NURSINGCAS CONFIGURATION MANAGER HELP GUIDE The Configuration Manager Help Guide is designed to help you navigate through the NursingCAS Configuration Portal, which is the tool you will use to set up your programs on the NursingCAS application and configure your program requirements, settings and branding. The guide is broken out into two separate sections, the first section provides you with user tips, best practices and examples of completed program configuration on the NursingCAS application. The second section of the guide provides you with detailed instructions on the step by step process of how to add a program and set up the configurations. PART I APPLICANT EXPERIENCE OVERVIEW Before setting up your program-level configurations, it s important to review the core NursingCAS application to determine what questions are being asked in the general portion of the application, as well as what optional questions are included. You may wish to instruct applicants to complete the optional questions to meet your program needs. The application is divided in to four sections: Personal Information, Academic History, Supporting Information and Program Materials. The Personal Information, Academic History, and Supporting Information sections contain data elements and questions common among participating programs. Your program is able to collect additional information from applicants as well as provide applicants detailed information about your program and school. Your individual program requirements and your program homepage will be available in the Program Materials section of the application. Information your program collects in the Program Materials section of the application will be available in the Applicant s Profile in WebAdMIT and can be included in Lists, Reports and Exports. It is also important to note that the information your program collects in the Program Materials section of the application is only available to your program. BEST PRACTICES Before you begin your program setup it s important to think about how you can fully take advantage of the customizable options on the application. Please review the below recommendations. And consider your Transcript and Coursework Verification options carefully in order to make an informed selection. Program Homepage (required) Your program homepage is the most important part of the Program Materials section that the applicant will view. It is the first page they will see when they click on your school and program name in the Program Materials section and it will be their first look at your program branding. Applicants will also be able to view the other required information of the Program Materials section that you have enabled, including: Questions, Documents, Evaluations, and Prerequisites. Branding (required) Your branding image will not only appear on your homepage, but on any other sections you have enabled. This image should give applicants a strong understanding of your school and program. Incorporating an action image related to your program, or including an image with your school logo are recommended. Remember, this is the only section of the NURSINGCAS application where applicants will view your specific program s branding make it count! Tip: Follow the Branding Guidelines available in the Configuration Portal - this will help you upload an image that s the correct size. Images should be 270px (tall) x 900px (wide) with a file size of 250kb or less and.jpeg,.tiff, or.png file. Program Homepage Text (required) Similar to the applicant s first look at your program branding, it will also be their first look at your program and school specific information on the NursingCAS application. In this section you should include important details about your program, school, requirements and instructions on how to be a successful applicant to your program. You should include information for the following: previously earned degrees required, GPA requirements, test score requirements, needed experience, state restrictions and if applicable, information on a supplemental application fee and supplemental application. Tip: It is helpful to list your school program s website, however you should not solely direct applicants to your school website for more information. All of the information included on your website, should be included in the homepage text as well. This will make it easier for applicants to research your program information. Evaluations (optional) In this section you will be able to collect program-specific evaluations (Letters of Reference) from applicants. You will choose the Minimum Required and Maximum Accepted evaluations. In these fields, you may choose any number between 0 and 10. You will also select whether or not you want to require applicants to complete the minimum number you set in order to complete the application (yes/no). If you select Yes, your applicants files will not become complete and will not be verified by our staff until the minimum number of evaluations you selected are completed by the applicants evaluators. If you select No, the applicants files will be completed once their transcripts and payments are received, regardless of whether or not their evaluations are completed. Tip: No is the more flexible choice. If you select No, you will still receive complete applications even if the evaluations are still pending, and you can choose whether or not to consider the applicants with pending evaluations. Questions (optional) In the Questions section for your Program Materials, you can