Round Oak Medical Conditions and Medication Policy Round Oak School is committed to providing an inclusive environment for children regardless of any medical condition, or medication needs they may have. This policy sets out Round Oak School s commitment to this aim. Round Oak School recognises the importance of providing an educational setting where every pupil feels secure and accepted by their peers. In addition, to being confident that actual and potential needs have been recognised, so maximizing their physical, emotional, psychological and cognitive development. This policy has been produced in consultation with the senior management of the school and relevant health care professionals. Up to date legislation and guidance has been taken into consideration in the production of this policy. Round Oak School is an inclusive community that aims to support and welcome pupils with medical conditions. 2. The medical conditions policy is supported by a clear communication plan for staff and parents to ensure its full implementation. 3. 6. Round Oak School has clear guidance on managing medications on off site and residential visits 7. The medical conditions and medication policy is reviewed every 2 years. POLICY FRAMEWORK 1. Round Oak School is an inclusive community that aims to support and welcome pupils with medical conditions Round Oak School understands the responsibility to make the school welcoming and supportive to pupils with medical conditions who currently attend, and to those who may enrol in the future. We understand that pupils will sometimes have a medical condition which requires them to have medication in school. Round Oak School aims to provide all children with medical conditions the same opportunities as others at school. Round Oak School aims to include all pupils with medical conditions in all school activities. Round Oak School understands that certain medical conditions are serious and can be potentially lifethreatening, particularly if ill managed or misunderstood. Round Oak School acknowledge the importance of good communication links between themselves and parents*. In conjunction with parents, Round Oak School are aware of pupils in their care, and aid pupils in avoiding and taking special precautions with particular activities. Pupils with medical conditions where possible are encouraged to take control of their condition, and are supported to administer any prescribed medication if applicable. Round Oak School staff are aware of any potential triggers for the pupils in their care, and knows how to minimize any reactions. Round Oak School ensures all pupils with medical conditions are actively encouraged to take part in lunch time and out-of-school clubs and activities. Education and Learning Round Oak School ensures that pupils with medical conditions are included in all aspects of the curriculum, and ensures that appropriate adjustments and extra support are provided. School staff are aware of the impact medical conditions may have on learning. Round Oak School ensures that the whole school environment is inclusive and favorable to pupils with medical conditions. This includes the physical environment, as well as social, sporting and educational activities. 2. Round Oak staff are informed about the medical needs of pupils attending Round Oak School. Primarily this is conveyed to the school through the Annual Health Care Plans and other documentation that parents* complete. However, it is the parents* responsibility to ensure that staff at Round Oak School are regularly kept up to date with any accurate information or changes to their child s medical needs. Round Oak School staff are kept informed of the medical needs of pupils attending the school as follows:- - through copies handed out to each class located in the class medical information folder (yellow) - Via Staff Only, Essential Information, Medical information. - at medical conditions awareness sessions and medication training. - through the key principles of the policy being displayed in the medical room and staff room/ notice board. - new staff attending induction sessions, where they are informed of responsibilities and how to access information which is held by each class / department and on Staff Shared area. Relevant local health staff are informed about the school s medical conditions policy: - via NHS links and the School Special Needs Nurses 3. Staff understand what to do in an emergency for the most common medical conditions at this school, and understand the schools general emergency procedures All staff are aware of the most common medical conditions which may affect pupils at this school. In an emergency situation staff understand that they have a duty of care towards pupils, whether this is alerting emergency services, or if trained to implement the prescribed care required. Round Oak School uses Annual Health Care Plans (Appendix 1) to inform the appropriate staff of pupils in their care, who may need help and/or medication due to a medical condition. Round Oak School will ensure a copy of the pupil s health care plan is sent to hospital, or made available to emergency services (Ambulance / paramedics) where appropriate. Children who are clearly unwell with common illnesses such as diarrhoea, vomiting and heavy colds should not be in school. Where a pupil becomes unwell at school, and is not deemed well enough to remain in school, parents will be contacted by a member of staff and asked to collect the pupil. Pupils with diarrhoea and vomiting should remain off school for 48 hours after the last bout of illness. Any pupil returning to school before the 48 hour period will be sent home. Round Oak School follows the Guidance on infection control in schools and other childcare settings, as outlined by the Warwickshire Early Years Health Directory (2011). All staff know what action to take in the event of a medical emergency. This includes: - how to contact emergency services and what information to give (see Appendix 2) - who to contact within the school (i.e. nurses / first aider / member of Senior Management Team) If a pupil needs to be taken to hospital in an emergency, a familiar member of staff where possible will accompany the child in the ambulance, and will stay with them until a parent* arrives. If a pupil needs to be taken to hospital, then a mini-bus / school vehicle should be used, and an escort should stay with the pupil. circumstances. 4. All pupils who may require emergency medication to be administered in school must have a completed health care plan (Appendix 1) and protocol (Midazolam Appendix 7, Diazepam Appendix 8, Epipen Appendix 9), which must be signed by parents* and a medical professional familiar with their care (doctor or nurse specialist). If the school has not received a health care plan and protocol, the medication will be unable to be administered and the emergency services would be called in the event of an emergency. Class based staff whose employment contract or those that volunteer will receive training from the School Nurses or Children s Community Nurses to enable them to administer emergency medications to named pupils. This will be updated on an annual basis. Trained staff will follow the instructions provided on the emergency medication protocol. A copy of the protocol will be available with the medication, and also from the medical room (upstairs). 