Exhibitor Information Reach 200 to 400 potential customers - engaged brides, grooms, families, wedding attendants, and other parties interested in industry services. Showcase your company, products and services. We will again be offering the Be Inspired tables. We encourage all Vendors to set up your booth space to draw the brides to your booth. If you as a vendor are interested in decorating a Be Inspired table, please contact Brenda Martin directly at 770-297-5446 / bmartin@gainesville.org. Connect with qualified attendees one-on-one. Receive the leads list (name, address and email) of all brides who register at the event within one week of the event s end. Introduce, demonstrate and provide samples of your products or services and highlight features and benefits to your best potential customers. Benefit from your Program listing which is provided to brides-to-be throughout the year. Note: We try to limit no more than five (5) exhibitors in the same field. Fees, Cancellation & Refunds Applications are accepted by Show Management on a first-come first-served basis, with the right to refuse unacceptable products. Once at capacity, a wait-list will be kept. Registration can be done online at www.gainesville.org/recreation. Booth Fees: Please refer to the attached registration application. Note the increased exhibitor booth fee if your registration should reach us after December 8, 2017. Full payment must be received to guarantee a booth space; NO verbal agreements will be honored. Exhibit spaces are assigned per requirements detailed by the exhibitor on the application. (NO booth sharing between different agencies is allowed.) Please refer to the enclosed show layout to select your top 4 preferences for booth space. Be Inspired Tables: Any vendor interested in doing a Be Inspired Table needs to contact Brenda Martin as soon as possible to discuss this option. We have a limited number of these tables and they will be spread throughout the building for display. Categories: We try to limit no more than five (5) exhibitors in the same field. Once a category (such as photography) has been filled, additional exhibitors will be put on a wait list. Please categorize your business in the classification section on the application using only one (1) of the following: Beauty Salon/Spa Honeymoon & Travel Reception/Rental Site Bridal Gowns Invitations, Gifts Supplies/Equipment Limousine Tuxedos Financial Services Miscellaneous Wedding Cakes Fitness Music Videographer Floral Photographer Application and entry fee should be submitted as soon as possible. Unaccepted applicants will be notified within 14 days of receipt of application. We may be unable to process applications received after December 8, depending on space availability. Entry fees will be returned to exhibitors not accepted for the show. Cancellation: All exhibitor fees are NONREFUNDABLE in the event that cancellation is not received before December 31, 2017. Failure to comply with these terms will forfeit the exhibitor s inclusion in future events. Refunds: Refunds will be given if requests are received before December 31, 2017 AND another exhibitor fills the refunded booth space. Requests must be made in writing to Gainesville Parks and Recreation Agency at the address on page 2 of this information packet. Show cancellation or rescheduling: Exhibitors will be notified as soon as possible if the event is cancelled or rescheduled. The exhibitor will be eligible for a full refund or the reservation and payment will be valid for the new date as determined by show management. Exhibitor agrees to stay for the entire event. If an exhibit booth is broken down or left empty before show end, that company becomes ineligible for participation in our show for a period of one year. Exhibitors are responsible for cleaning their table and area. Booth Re-assignments: Exhibitor understands that requests for table reassignments will not be honored the day of the show if space needs are not specified in exhibitor s original instructions. (IE: if you bring an extra table not indicated in the special instructions and the area assigned does not have space to accommodate that table, we cannot guarantee space reassignment the day of the show.) 26 th Annual Bridal Expo Gainesville Civic Center North Georgia s Longest Running Bridal Show 770.531.2680 2

Show Rules and Information Show/Panel Hours: Sunday, January 14 12:30 pm to 4:00 pm Exhibitors are expected to staff their booths throughout the entire show. Move-in: Sunday, January 14 8:00 am to 11:30 am. All exhibitors are expected to be completely set up by 11:30 am on Sunday. If you fail to do so your booth can be sold to another exhibitor. Arrival for move-in after 11:30 am will not be allowed and you will not be eligible for a refund. Move-out: Sunday, January 14, from 4:00 pm to 6:30 pm. All items must be removed within this time period. A limited number of carts will be available to assist during move-in and move-out. Electricity: Standard electricity is available in booth spaces. Each 110V outlet is an additional $20.00. If you want electricity, please indicate this on your application. Please request all electrical needs at least one month ahead of time. Parking: To assure customer access, exhibitors must park in the lower parking area at City Park after unloading. Exhibitor vehicles left in the Civic Center parking lot after 11:30 am may be towed at the owner s expense. All vehicle tag numbers must be turned in upon arrival to help prevent this from happening. Featured s: Featured refers to caterers who have been invited to participate as a Featured. All other food/bakery/facility exhibitors will be considered as an exhibitor and must submit the exhibitor application with payment. Door Prizes: Exhibitors are asked to donate one item/gift/service for a door prize. All door prizes will be drawn at the show registration table. Individual contests will not be allowed at an exhibitor s booth. Please check-in with your door prize then you may display the door prize at your booth. The winning bride will bring a winner confirmation paper to your booth to obtain the door prize directly from you. Lead List: Exhibitor will receive a show lead list that will be emailed within one week after the show to the email address provided on the application. The list will include each bride s name and complete mailing address and email, if provided. (If you do not have email, we will mail this at your request.) Display: Exhibitors must bring displays, stands, etc. Clothes and other items may NOT be hung on the exhibit curtains or on walls. Please feel free to exhibit samples, photos, pamphlets, business cards, literature or any other appropriate items needed to best showcase your business. Exhibitors should keep in mind that displays may not block side or any view of other exhibitors. Banners: These may be attached or displayed in front of your table or on S hooks hung from the pipe & drape. (Banners or signs may not be hung on the drapes, walls or ceiling.) Payments: All payments in the form of check, money order or cashier s check shall be made payable to Gainesville Parks & Recreation Agency. We also accept MasterCard and Visa. Payments will be processed immediately. ALL RETURNED CHECKS are subject to a minimum fee of $35.00.