ask applicants school or program-specific questions and any questions not already included in the general portion of the application. Here you can ask applicants essay questions, such as why they are interested in this profession and/or why they re interested in your specific program. You can also asked school specific questions to determine if they ve previously attended your institution and if so, have a student ID number. You have the option of making these questions optional or required. Tip: Review your current school application and/or supplemental application to help you determine which questions you need to ask applicants in this section of the application. Tip: Ask questions as a reminder to applicants to complete an otherwise optional section of the application. Such as, We require that you provide your SSN. Have you entered that in the Supporting Information section of the application? Tip: Save your information every fifteen minutes to prevent the system from timing out on you. Prerequisites (optional) In this section you will be able to list the prerequisite courses and the required credits and grade required for entry to your program. Applicants will self-identify which courses they feel meet your prerequisite coursework requirements. Tip: The prerequisite description fields have a max of 250 characters for the best display on the application. You may need to shorten the descriptions if cutting and pasting from an existing website. Documents (optional) In this section you can instruct applicants to upload additional types of program-specific documents not collected on the main application. In the Documents Instruction section, be sure to include information on specific documents needed. For example, if you would like an applicant to upload a personal statement, include instructions on the personal statement essay topic. Documents that can be uploaded include: Certification Course Catalog Description CV/Resume Health Records High School Transcript License Military Papers Personal Statement Research/Publication Shadowing/Healthcare Experience Test Score Report Writing Sample Other Tip: If you have a document that is program specific and requires a form be completed and/or signed, you can use the instructions section to link to the document on your school s Website, and advise applicants to download the form, complete it, and upload it as an Other document type for example. PART II CONFIGURATION OVERVIEW You will use the Configuration Manager to create the programs you want displayed on the application, set up your program homepage, and choose none or all of the additional information options available. Below are four types of additional information your programs can collect from applicants in the Program Materials section of the application: Answers to Questions Prerequisites Documents Evaluations ACCESSING YOUR ORGANIZATION IN THE CONFIGURATION MANAGER Sign-in through WebAdMIT Log into WebAdMIT (http://current.webadmit.org/) and enter your username and password. Launch the Configuration Manager Select CAS Configuration Portal in the left menu within WebAdMIT. The Configuration Manager will open in a new window. Access your Program(s) Navigate the left menu to view your program(s) for the current cycle. You will need to select NursingCAS in the menu on the left, then the current application cycle in the Application menu, and then choose your School from the Organization menu on the left to view your Organization (School). Once in the Organization menu, in the main screen you will see a sample program called test or the list of programs transferred over from the previous cycle. If all of the programs you need are listed in the main screen, you are ready to start editing program metadata. ORGANIZING YOUR CONFIGURATION SETUP Tip: The Configuration Manager allows you to copy programs to save time in setup. You can copy just the program metadata (name, deadline date, degree type, graduate track, etc.) or all of the program configurations (metadata + branding, custom questions, documents etc.). Before you begin, assess the similarities in the programs you are configuring and consider creating one or two programs to copy as the base for other programs. ADDING PROGRAMS To create new programs, click and in the main screen. The Add Program page will open and you can enter all of the metadata needed for your program. Tip: the WebAdMIT Display Name field allows you to create a nickname for your program this is helpful if you have many programs with similar names. The nickname will be available only to your admissions staff within WebAdMIT it will not be displayed to applicants. For example, MSN FNP SPR18. Select Save to save your new program. COPYING PROGRAMS To copy an existing program, click and in the main screen. The Copy a Program page will open listing all of the programs for your organization. Copying Full Program Details If you want to copy all of the program configurations into a new program (branding, custom questions, documents etc.), select the name of the program you wish to copy and check the Copy All Program Settings box. Select Copy to create your new program. Your new program will have the same name as the original program with -copy-1 appended to the end of the program name. Edit the new program to change the name, program metadata and any other settings. Copying Program Metadata only If you want to copy only the program metadata (name, deadline date, graduate track, etc.), select the name of the program you wish to copy and select Copy