5. Round Oak School has clear guidance on the storage of medication at school Safe storage non-emergency medication All medication coming into school is transported by a parent* or transport escort / driver. On arriving to school the medication should then be given to a member of class staff. Medication should not be sent in school bags, except when pupils are deemed responsible enough to transport their own medication, provided it is given to a member of Round Oak staff on arrival at school. All medication will be stored in a lockable cupboard in the classroom. The keys to these cupboards will be held securely, out of reach of pupils. Medication MUST be stored in accordance with manufacturers or pharmacy instructions, paying particular note to temperature. At present no lockable fridge is available within school, therefore a lockable money box is used to store medication that needs to be refrigerated. The lockable money box is then stored in the class fridge until it is required. The internal temperature of the fridges within school are checked and recorded twice a day. This is to ensure that all medication is kept within the optimum range whilst it is kept in school. The Fridge Temperature record sheets are kept for 6 months, prior to been shredded. All medication should be supplied and stored wherever possible in its original containers. All medication MUST be labelled with the pupil s name, the name of the medication, expiry date and instructions for administration, including dose and frequency. The School Healthcare Nurse will check and record the expiry dates for all medication stored at school termly, and ensure that all expired stock is replenished, and all old stock safely disposed. It is however the parent s* responsibility to ensure that all medications held in school are within date. No responsibility will be taken by Round Oak School staff in the event of medication not been administrated due to stock been out of date. Due to the school often been used by other service users over the holiday period all medication will be sent home unless parent*/medical professional has request otherwise. All medication sent home will be signed over to parent* / escort as per procedure (see safe storage home to school transport). All medication brought into school by staff/volunteers or visitors must be safely stored in one of the classroom safes, which is located in the class store cupboard. * Throughout this policy the term parent implies to any person or body with parental responsibility such as foster parent, guardian, carer or local authority Policy tba by Jane.docx 5

Safe storage emergency medication Emergency medication should be readily available for pupils who require it at all times during the school day or at off-site activities. Therefore, keys to medication cupboards must be held centrally and not personally by any one member of staff. Members of staff responsible for those pupils with emergency medication are aware of where each pupil s emergency medication is stored, and understand it is their responsibility to ensure the medication is taken off site with the pupil when appropriate. In the case of no trained personnel being present to administer emergency medication the emergency services will be notified. Safe storage- home to school transport It is the Local Authority s responsibility to ensure all pupils are safe during the journey to and from school. Round Oak School can aid the transport staff by ensuring that any medication travelling to or from school is given to the driver or escort rather than left in a pupil s bag. Transport staff (drivers and escorts) are kept informed by Warwickshire County Council of any relevant medical information regarding the pupils they escort to school. Some pupils may be deemed responsible enough to carry their own medications to and from school. The medication however still needs to be handed over to a member of staff at school, to ensure that the medication is stored correctly whilst they are at school. Staff understand that medication should be signed in and out of school by a member of staff using the form in appendix 10. Safe disposal Out of date medication are to be sent home to parents*, and the Medication in and out of Round Oak School form (appendix 10) should be completed. Empty plastic medication bottles and cardboard boxes will be recycled once pupil s details have been removed from them. Glass bottles however can t be recycled at the present time, therefore all empty glass bottles are sent home for parent s* to dispose of. The School Healthcare Nurse is responsible for checking the expiry dates of medication, and arranging for the disposal of any that have expired at a local pharmacy. All needles and sharps must be disposed of by visiting professional (i.e. immunization team), due to no facilities in school (sharp boxes). 6. Round Oak School has a robust system for record keeping Enrolment forms Parents* at Round Oak School are asked to update their child s essential information twice a year by the administration staff. The information gathered however is used and held by the administration staff, therefore other avenues is required to obtain essential information concerning pupil s health (i.e. health care plans). * Throughout this policy the term parent implies to any person or body with parental responsibility such as foster parent, guardian, carer or local authority Policy tba by Jane.docx 6

Health Care Plans Round Oak School uses health care plans (appendix 1) to enable the parent* to record full information about individual children s medical needs at school, their triggers, signs, symptoms, medication and other treatments and important information. It is however the responsibility of the parent* to ensure that Round Oak School is kept up to date with any information concerning their child. Round Oak School will not be liable for any actions/problems that have arisen due to a parent* not providing essential information regarding a medical condition. A health care plan is sent to all parents* of pupils: - at enrolment. - at the start of each school year for pupils with ongoing medical/medication needs. - when a diagnosis is first communicated to the school - if a pupil has a short-term medical condition that requires medication during school hours Parents* are asked to complete and return the health care plan to school, detailing all relevant medical information, to ensure their child s needs are met within school. The School Healthcare Nurse is available if required to assist