CONFERENCE ASSISTANT JOB DESCRIPTION OFFICE OF HOUSING & FOOD SERVICES SUMMER 2017 The Conference Assistant (CA) provides a high-level of customer service to meet the needs of our customers and program participants. The CA is also is a hall team member with a focus on service. Responsibilities include: Operations of Building: Work about 24 hours per week at residence hall front desk. Will be assigned a variety of shifts, including overnight and weekend shifts. This is how you earn wages. Perform all front desk staff duties, both preassigned and as needed. Staff and organize the guest check-in and check-out process at the front desk, or where the group coordinator has previously arranged. Follow all safety procedures to ensure only authorized people have access to the residence hall. Maintain secure control of the keys assigned to you and duty ring at all times. Notify supervisor of situations and complete incident reports thoroughly. Security and Emergencies: Respond to emergencies in a timely fashion (immediately - 30 minutes response time). Maintain building security at all times. Know conference guests daily schedule and decline access to non-conference guests. Decline entry of unescorted non-conference guests and unidentified persons. Observe behavior in lobby, elevator, and perimeter area. Participate in regularly scheduled on-call duty rotation that includes conducting rounds and responding to emergencies. Customer Care: Perform room condition reports prior to guest arrival and after departure. Inform Residence Hall Director (RHD) of any issues. Assist with linen distribution and collection processes. Verify that the room set up, beds, linens, internet, access cards, parking, room keys, etc. are as conference requested prior to group s arrival. Issues supplies for groups at time of check in (access/meal cards, lanyards, linens, keys, etc.). Perform check-in and check-out procedures at the front desk for conference guests. Ensure check out procedures have been properly processed. Complete check-in/check-out reports, submit to Residence Hall Director. Issue back-up keys for lock-outs. Be knowledgeable about the University of Cincinnati, the surrounding neighborhood, and Cincinnati. Maintain residence hall bulletin boards and stay current with community events.
Staff Responsibilities and Expectations: Attend staff meetings. Attend all training prior to the conferencing season and periodically throughout the summer. Follow guidelines for conduct and expectations as outlined in the employee agreement and the point system. Assemble moving carts, post labels on lofted beds and complete other tasks necessary for hall opening season. Decorate tour rooms, perform residence hall tours and complete other tasks related to Bearcat Bound Orientation. Be professionally dressed when working the front desk. Maintain a regular routine of communication with the hall team, using computer email and phone appropriately, and respond promptly to calls from staff and customers (2 hour limit). Submit requests for time away at least one week in advance to your Supervisor. Work collaboratively with conference supervisors and staff in maintaining an appropriate living environment for everyone in the residence hall. Facilitate problem resolution using staff, university, and conference program resources effectively. Work on various Office of Housing & Food Services tasks as needed. Provide operational support where needed. Other duties as assigned. Supervisor: Residence Hall Director under the leadership of the Assistant Director of Housing Compensation: Housing: Room during the term of the summer contract. CAs may be expected to regularly perform tasks in buildings where they do not reside. Wages: $8.15 per hour for the hours worked at the residence hall front desk (minimum of 24 hours per week) Food: Meal Plan providing up to 19 meals a week. Classes: CAs can take no more than 6 credit hours during summer semester. Class schedule must be approved in writing by the Assistant Director of Housing before employment begins. CAs are not permitted to serve hold co-op positions during their time of employment. Other jobs: no other jobs permitted unless approved in advance in writing by the Assistant Director of Housing
