HRMAC s SUMMIT 2017: CALL FOR SPEAKERS POLICIES You are invited to contribute to the most successful and well-attended Chicagoland area human resources conference. Summit educational breakout sessions will feature peer-reviewed, expert programming demonstrating how HR professionals can be even more impactful. To determine this year s education programming, the SUMMIT 2017 Planning Committee is invites all professional services members/non-members to share their expertise by submitting a proposal through the Call for Speakers for the 20 th annual HRMAC Summit scheduled for Thursday, October 19, 2017 at the Donald E. Stephens Convention Center in Rosemont, IL. Proposals and speakers will be selected by the Summit planning committee for this highly desired speaking opportunity. We are inviting professional service companies to submit a proposal to be considered as a speaker with a client, based on a case study format. See below for speaker policies and instructions for all proposals. SUMMIT 2017 Audience Summit will attract approximately 700 human resource senior level professionals, practitioners and HR business partners. This one-day event is packed with strategic, tactical and effective solutions to the challenges facing organizations. This year s Summit will feature up to eight educational sessions at 60 minutes in length. Four concurrent sessions will be offered during two blocks of time. We are requiring 40-45 minutes of presentation with a client(s) and 10-15 minutes of audience Q&A. Competency Submitters are asked to select up to three (3) competencies based on the nature of the presentation, from the list below. Many of these are based on the HRMAC Competencies as identified by the Board of Directors. Your selection will help the committee assure a diverse program agenda. 1. Touch base with your liaison to help direct content. July 1, 2017- Submit outlines and PPT draft to your committee liaison July 17, 2017- SUMMIT Committee Regroup September 1, 2017 All PPT decks due from selected speakers* October 1, 2017 Requests for audio-visual equipment due from selected speakers* October 19, 2017 HRMAC SUMMIT 2017 *Speakers submitting entries whose proposal is selected for presentation agrees to provide the following items by the dates specified. Missed dates may result in the selection of another speaker or presentation. Due dates are subject to change. To be considered for a presentation, your submission must include the fully completed presentation proposal form located here. 2. To be considered, your submission must be received on or before March 10, 2017. 3. HRMAC members will be given priority consideration. 4. All professional service members must follow these conditions to be considered as a speaker: Present a 60-minute session with a client or clients (up to 3 presenters total), allowing for a 45 minute presentation, split by client and professional services organization, and a 10-15 minute audience Q&A. One representative from the professional services team only; Agree to pay a $3000 speaker and sponsor fee for the session. Limit one session per organization; Must be an exhibitor of SUMMIT 2017; Content must be based on up to three competencies noted above. This session is not meant for a commercial or promotional platform, content must be strictly educational; Agree to work with 1-2 planning committee members in preparation for event including but not limited to 1-2 phone calls for review, direction and approval of content by committee. 5. Panels, interactive group discussions, case studies, etc. are all acceptable session formats. A maximum of four speakers is allowed for any one session. This includes a moderator. 6. All submissions will be reviewed by the HRMAC SUMMIT 2017 Committee and will be evaluated on the basis of: 1) the application and relevance to HRMAC members, 2) the practical application of materials, and 3) the interactive nature of the program. An organization may submit multiple session proposals; however, a maximum of one (1) session will be selected from any given organization. Presentations or case studies constituting a sales pitch for products or services will not be considered.
By submitting a proposal, presenters agree to permit HRMAC to audio and/or videotape their presentation for distribution among HRMAC members. No reimbursement or honorarium fees will be given to education session speakers chosen for SUMMIT 2017. All speakers of the session will receive one (1) complimentary full conference badge to SUMMIT 2017. He/she will not need to register for the conference through the Summit website. Speakers will be asked to use the official HRMAC SUMMIT 2017 PowerPoint template for their sessions. Attendees will be asked to submit evaluations for sessions. Session evaluations will be provided to speakers within 6-8 weeks of Summit. Audio-Visual and Logistical Requirements 1. Each session room will be set with a podium, LCD projector, screen, podium microphone and wireless lavs for speakers. Speakers are required to bring their own laptop computers and cords. 2. A wireless/wired Internet connection will NOT be provided. 3. Speakers will be offered flip charts/markers upon request. Any additional audiovisual requests may be at the cost to speakers. 4. Printed handouts of your presentation or other materials will not be provided. If you so choose, you may bring approximately 150 handouts to provide to attendees. Acknowledgement and Acceptance of Terms and Conditions As the primary presenter/sponsor for this proposed session at SUMMIT 2017, I attest that I have thoroughly read the submission guidelines, and I understand and agree that I will be responsible for communicating in a timely manner with HRMAC staff and any clients/co-presenter(s) regarding information about my session. If my submission is selected, I understand and give my permission that: The SUMMIT 2017 Committee has final determination of educational breakout sessions. Each educational breakout session will last 60 minutes. Sponsoring companies must split the presentation time evenly with their client(s) co-presenting. I am responsible for adhering to the Call for Speakers deadlines and the guidelines for submission outlined above. If I fail to do so, the SUMMIT 2017 Committee reserves the right to remove my session from the conference program. I am responsible for submitting all required presentation materials to HRMAC by the provided deadlines for review by the committee, and for marketing purposes. I understand that my session is not a showcase for promotion of any business, practice, or product. The direct promotion of products and services is prohibited. I understand that as a professional services member, I agree to adhere to the policy of presenting in conjunction with a client or clients, and agree to pay the $2500 speaker/sponsor fee, limit one session. I understand that as a professional services member, I agree to use the pre-scripted introduction and closing comments for the session, furnished by HRMAC. I understand that as a professional services member presenting with a client, I agree to identify my client co-presenter and submit their information with my speaker proposal on March 1. If that is not possible, all client contact information must be submitted no later than Friday, March 31 and must be emailed to gjohnson@hrmac.org using SUMMIT 2017 Client Presenter Information in the subject line.
I am responsible for obtaining permission to reproduce my handouts if copyrighted by an organization other than HRMAC. HRMAC will not produce any handouts. I am responsible for preparing handout material for my session attendees if necessary. HRMAC recommends 150 copies. The Summit 2017 schedule and policies above are subject to change. I must refrain from overt statements, harsh language, or pointed humor that disparages the rightful dignity and social equity of any individual or group. Education session speakers will not receive honorariums and will not be reimbursed for expenses. Speakers will receive a complimentary full conference registration. HRMAC will automatically register the speakers for the full conference badge. By submitting a proposal to the HRMAC SUMMIT 2017 Call for Speakers, I officially agree with the terms and conditions outlined. In the event of a cancellation, I will notify HRMAC in a timely manner.
