GLOBALMEET FOR OUTLOOK RELEASE 12.3 There are two versions of GlobalMeet for Outlook: a COM add-in version for Outlook 2010 and newer (called the GlobalMeet toolbar 11.7), and an Outlook add-in (the GlobalMeet Outlook addin 12.x). This release describes updates to the GlobalMeet Outlook add-in. SUMMARY OF CHANGES NEW FEATURES AND ENHANCEMENTS Support for the Outlook Web App (OWA) provides GlobalMeet features as a menu from the icon in the reading pane, and in new messages, message replies, and event windows. INSTALL THE GLOBALMEET OUTLOOK ADD-IN To install the GlobalMeet add-in, go to the online Manage Add-Ins page for Outlook. OUTLOOK WEB APP USERS 1. Open a browser and sign in to your Exchange mailbox as you normally do. 2. At the top of the page, click the gear to open Settings, and then click Manage add-ins. 3. Click Click here to add a custom add-in. Add from a URL. NOTE: If you previously installed the GlobalMeet Outlook add-in, you must uninstall the earlier version before continuing. Select GlobalMeet in the list, and then click Uninstall. 4. Enter the following URL, click OK, and then click Install. https://cdn01.conferencinghub.com/toolbar12/manifests/globalmeet-manifest.xml 5. ACCESS THE GLOBALMEET OUTLOOK ADD-IN SHOW THE READING PANE The GlobalMeet Outlook add-in requires the Reading Pane to work correctly. In OWA, click Settings Display settings, and then select Reading pane. SIGN IN TO YOUR ACCOUNT In OWA, click the icon and select GlobalMeet Tools Settings. ACCESS ADD-IN FEATURES OUTLOOK WEB APP GlobalMeet features are available as a menu from the GlobalMeet icon. In new messages, message replies, and event windows, there are options that let you schedule an event and send invitations. Create a calendar event and select Schedule Meeting to insert your meeting info into the invitation. In a new message or reply, click Urgent Meeting to send a quick invitation. START A MEETING Click Start My Meeting to open the Start Meeting task pane. Choose whether you want to start a web or audio only meeting, and then click Start. GlobalMeet opens the meeting window (web) or the Phone Controls and signs you in to the meeting as the host. GLOBALMEET FOR OUTLOOK RELEASE 12.3 7
SCHEDULE A MEETING MEET NOW (URGENT MEETING) To send a quick meeting invitation, create or reply to an email message, and then click Urgent Meeting. This inserts the invitation with details for your default audio conference and associated web meeting, and allows you to update it in the Edit Invite pane. NOTE: Urgent Meeting does not launch the meeting or phone controls. After sending the invitation, use Start My Meeting to host the meeting. GLOBALMEET FOR OUTLOOK RELEASE 12.3 8
MEET LATER (SCHEDULE ON CALENDAR) To schedule a meeting and send an invitation, select New Calendar Event. At the top of the new event screen, click Schedule Meeting. In the Edit Invite task pane, you can select which audio and/or web meeting room to use, which numbers to include in the invitation, and the invitation language. Use the Scheduling Assistant to check your guests calendars and pick a date and time for the meeting. GLOBALMEET FOR OUTLOOK RELEASE 12.3 9
MANAGE GLOBALMEET ACCOUNTS Use Accounts to add a new account (with a different client ID) to your toolbar or to sign in to any of your saved accounts. To access Accounts, click GlobalMeet Tools Accounts. GLOBALMEET FOR OUTLOOK RELEASE 12.3 10
MANAGE DEFAULT SETTINGS Use Settings to choose the primary access number to include in meeting invitations and to access Meeting Settings. If you have more than one web meeting or audio conference account, changing the selection will change the default meeting used for all future invitations you create with the add-in. To access Settings, click GlobalMeet Tools Settings. Changes are saved automatically. The default meeting you set here is automatically selected in the Start Meeting pane, and the web address and dial-in information are listed in new meeting invitations. Scroll down to select the invitation format and the language to use. Select the default audio conference and the web meeting to associate with it. Add a meeting via its URL. Meeting Settings opens in the same task pane. Languages include: English, Dutch, French, German, Japanese, Simplified Chinese, Traditional Chinese, and Swedish. GLOBALMEET FOR OUTLOOK RELEASE 12.3 11
