Dear 2017-2018 Sub Deb Member! Welcome to an exciting year as a Jackson Symphony League Sub Deb. Joining the Sub Deb program is a great way to help out your community, better yourself, make life--long friends and OF COURSE have fun! We hope that this guide will answer lots of questions and will serve as a launching pad for a great year. The Sub Deb program is a vital part of the Jackson Symphony League s mission to reach out to young people with the hope of instilling a love of music, community and volunteerism. As a Sub Deb, you are part of a long line of dedicated supporters of the arts. Thank you for taking this journey with us. As always, your Sub Deb leadership will be available to answer questions, solve problems and make things fun. 2
REQUIREMENTS OF MEMBERSHIP 1. Complete an online new membership application or membership renewal. 2. Remit the required dues of $170.00 (if paid prior to 12/1/17) or $200.00 (12/1/17 or later) 3. Complete the number of shifts required based upon school grade. 4. Participate in the annual Sub Deb Raffle by selling a minimum of 5 raffle tickets. COMPLETING THE APPLICATION (NEW MEMBERS) The Sub Deb application is available on the JSL website located at www.jacksonsymphonyleague.com. It is a good idea to become familiar with this site early on because it is the launching pad for the database and all of the information you will need this year. The membership application is located under the MEMBERSHIP link on the menu of the JSL webpage. Select SUB DEBS from the dropdown menu: 3
Complete the Membership form, which will also create a user profile for you in the Sub Deb database Wild Apricot. RENEWING A MEMBERSHIP (RETURNING SUB DEBS) RETURNING SUB DEBS DO NOT NEED TO COMPLETE A NEW MEMBERSHIP APPLICATION. Returning Sub Debs will log in to Wild Apricot using their prior email address and password. If you do not remember what email address you used for the prior year, send an email request to subdebs@jacksonsymphonyleague.com where we will happily look it up. Wild Apricot is the database that the Jackson Symphony League uses to manage its various programs and information. JSL is a group of volunteers, so we endeavor to use technology where we can in order to maximize efficiency and keep information out in a consistent, easy to access way. 6

WHAT IS REQUIRED OF ME This year will see some slight changes to Sub Deb obligations based upon school grade. Don t feel badly if you are a 10 th grader, because next year you, too, will get the benefit of reduced obligations! Also note, Sub Debs going beyond the minimum requirement will receive a service hour Each 10 th grade Sub Deb member is required to complete four (4) element shifts. You must sign--in at all MSO Sub Deb events in order to receive your shift credit. Types of Shifts: A. Concert Shift (Choose 2) B. Food/Beverage Shift (Choose 1) C. Event Support or Special Shift (Choose 1) *** Because Event Support and Special Shift are limited, you may replace that shift with 1 from any other type. (I.E. You can add a 3 rd concert shift or a 2 nd Food Shift.) Each 11 th or 12 th grade Sub Deb member is required to complete two (2) element shifts. You must sign--in at all MSO Sub Deb events in order to receive your shift credit. A. Concert Shift (Choose 1) 8
The shifts are set-up in Wild Apricot. There are a limited number of sign-ups for each shift. These limits were created by working with staff for the Mississippi Symphony Orchestra. The limits reflect a balance of the event needs and the size of each venue. The Sub Deb must commit to completing all shifts/obligations in order to receive a 2018 Ball invite. There are plenty of shifts (and more may be added) so with good planning each member should be able to meet the requirements. In the event you have an emergency and cannot complete your shift you will need to send an email to subdebs@jacksonsymphonyleague.com or call 601.209.1661. You cannot remove a shift sign-up through Wild Apricot. This feature helps prevent a situation where several Sub Debs go in and cancel at the last minute leaving the Sub Deb chair or leadership unaware. Remember, we are all here to support the Mississippi Symphony Orchestra. Your participation, at whatever level, helps ensure that patrons have a great symphony experience. THE SUB DEB RAFFLE The annual Sub Deb Raffle is a crucial element of JSL s support to the Mississippi Symphony Orchestra. We have been so blessed to have the support of Lee Michaels Fine Jewelry each year. This year s raffle will feature the Mikimoto Everyday Essentials 9
