Any registrations received after, Monday, November 9, 2015 will be considered as on-site registration and the on-site fee will apply. No registrations will be processed without a completed registration form and the appropriate payment. Your membership dues must be current in order to register for the conference. NCBMP membership is individual and is not transferable. substitution is not permitted with a non-member. CONFERENCE FEES AND EXECUTIVE PROFILE MUST ACCOMPANY YOUR REGISTRATION FORM CANCELLATION POLICY Cancellations received before Monday, November 2, 2015 entitles the registrant to a full refund, less a $150.00 service fee. No refunds will be made for cancellations received after Monday, N o v e m b e r 2, 2 0 1 5. All requests for refunds must be received in writing. ACCOMMODATIONS The Marriott Resort and Spa will serve as the host hotel for the conference. Reservations will be booked by the conference attendee. To qualify for the published registration rates registrants must book within the NCBMP room block. Registrants who fail to secure their stay at the host hotel will be assessed an additional $200 registration fee. ENTERTAINMENT AND HOSPITALITY SUITES The NCBMP requests that there be no conflict between individual or company entertainment and the hours of any official conference activity.

REGISTRATION GUIDELINES CONFERENCE ATTIRE Business attire is the meeting dress code. This includes jackets and slacks, shirt and optional tie, for males; and matching pantsuit, or separates, tailored slacks and blouses for females. Dresses are also an option. Jeans and shorts are not acceptable as business attire. The attire for the closing banquet is black tie optional, i.e., tuxedos, dark suits and cocktail dresses. It is also appropriate to bring your golf, tennis, exercise and swimwear in order to experience the hotel s leisure activities when there is no official conference activities scheduled. The average temperature in Newport Beach, California during November is 67 to 53 degrees. TRANSPORTATION INFORMATION Newport Beach is located within driving distance of four airports. These individuals are employed by a corporation, not-for-profit organization, government agency to plan and/or oversee the strategic and financial management and/or logistics of that entity s meetings. Meeting Planner Profile must accompany this form. Academic Professional ($225) Academic Professional membership is available to those individuals who are faculty in post- secondary academic programs related to the meetings, hospitality, events or tourism industries. The applicant s primary employment, direction and efforts must be in a recognized academic institution. Applicants must be considered an employee and submit proof of academic employment on employer s letterhead and include department head s signature. Supplier ($400) Supplier membership is available to those individuals primarily engaged in supplying or providing goods and services to the meetings industry. Supplier membership is available to hotel sales, service and human resources personnel, hotel general managers, convention and visitor bureau and convention center executive leadership and sales and service personnel, elected officials, airline personnel, destination management company sales and service personnel, decorators, audio-visual company personnel, professional speakers, florists, and ground transportation company personnel. This classification of membership is not limited to the groups listed. Third Party Planner ($400) Third Party Planner membership is available to those individuals who are the sole proprietor of, or are employed or engaged by, a meeting management company and provides meeting services including strategic and financial management and/or professional meetings management services to multiple clients. Affiliate ($400) Affiliate Membership is available to persons who are interested in the meeting planning profession but are not currently employed in the industry at any level. The additional booth registers at the non-exhibiting rate for the conference but does not require an additional booth fees. Each exhibitor, not the NCBMP, will be responsible for all charges, incurred in conjunction with the shipping and/or delivery of materials. Any additional costs, such as electricity, installation or dismantling of display will be at the exhibitor s expense. TERMS AND CONDITIONS: Each exhibitor will be assigned exhibit space on a first-come, first-served basis. Products and material may be displayed in the assigned space. Signs larger than 8 ½ x 11 or electronic signs are not permitted. All displays of products/materials must be confined to the assigned space and cannot obstruct the view of the surrounding displays. Each exhibitor is responsible for keeping the aisle and surrounding display area free from congestion. Each Supplier Member should bring enough material for approximately 150 people. An individual registered as a spouse/significant other is not permitted to attend the NCBMP Business Exchange. Only representatives registered as an exhibitor will be allowed to work in the exhibit booth or attend the NCBMP Business Exchange. Badge swapping among personnel is strictly prohibited. NCBMP reserves the right to prohibit or evict any displays which, because of noise, method of operation, materials or any other reason becomes objectionable. The restriction includes persons, things, conduct, printed matter or anything of a nature which NCBMP determines detracts from the general character of the exhibition as a whole or does not conform to NCBMP standards. In the event of such restrictions or eviction, NCBMP is not liable for any refund or other exhibit expenses. WHW offers a comprehensive Employment Success Program for men, women and teens at no charge or obligation, focused on the power of employment and economic self-sufficiency. They support over 6,000 job seekers annually, from over 275 partner agencies. Members may donate new and gently used professional attire or make a donation to assist with the work of the organization. STUDENT MENTOR PROGRAM In 2015 The Students are back! The Educational Assistance Program (EAP) is a vital part of the National Coalition of Black Meeting Planner s Annual Conferences. We are proud to provide this networking opportunity for students who have chosen to pursue education in the hospitality industry. This year, in addition to joining our list of mentors for the NCBMP Educational Conference, we would like for you to participate in the High School or College Students' Forum that will be presented during the conference.