to create your new program. Your new program will have the same name as the original program with -copy-1 appended to the end of the program name. Edit the copied program to update its name and metadata. EDITING PROGRAM METADATA Each program has important metadata you will want to review for accuracy. Select a program you wish to edit by moving the mouse anywhere in program s row, and select to make changes to the program details. Note: once the program is live on the application and marked as Approved, you will not be able to make any edits to the program s settings. Updates to the program homepage text and branding are allowed after approval. You can also extend program deadlines after approval. ACCESSING PROGRAMS TO CONFIGURE BRANDING & CONTENT AND SETTINGS If you have one or more programs, you are ready to configure Branding as well as Content and Settings. Select a program you wish to configure by moving the mouse anywhere in program s row, and select to make changes to the program details. The Program Details page will be open. BRANDING YOUR PROGRAM Your program is branded with an image of your choice. This brand will appear throughout the program. Brand Your Program Select the Branding icon to begin branding your program. Configuring Image Headers Select to upload a background image. Upload an image via the browse menu Images should be 270px (tall) x 900px (wide), file size 250kb or less and.jpeg,.tiff or.png files Image file names should not contain spaces or special characters, as they may cause the upload to fail Please review the Branding Guidelines included in the Branding section. Tip: Ask your marketing or public relations office for an image that meets these specifications. Select a contrasting headline text color via the color picker. Note: if your image has your program s name in the text, you can turn off the additional text by answering Yes to the Do you want to show the headline text? option. Save to complete branding SETTING UP YOUR PROGRAM HOMEPAGE The Homepage is a required section of the Configuration Manager. The homepage is also a required section in the NursingCAS application. Applicants must view your Program Homepage before they submit their application, even if you decide to turn off the Questions, Prerequisites, Evaluations and Documents sections. It is important to put detailed information on your homepage about your program and requirements. To customize homepage content, select the button in the branding section. Applicants viewing the homepage have already selected your program as one they want to apply to. Instructional text in the homepage should include text to ensure applicants understand what s needed to be a successful applicant. Program Information Text length = unlimited. Tip: 1500 characters or less is recommended for best visual display. Tip: Save your information every fifteen minutes to prevent the system from timing out on you. Use the HTML Editor to style your content and create links to other sites. Using the HTML Editor to Style Content Program Homepage and Applicant Instructions can be styled using the HTML Editor. Styling Formatting via the HTML Editor: Bold, Italics, Underlined text Numbered or Bulleted Lists Links You can create links to other websites and/or email addresses via the HTML editor new window.. Links will open in a Note: You must use the HTML editor link in order to set up links and hyperlinks. If you do not use this tool, applicants will not be able to access the web links on your program homepage. Tip: To link your email address, put in mailto: before your email address in the link section Save to complete branding. SETTINGS CONFIGURATION Accessing Content and Settings Configuration Select the Program Settings icon to access the configuration menu for Transcript and Coursework rules and the Questions, Prerequisites, Documents and Evaluations. To turn off Questions, Prerequisites, Documents or Evaluations uncheck the box in the left menu. To edit each section, select the item in the left menu to open the configurations page. COLLEGE TRANSCRIPTS & COURSWORK ENTRY CONFIGURATION This is a required section. This allows you to set the rules of what type of transcripts and coursework entry you require for each program. Transcript Types Select what type of transcripts you would like your applicants to submit to NursingCAS: Official transcripts, Unofficial transcripts, or No transcripts. Next, you must select a Program Coursework option, which allows you decide whether or not applicants will be required to input coursework data to apply to your program. Program Coursework Select what type of coursework you would like your applicants to enter coursework for your program. The options are: All Coursework, None (meaning no coursework entry required), or Prerequisites Only (meaning only set prerequisite courses are required to be entered). NOTE: The transcript and coursework selections that you make for each program will determine the level of verification that is done by the NursingCAS staff. If you select Official Transcripts your Coursework Entry Options include: All Coursework None (meaning no coursework entry required) Prerequisites Only (meaning only set prerequisite courses are required to be entered) If you select Unofficial you have the option of Prerequisites or None. VERIFICATION GUIDE BASED ON TRANSCRIPT & COURSEWORK SETTINGS Your options include: Official Transcripts and Full Coursework Entry with FULL Verification Official Transcripts and Prerequisite Coursework Entry Only with LIGHT