Deputy Care Manager Job Description Responsible to: Responsible for: Registered Care Manager To manage the home in the absence of the registered manager. To ensure that Young People have their needs met and the home meets the standards set in the Statement of Purpose. To assist in establishing and maintaining a competent, motivated and confident staffing team and to offer leadership, managerial direction, guidance and support to subordinates. To monitor the home s equipment, appliances, and grounds and ensure they are effectively maintained in accordance with health and safety requirements. To actively strive to achieve the best outcomes for the Young People. Meet the needs of the children or Young People Ensure that each young person has a plan which reflects his/her care, education, social, emotional, cultural, and therapeutic and health needs. To ensure that the placement plan is regularly reviewed Allocate a Key Worker for each young person with the principal responsibility of implementing the childcare plan Establish and monitor high quality standards of care in line with National Minimum Standards and the home s Statement of Purpose. Develop quality assurance measures to ensure these standards are maintained Maintain monitoring systems in which the young people are consulted about the quality of care they receive To work in partnership with parents, carers and other professional to safeguard and promote the welfare of young people Attend and contribute to child care planning and review meetings as appropriate To adhere to your duty of care and ensure safeguarding/ child protection concerns are reported to your line manager and responded to accordingly.
Managing a Staffing Team Assist the manager in developing a management style which balances the need to exercise control and give direction with the need to offer staff the opportunity to contribute to decision making Ensure that all new staff receive a proper induction to the home in line with Crystal Care s policy. Ensure that each member of staff has a personal develop plan Ensure each member of staff receives supervision in line with National Minimum Standards and Crystal Care s policy Attend senior staff and team meetings, facilitate communication and provide opportunities for consultation and staff development Report, and assist the manager, in resolving issues of staff motivation and moral Report and assist the manager in issues relating to conduct and competence of staff members Promote personal development through the appropriate delegation of duties and responsibilities Effectively allocate resources Ensure that staffing levels and competence meet the needs of the home Ensure the budgets are managed effectively and the use of all finances are properly monitored Monitor the home s decor and fabrics of the building and take remedial action where necessary Promote the efficient and effective operation of the home Develop consultation with young people and staff routines in relation to all aspects of child care Clarify expectations in relation to maintain the home in a clean and orderly condition Assist in creating, or ensure that staffing rotas fit with children s needs and allow proper handovers between shifts Monitor recording systems in place and ensure that they comply with the National Minimum Standards Attend to all administration issues in relation to the home
General To receive training appropriate to role and maintain an up to date training profile To maintain up to date knowledge of the statutory rand procedural frame-work for residential care and communicate this to staff as appropriate Undertake other duties appropriate to the post and the needs of the organisation in order to develop and maintain quality service Special Conditions The post requires the holder to work on a shift pattern as part of a rota. Sleep in duties will be included, as well as working weekends and bank holidays when required. The post requires the holder to have a clear Criminal Records Bureau check at all times. On occasion you may be requested to change your rota at a given notice as per your contract. This is to ensure the contingencies of the service are covered. This may also include covering additional shifts as emergency cover. (Dimension / scope/ territory) Working within the residential home of which the holder is registered. Objectives The following is a list of suggested objectives and outputs appropriate for the role of Team Leader. The list is not exhaustive and may be added to or amended according to the role of the individual and the needs of the branch. Objective Required Output Meet the needs of the children or Young People Each individual is to have a complete support plan that is up to date and reviewed at least 6 monthly Each individual is to have a complete health file that is up to date and reviewed at least 6 monthly Outcomes for individuals are measured each week and actions for improvement or sustainment are created and communicated each week Each individual has a key working session at least every month Consultation forms are completed every month Any monitoring tools are to be completed each week and submitted to the service manager Relationships are maintained with professionals by sending weekly and monthly updates (or more frequent if required) All safeguarding referrals are reported to the local authorities and service manager within 24 hours All safeguarding referrals are closed within two weeks of referral kept up to date, the office folder is kept up to date and any incidents are reported (to both the host and placing authority) Pen pictures are reviewed at least 3 monthly Risk assessments are reviewed at least 6 monthly Monthly summary reports are sent to the service manager no later than the 10th of each month Duty of care is maintained at all times and any issues arising are acknowledged within 24 hours with a clear plan of action Managing a Staffing Team Weekly update meetings are held with the service manager each week All staff receive a Practical induction Supervisions are completed each month Probationary reviews are completed after 3 months and 6 months Review personal development plans with staff at each supervision
Effectively allocate resources Promote the efficient and effective operation of the home Ensure that any maintenance or hygiene issues with the home are address and a plan of action to be created within one week. Ensure that any maintenance or hygiene issues are resolved within a suitable timescales as agreed by the service manager Ensure that staffing levels are appropriate at all times Ensure that staff competency levels are appropriate at all times All items belonging to the company are kept in good working order and used appropriately Follow up interviews and initial assessments are completed for all new staff before their official start date for work. These are signed and physically seen by Head Office De-brief sessions are held after each incident along with a completed and signed incident form All emergency protocols are reviewed monthly PAT tests are completed annually Fire extinguishers are checked annually Ensure the weekly planner is completed for individuals each week and that staff maintain fluid communication. The planner should be on display where all staff have access Ensure that all diary dates for the individuals and homes are recorded and stored where all staff have access The statement of purpose and Local Authority Safeguarding policy is to be displays at all times where staff have access House Rules and Boundaries are reviewed each month in consultation with the individuals and staff House meetings to take place each month All documentation is counter-signed and dated each week Medication is recorded on the appropriate documentation Handovers take place for each change of staff. Handovers are recorded on the handover sheet, message book and then kept in the files. Petty cash is reconciled each week and checked as accurate All documentation and files relating to the individual and the home are kept in good order Health and safety checks are completed each week First Aid boxes are checked each month