collection. This is a gorgeous 18 strand of Mikimoto pearls featuring white gold accents along with a matching pair of stud earrings. The Sub Deb Raffle is 100% online. The raffle drawing will take place at 5:00 p.m. on January 20, 2018. You do not need to be present to win. *We ask that you start selling the raffle tickets sooner than later please. Palm Beach Tan is donating a 3 month spray tan membership to the Sub Deb that sells the most raffle tickets! Winner to be announced at the Sub Deb Ball. 10
ENHANCE YOUR YEAR The following elements are optional activities--but they are so, so fun! Attend a Sub Deb Experience (formerly E&T s). Experience dates are available in Wild Apricot for sign- -up. Some E&T sessions may have limited seating. Parents can attend as well but they are not counted in the number available seats on the wild apricot sign up section. Attend the Mother Daughter Christmas Tea on December 10, 2017. (Invitation will be emailed). This event will feature a trunk show of Sub Deb Ball fashions. Free to attend. Attend the 2018 Sub Deb Ball Saturday, January 20, 2018 at the Mississippi Craft Center Attend the 37th Annual Pepsi POPS Friday, May 12, 2018 Recruit New Members - Beginning October 1, 2017 ---- Recruit 2 new members to join Sub Debs and prior to the late fee deadline of December 1, 2017, and you will be entered into a drawing for a $50.00 VISA gift card that will be announced at the 2018 Ball. THE LEGACY SCHOLARSHIP A Legacy scholarship of $2,500.00 will be awarded to one senior Sub Deb who has been a member (in good standing) for all three years. The eligibility requirements for consideration are: 1) Active Sub Deb for 10th - 12th grade years 2) Completed all required obligations for each year 3) Submission of an essay responsive to the theme presented by the Legacy Committee. This scholarship was established to honor Mrs. Iris Brown and Mrs. Joy Nause who were the founders of the MSO Sub Deb organization. EXTRA INFORMATION Can I stay after my shift to enjoy the concert? Certainly! I need an immediate question answered? All volunteer and shift sign--up is through Wild Apricot. We have tried to be very detailed on this website. #SubDebSaturday: Every Saturday the Sub Deb Instagram account will feature a Sub Deb who has somehow distinguished herself the prior week. Selection is entirely at the discretion of Sub Deb leadership. Each selected Sub Deb will be placed in a drawing to win a $250 Visa gift card, with the drawing taking place at the Pepsi Pops concert. Dues CANNOT be paid at the Sub Deb Ball. If any girls arrive at the Sub Deb Ball and their names are not on the paid dues list, we are required to turn them away per JSL; and in all fairness, also due to insurance and safety reasons. Any payments must include Sub Deb s name, school and grade on the memo line on the check. What is so special about January 1, 2018? Final day to accept applications for Sub Deb membership. Ball Invitations: Ball invitations will be mailed during the third week of December 2017 to all Sub Debs who have completed their four (4) required shifts and/or have registered for the required number of shifts. NOTE: Raffle ticket requirement must be completed by December 10, 2017, to be eligible to receive a 14
Ball Invitation It is your responsibility to ensure that we have your home address so that you receive your invitation. If you move after completing the initial application, please let us know by emailing us your old and new home address. Note: Your Ball invitation must be presented for entrance into the 2018 Ball. This will be your ticket to enter the 2018 Ball. This Ball invitation is non--transferable. 15
It s all about the label: When writing a check, delivering food, or signing in for your shift, please print your name, school and grade. Our time is wasted spent tracking down this information. FINAL THOUGHTS We know you joined this year to have a good time and help the Mississippi Symphony Orchestra, too! The MSO needs you and our community needs the MSO! We ask you to do the following for us: 1. Attend your shifts with a great attitude! 2. Let s not be preoccupied with your cell phone during your shift. 3. Arrive "on--time"; sign the sign--in form that a school representative will have in order that we can honor each of your shifts. Adult volunteers: We welcome all parents to join us on any Ball/Sub Deb Committee positions! Any hour of your time with us is appreciated!