Verification Official Transcripts and No Coursework Entry with LIGHT Verification Unofficial Transcripts and Prerequisite Coursework Entry Only with NO Verification Unofficial Transcripts and No Coursework Entry with NO Verification No Transcripts and No Coursework Entry with NO Verification Please refer to the bullets below for full explanations. Official Transcripts - Applicants are required to have their official transcripts mailed directly to NursingCAS by the issuing institution s registrar s office for processing where they will be validated for authenticity by the operations team at NursingCAS. Each transcript will be provided to designated school users in WebAdMIT as a high-resolution PDF. Note these transcripts are considered official by AACRAO, read statement for further details. Unofficial Transcripts - Applicants will be able to upload a copy of their unofficial transcript(s) directly in the Academic History section of NursingCAS while logged into their application. This transcript will be provided to designated school users in WebAdMIT as a high-resolution PDF. Unofficial transcript(s) are NOT verified and are upload by the applicant. No Transcripts - Applicants are NOT required to have transcripts sent directly to NursingCAS (instead you can process transcripts directly at your institution) and will not be available in WebAdMIT. Full Coursework Entry with FULL Verification - Applicants will enter in ALL of the coursework they have completed at any college or university attended in order to submit. And NursingCAS will verify this data for accuracy and calculate a number of GPAs for you which will be available in WebAdMIT, including GPA by year, GPA by subject, GPA by school, nursing GPA if applicable, and cumulative GPA. Pre-requisite Coursework Entry with LIGHT Verification - Applicants will ONLY enter specific courses they have completed to match your pre-requisite course requirements. Those courses will be available in a read-only format in WebAdMIT. These courses will not be verified and only Per Transcript and Overall GPAs will be provided to you in WebAdMIT. Note if any data point is missing from the transcript then GPAs may not be available. No Coursework Entry with LIGHT Verification - Applicants will NOT enter in any coursework data and only Per Transcript GPA(s) and an Overall GPA will be provided to you in WebAdMIT. Note if any data point is missing from the transcript then GPAs may not be available. No Coursework Entry with No Verification - Applicants will NOT enter in any coursework data and there will be no GPAs provided to you in WebAdMIT. QUESTIONS CONFIGURATION Questions are optional for each program. To configure Questions, check the box to turn it on then click on the word Questions from the left menu. Write Custom Instructions (optional) If you wish to provide instructions at the top of the Questions page, enter them in the Applicant Instructions box. Create a Question Set To create questions, click the icon. And to create your first question set. Questions are grouped within Question Sets. You must have at least one Question Set. Question Sets have required Headers (or Titles) that display on the page and optional Description text. Select to save. Creating Questions Once you have created your first Question Set, you can begin adding questions. Click the the menu. arrow to expand Next click, and then to add the question under the Question Set. Questions have the following elements: Question text. Note: question text is plain text only you cannot format instructions (e.g. no bold text or hyperlinks). Type. Choose from Multiple Choice, Essay or Either/Or. Required versus Optional. Multiple Choice Questions Multiple Choice questions can be single answer or multiple answer. Single answer questions can appear with radio buttons or as a drop-down menu. Applicants will pick just one response. Multiple answer questions will appear as checkboxes to applicants who can pick one or more answers. Choose the appropriate Answer Format type when creating your Multiple Choice question. Essay Questions Essay questions present a text box to applicants for response. When creating an essay question, you will be asked to define a maximum character limit for the response. If you would like to create a text response or short answer question, you can set the maximum character limit to 50 characters or 250 to define the size of the text box. Essay Questions: Short Answer Questions Short Answer questions are a type of Essay question. Set the maximum character limit to 50 characters for a small one line answer field. If you want a larger answer field, set the character limit to 250 characters or more. Either/Or Questions Either/Or questions should be used when you want applicants to choose between two options in their answer. When creating an Either/Or question type, you will first enter question text and then create the responses you want the applicant to choose from. Enter your first response in the text field and then select the Common response pairs are True/False and Yes/No. Select button to create the second response. to save your question. Editing or Removing Question Sets and Questions Question Sets and Questions have an Edit and Delete function. PREREQUISITES CONFIGURATION Prerequisite course collection is optional for each program. To configure Prerequisites, select Prerequisites from the left menu. Configuring Prerequisites You can collect up to 30 prerequisite courses from applicants. DOCUMENTS CONFIGURATION Document collection is optional