing basis and as necessary to ensure accurate information. Utilizes best practices for using the system and teaches potential development /fundraising interns or others how to accomplish tasks in the fundraising database. COMMUNICATIONS (20%) Work collaboratively with the Executive Director, Board Marketing Committee, and CC to develop a marketing/branding strategy to further the programmatic and fundraising goals of the organization. Ensures the direct report, CC position executes monthly or semi- monthly updates to the NJTLT website, monthly e- newsletter and all social media channels. Strategize with and educate staff and volunteers on related marketing projects, messaging and create an organization wide (board, staff, volunteers) talking points document. Oversee the creation of collateral materials for promotion of fundraising events. Promote NJTLT events, programs and represent the organization at chambers of commerce, organizations and other events as needed. Work with the USTA National, Sectional and District marketing and communication departments, as well as chambers of commerce, to publicize NJTLT programs and events. Support other project initiatives as required. FINANCIAL (10%) Manages the organization s development and communications budgets, coordinates expenditures, and monitors and reconciles accounts. Work with Finance and Operations Managers to classification of revenues. Gift Processing: Manages gift allocation forms for donations received by the organization and forwards the gifts and completed forms to the appropriate staff member. GENERAL Participates in office- wide endeavors, such as department staff meetings, retreats, ad hoc working groups, and other similar activities.
SKILLS & EXPERIENCE: A minimum of three to five years of work experience in fundraising/development or alumni relations, advancement, or similar work required. Experience with fundraising, CRM, ETAPESTRY, Grant station software preferred. Demonstrated ability to make and close asks in the five figure or more range. Valid driver's license required. Experience planning and executing events with the support of staff and volunteers. Ability to manage confidential information with discretion and tact required. Demonstrated skill and knowledge of, or ability to learn quickly, the internal workings of NJTLT as well as the technology tools available, including the fundraising database. Microsoft Windows computer environment, Microsoft Outlook, Word, Excel, PowerPoint, and Access required, InDesign experience preferred. Strong leadership qualities, including the ability both to delegate and to execute, thereby leading by word and by example required. Willingness to jump in and help other departments as needed and embrace the organizations all hands on deck culture. An exceptional work ethic and track record of personal initiative required. Outstanding interpersonal and communications skills characterized by the ability to listen, to speak, and to write well required. Willingness and ability to work evenings and weekends required. Ability to manage multiple projects concurrently and execute them efficiently. Knowledge or interest of tennis is preferred but not required. Desire to grow, evolve and learn as the organization does.
Education : A bachelor s degree or higher is required.
