Exhibit Booth Terms and Conditions 1. Contract for Space This application for exhibit space properly signed and notice of space assignment by Carter Family Reunion (CFR) together constitutes a contract for the right to use exhibit space only. Application must be accompanied with payment in full, $50 (Carter Family Member), $100 (Other Exhibitors) for each exhibit space requested. No refund will be made on contracts cancelled after May 25, 2016. 2. Installation and Dismantling Installation may begin at 4 pm on Thursday, June 16 rd. All exhibit materials must be packed by 11:00 pm on Saturday, June 18 th. Noisy or unsightly work will be strictly prohibited. 3. Storage Exhibitors will be permitted to store empty packing boxes under the table during the exhibit period. This will be at the Exhibitor s own risk. 4. Liability and Insurance The Exhibitor assumes the entire responsibility for losses, damages and claims arising out of injury, theft or damages to the Exhibitor s display equipment and other property brought upon the premises of the Hotel and shall indemnify and hold harmless the CFR, Crown Plaza Hotel and their agents from and against actions, losses, cost and expenses (including attorney fees), arising from damages or bodily injury to Exhibitor. CFR will not be responsible for any failures of electricity or other services. Exhibitors wishing to insure their goods must do so at their own expense. City fire regulations must be observed. All decorations must be flame proof. 5. Use of Space (A) All demonstrations or other sales activity must be confined to the Exhibit booth. Only one table per booth space, please. No personal tables will be permitted. (B) No Exhibitor shall place a display in such a manner as to interfere with other exhibits. The standard booth equipment as furnished by CFR (in contract with the Hotel) will consist of one draped table and two chairs. (C) No firm, organization or individual not assigned booth space will be permitted to solicit business within the Exhibitor Area. (D) Exhibits including noisemaking equipment must be approved before exhibit opens. 6. Restrictions CFR reserves the right to restrict exhibits during scheduled family reunion programmed activities, or which because of noise, material, or reason, become objectionable; or which detract from the general character of the reunion as a whole. This includes persons, things, printed matter of character which management determines is objectionable or does not conform to standards of the CFR.
7. Shipping Materials to Hotel CFR will not be responsible for any items or materials shipped to the hotel by vendors or program participants, thereby releasing CFR of any fees and liability. 8. Miscellaneous 1. Booth location is pre-assigned by CFR. 2. CFR recommends that you and one other person cover your booth. If one person needs to leave the booth, someone should remain to watch the products/services you have displayed. Also, this keeps you from missing out on any potential sales. 3. CFR is not responsible if you do not meet your sales goals. Application and Contract for Exhibit We hereby agree to abide by the rules and regulations of the CFR as set forth in this Contract, all of which are a part thereof and request the following exhibit space/s for my/our own use. CFR must reserve the right to make booth assignments in order to avoid conflict of displays or products. In consideration of the use of exhibit space, I/We agree to pay $50 (Carter Family Member) or $100 (Other Exhibitors) as payment in full for rental per booth requested. Carter Scholarship Fund & Application A scholarship will be awarded to a descendant of Emmanuel and Elmira Carter each year during the family reunion subject to the availability of funds. Any male or female descendent of Emmanuel and Elmira Carter may apply for the scholarship by MAY 1 of each year. Applications may be obtained by contacting your family state s representative. Applications may be mailed to committee chair, Ms. Joyce Cathey, at 225 Colonel Drive, Garland, TX. 75043. The applicant must: Be able to trace his/her roots back to Emmanuel and Elmira Carter. Plan to pursue a degree at a college or university as a full time student Submit the scholarship application and all support documentation as prescribed by the scholarship committee by the scheduled deadline date Be accepted for admission and subsequently enroll at the college or university of their choice The application process will include: Completing an application giving basic biographical information, current academic status, and future career plans Write an essay which: Outlines the applicant s goals Explain how college will assist in meeting those goals Expresses the applicant s perceptions of what commitment to family and family values mean to him/her Expresses how the applicant purposes to honor the Carter family heritage Submitting three letters of Reference Academic Character Community Service Although not required, applicants are encouraged to be present or have immediate family member presence at the Family Reunion. The scholarship will be delivered to the student/college during the 1st semester of enrollment upon verification of enrollment by the college or university.