for each program. To configure Documents, select Documents from the left menu. Write Custom Instructions (optional) If you wish to provide instructions at the top of the Documents page, enter them in the Applicant Instructions box. Tip: File formats and file size restrictions are displayed to applicants within the application. You do not need to repeat this information in your instructions. The accepted file formats are MSWord (.doc,.docx), JPEG (.jpeg,.jpg), PNG (.png), Rich Text Format (.rtf), Portable Document Format (.pdf), and ASCII Text file (.txt). The size limit for each file upload is 5MB. Applicant Documents The Applicant Documents section lists the Documents collected at the root level of the application service. For each document type, you will see the Name, whether it is Requested (this will always be checked), whether it is Required (this will be unchecked if document upload is optional) and the Maximum number of documents the applicant can upload. You cannot make changes to this section it is presented for informational purposes only so you know what is being collected elsewhere in the application. Configuring Documents The Program Documents section will list the Document Types you can collect from applicants. The list of documents has been defined so you cannot create new document types. You can select Other. Document Type Settings Request if Request is enabled, applicants will see this document type listed on your Documents page. Toggle to the off position if you do not want to collect this document type. Require if Require is enabled, applicants will not be able to submit to your program unless they have uploaded a document to this field. Toggle to the off position if document upload for this document type is optional. Maximum # specify the maximum number of documents of each type you want to receive from applicants. You cannot collect more than 5 of any individual document type. And maximum file Save to complete Documents configuration. PROGRAM EVALUATIONS CONFIGURATION Program Evaluation collection is optional for each program. To configure Evaluations, select Evaluations from the left menu. Write Custom Instructions (optional) If you wish to provide instructions at the top of the Evaluations page, enter them in the Applicant Instructions box. Configuring Evaluations 1. Determine the Minimum number of evaluations Required (0-10) 2. Determine the Maximum number of evaluations Accepted (0-10) 3. Determine if the Minimum number of evaluations must be received by NursingCAS BEFORE an applicant s application status can move to Complete and be Verified. Tip: If you do not require evaluations for review, set the minimum required to 0. PREVIEW YOUR PROGRAM You can view each program page as it will appear to applicants on the live application. You should review each page to confirm that the formatting and requirements are correct. You are able to make any edits needed before you submit your program for approval. Next, scroll down to the Program Settings section of the page. Here you will see each page: Home Page/Branding, Questions, Documents, etc. and whether or not have you turned on the page. If you have turned on the page, you will see the preview icon available. If you have not turned on a page, that section will not appear to applicants on the application. To preview a page, click the preview symbol. A new screen will open that will display the page as it will appear to applicants in the applicant portal. SUBMIT PROGRAM FOR APPROVAL Once you have completed your program setup and are satisfied with the configurations, you must submit your program to NursingCAS for review and approval. Please note, your program will not be live on the application until your program is approved by NursingCAS. If there are errors found, the program will be set back to Draft status to allow you to make edits. To submit your program for review, go the Program Homepage, by clicking the home icon. Next, scroll down to the Program Settings section and click the Submit for Review button. Once your program is approved, you will only be able to edit the deadline date, WebAdMIT name, Program Home Page and branding. You will not be able to edit any other sections of the program. Once your program is approved, you will receive an email from the NursingCAS staff informing you of the approval. PROGRAM STATUS There are four different statuses your program could be in: draft, ready for review, approved, and closed. Draft status means that this is a new program that you are able to fully edit. This program has not been sent to the CAS administrator for approval and is not available to applicants to select (even if the open date has passed). Ready for Review status means that you have submitted the program for review and approval by the CAS administrator. It is currently locked and you are not able to make changes. Approved status means that the program has been submitted to the CAS administrator and has been approved. This is an active program meaning it is either live on the application, or will open on the program start date. If the program has not yet opened, applicants will be able to view as a future program on the Program Selection page of the application. Only the program deadline date, homepage and branding can be edited in this status. Closed status means that the program was live on the application, but since the deadline date has passed, it is no longer available to applicants. The program deadline date, homepage and branding can be edited by admissions users.