ADD A WEB MEETING If your web meeting is not listed, you can add it as a custom meeting and associate it with an audio conference. Then, you can select this meeting when starting or scheduling; the meeting URL will be included in meeting invitations. GLOBALMEET FOR OUTLOOK RELEASE 12.3 12
ACCESS MEETING SETTINGS Use Meeting Settings to update your profile, connection preferences, audio conference settings, and web meeting settings. Is the Web Settings tab (globe) missing? If you have None selected for your default web meeting, Meeting Settings does not display the Web Settings tab. Click Back to Settings and choose a web meeting. GLOBALMEET FOR OUTLOOK RELEASE 12.3 13
KNOWN ISSUES MEETING SETTINGS: DELETE BUTTONS HIDDEN NEXT TO PHONE NUMBERS Meeting Settings Preferences. Depending on the width of your Outlook window and/or Reading Pane, the delete (X) buttons next to your saved phone numbers might be hidden. To fix, resize the GlobalMeet task pane and/or the Outlook window until the buttons are visible. Mac. Point to the divider on the left side of the GlobalMeet task pane, and then drag left until the buttons are visible. Windows. Drag the right side of the Outlook window, making it wider until the buttons are visible. You also might have to resize the Reading Pane. GLOBALMEET FOR OUTLOOK RELEASE 12.3 14
OUTLOOK 2016 FOR MAC 404 PAGE NOT FOUND ERROR If you recently updated your version of Outlook 2016 for Mac to Version 15.40, when you try to access the GlobalMeet add-in, the GlobalMeet pane displays a page not found error. Microsoft is working on a fix for this issue. Workaround: Until a fix is released, you should uninstall Version 15.40 and then install Outlook for Mac Version 15.39.0. To find your Outlook version, on the Mac menu, click Outlook About Outlook. To uninstall: 1. Close Outlook. 2. Open Finder and navigate to the Applications folder. 3. Find Microsoft Outlook, right-click and select Move to Trash. To install Version 15.39.0: Version 15.39.0 (17101000) is available from the Microsoft release notes page. 1. Open https://support.office.com/en-us/article/release-notes-for-office-2016-for-maced2da564-6d53-4542-9954-7e3209681a41 and scroll to October 2017 release. 2. TRUSTED SITES: OWA ISSUES IN INTERNET EXPLORER AND EDGE If you are using OWA in Internet Explorer or Edge and you experience any of these issues, you must update your internet Trusted Sites. NOTE: These issues do not occur when using the GlobalMeet add-in via OWA in macos Safari, Google Chrome, and Mozilla Firefox. Start My Meeting GlobalMeet. Launch in Web does not launch your meeting in the browser; instead, the Web Meeting Flash error page is displayed. Start My Meeting GlobalMeet. Launch in GlobalMeet for Desktop displays a blank page. GlobalMeet Tools File Library displays a blank page. It should open the GlobalMeet desktop app to access your file library. GlobalMeet Phone Controls. If you are hosting an audio-only meeting, the LAUNCH WEB MEETING button displays the Web Meeting Flash error page. To fix this issue: Add two URLs to the Trusted Sites list in Internet Explorer. Edge does not have a built-in Trusted Sites option; you can open IE from Edge set Trusted Sites. 1. Open Internet Explorer or Edge. Edge users: at the top right of the window, click the three-dot menu ( ) and then click Open with Internet Explorer. 2. At the top right corner of Internet Explorer, click the gear icon Internet Options. 3. Open the Security tab, click Trusted Sites, and then click Sites. GLOBALMEET FOR OUTLOOK RELEASE 12.3 16
4. In the Trusted sites window, enter each of these URLs, clicking Add after each: > https://outlook.office.com > https://outlook.office365.com 5.