with completing health care plans for pupils with complex healthcare needs. In addition to following up any care plans that are unclear or incomplete. Round Oak School staff will liaise with additional agencies as required, and will inform parent s* unless this action will impact on the child s well being. Ongoing communication and review of health care plans Parents* are expected to update their child s health care plan, if their child has a medical emergency, any changes to their symptoms, or their medication and treatment has been changed. Staff use opportunities such as parents evening, Annual Reviews, Medical appointments and home school diaries to check that information held by the school on a pupil s condition is accurate and up to date. Every pupil with a health care plan, who has ongoing medical or medication needs, should be reviewed at least once a year by Special Needs School Nurse Team or School Doctor (currently Dr Vaz). Storage and access to health care plans All original health care plans are kept in the nurse room (second floor), and any relevant copies are held by individual class teams where applicable, in accordance with the Data Protection Act 1998 in a safe, secure and confidential manner. For example original copies are held in locked filing cabinet, and class copies are held in lockable store cupboard and/or medication cupboard with medication where applicable. Apart from the original /central copy, some class based staff securely hold copies of pupils care plans in medical information folders and with medication if applicable. These copies are updated at the same time as the central copy. All members of staff who work with groups of pupils should have access to the health care plans of pupils in their care, to enable them to best meet the pupil s needs. * Throughout this policy the term parent implies to any person or body with parental responsibility such as foster parent, guardian, carer or local authority Policy tba by Jane.docx 7

When a member of staff is new to a pupil group, existing staff members will ensure that they are made aware of (and have access to if relevant) the care plans of pupils in their care. Round Oak School will seek permission from parents* and pupil (if appropriate) before sharing any medical information with any other party, such as when a pupil takes part in a work experience placement. Other record keeping Medication coming into or leaving school should be recorded on the Medications in and out of Round Oak School form (appendix 10). The names of the member of staff and the person delivering/collecting the medication should be recorded on the sheet. The member of staff handling the medicine is responsible for ensuring the medication is signed in and out. The Medications in and out of Round Oak School is kept on the medication cupboard located in each class until the end of the academic year, after which it is filed in the old care plan folder for 6 months, after which time it is shredded. An accurate record of each occasion an individual pupil is given, or supervised taking medication is kept with their education notes until the pupil is 25 years of age. By robust record keeping, Round Oak School aims to keep an accurate audit trail of all medications used in school. 7. Round Oak School has clear guidance on managing medications administration off site and/or residential trips Risk assessments are carried out prior to any out-of-school visit, and medical conditions are considered during this process. All staff attending any off-site visits should ensure that they make themselves aware of any pupils with medical conditions on the visit. They should seek information about the type of condition, what to do in an emergency and any other additional support necessary, including any additional medication or equipment that may be required. If a trained member of staff who is usually responsible for administering medication is not available, alternative arrangements will be made including contacting the emergency services if appropriate. In any given situation if a member of staff feels they need urgent medical help an ambulance will be called. Off site day visits Staff who take pupils off site are responsible for arranging any medication needed, and they will adhere to Warwickshire Council Policy and recommendations for offsite activities. Medication should remain in its original packaging for ease of identification. A copy of the pupil s health care plan and the medication signing sheet will be given to staff going off site. The School Healthcare Nurse if informed will ensure that the member of staff responsible has had training in the administration of medication for that pupil. Where the staff member has not received formal training, the School Healthcare Nurse will ensure they familiarise themselves with the medication prior to leaving school. The designated member of staff must ensure that all medication is kept safe and secure at all times whilst off site. the care plan, medication and administration sheet are all returned to school, and locked away as per policy. Residential (overnight) trips Round Oak School understands that there may be additional medication, equipment or other factors to consider when planning residential visits. Parents* are given an off-site activities form (OSA2) to be completed and returned to school before their child leaves for an overnight or extended day visit. This form requests up-to-date information about the pupil s current condition and their overall health, including information about medication not normally taken during school hours. The completed off-site activities form (OSA2) will be given to the trip leader, who will check to ensure that the form is completed and all relevant information has been included. If any aspect of the form is unclear, the parents* will be contacted for clarification. The School Healthcare Nurse will complete the residential medication form (appendix 11) detailing all relevant details regarding the administration of the medication to be administered. The pupil s name, date of birth, name of medication, strength, dose require, route, frequency and times for administration all need to be documented on the medication administration sheet. Once the form has been completed, the form will be checked by a member of staff prior to the trip. Medication for use on a residential trip should be sent in on the morning of the trip, or beforehand if needed, and signed in as detailed in section 6. The member of staff leading the trip should ensure there is someone who has received training in the administration of medication available for the trip. Staff will arrange for medication to be stored securely on the visit. If any uncertainly about any part of the medication procedure arises, the medication will not be given and advice will be gained from the School Healthcare Nurse or parents*. 8. The medical conditions policy is regularly reviewed evaluated and updated.
